JOB DESCRIPTION

• To be responsible for the day-to-day management and administration of multidisciplinary project teams. • To negotiate with consultants, contractors and suppliers. • To prepare and manage work contracts. • To ensure all required consents and notifications are in place and sign offs achieved including planning permission, conservation area consent, listed building consent, building control, CDM etc. • To monitor and evaluate progress and quality of work. • To report (written and verbal) regularly on project progress to the Executive teams and Committees. • To coordinate member consultation and communication in relation to projects, including web/magazine articles, organizing focus groups, consultation events etc. • To closely liaise with Member Working Groups such as the Interior Design Working Group and the Gardens and Landscape Working Group. • To administer all aspects of a project, including filing, raising purchase orders, etc. • To financially review projects expenditure and accruals. • To prepare project feasibility studies. • To develop and maintain a Project Management System.

Senior Projects Manager Estates Executive

Grade 8 The Estates Project Manager is responsible for managing a range of interesting projects including refurbishments of internal spaces, infrastructure projects, civil engineering projects, M&E plant upgrades etc throughout the Clubhouse and grounds which includes a conservation area and listed buildings.

Overall Purpose

• To effectively lead and manage a range of medium and long-term estates projects simultaneously, including budget forecasting, in line with the Club’s Horizon project and 20-year plan. • To manage project from feasibility to delivery through to post occupancy evaluations. • To understand client requirements and to deliver projects accordingly as per the agreed briefs, timescales and budgets. • To develop and implement a Project Management System.

Specific Duties & Responsibilities

Other

• To agree the timescales, costs and resources needed to deliver a project. • To work closely with other Heads of Departments and teams at the Club including East Wing Events, Food & Beverage, Grounds, Maintenance, Sports, etc to ensure the scope of the project meets the needs of the business and to minimise any impact to the business in designing, planning and delivering projects. • To create work specifications for smaller projects across a range of disciplines including M&E and fabric. • To tender, select and appoint design teams and contractors for projects.

• To undertake such other duties as the Management of the Club might reasonably expect appropriate to the job grade.

• To be alert to hazards at work and to be aware of responsibility for personal safety in addition to the Club’s legal responsibilities.
