Job Title: Ships Agent

Responsible To: Grain Manager

Position Type: Full time and permanent role working variable hours to suit shipping schedules and business requirements at peak and quiet times. To start 1 st July 2019

Salary: £21,000 to £35,000 (depending on experience) plus company car or equivalent car-allowance and company laptop and mobile phone

Summary Purpose of the Position Responsible for managing the arrival, turn-around and departure of vessels from our sites at Southampton Docks and Shoreham Port. Act as the central liaison point for all parties and port authorities as well as managing the needs of ships crews whilst in dock. Main Duties Oversee the arrival and turn-around to departure of all vessels at our two port-side sites in Shoreham Port and at Southampton Docks Liaise with port authorities to ensure that all compliance is in place for each ship with all documentation in place including vessel information to Maritime Statistics.

Arrange piloting and berthing for vessels, managing berthing arrangement through to departure.

Constantly communicate between all parties on ships progress and status.

Manage pro-forma invoicing for owners to advise on estimated port costs.

Raise invoices including service invoices and insurance (if needed) and provide duplicate documentation to owners and agents.

Arrange and produce all documentation required for grain exports.

For fertiliser cargoes, liaise with C&F agents to ensure clearances.

Provide a full welfare service to ships crews inclusive but not limited to; replenishing ships stores, assisting with making medical appointments, managing immigration compliance or arranging transportation, hotel accommodation etc. Maintain all issued Company property and a smart appearance and approachable, professional business manner always. Always maintain the reputation of the Company acting with integrity in all your dealings.

Be flexible, undertaking other duties away from the main tasks listed when instructed.

Undertake any appropriate training for your role or as requested by the Company and follow Company Procedure and as required.

Experience:

Former experience within a similar Ships Agent role is required and with a keen interest in shipping.

Skills, Qualifications & Abilities:

A full clean driver’s license is essential.

Reliable, conscientious and approachable with a ‘can-do’ attitude’

You must be able to demonstrate good communication skills and have a mature approach, being safety conscious.

Excellent attention to detail

Happy to work under your own initiative with limited supervision whilst keeping in touch at regular intervals. Flexible approach in terms of working hours as these may vary, include weekends, late evenings, early mornings, Bank Holidays to suit the peaks and troughs in activity across the year which will match to our busy- periods. Particularly Harvest-time, July/August to mid-October.

You will be expected to be ‘on-call’ at certain points in the year.
