About the Conference
The 84th HRSouthwest Conference is one of the largest regional education and networking events for Human Resource professionals and those who supply products and services to the HR industry. Recognized as the official State of Texas SHRM Conference, the event attracts HR practitioners interested in recertifying their SHRM or HRCI designations, discovering the latest in HR products and services, and networking with peers to share best practices.

Texas SHRM Chapter Conference Ambassadors Role
Chapter Conference Ambassadors are Texas SHRM Affiliate Chapter Leaders or is a volunteer designated by your Chapter President to represent your chapter. The role is to promote The HRSouthwest Conference to chapter members and non during chapter networking and educational events. And in your newsletter(s), and via social media to meet a designated goal of attendees determined year over year by chapter size and attendee numbers. Participating Ambassadors Receive 50% off their conference registration in the year(s) they serve as Chapter Conference Ambassador Special recognition at the event (reserved seating at Monday’s general session and lunch) A Conference Ambassador ribbon to add to your badge

Conference Ambassador Responsibilities
Ensure your conference website includes the digital ad (with a link to www.hrsouthwest.com) on your chapters’ website homepage from March 30 to October 12, 2025. Audit Promotional Advertisement Meet quarterly (virtually) with all Chapter Ambassadors to share conference updates and challenges. Ambassador Meetings
Ask that HRSouthwest Conference information be included in new chapter member phone calls, packets, and/or other orientation information. Audit New Member Communication A drop down of Chapter names will be included in the Texas SHRM Chapter ticket “path” ensuring the chapter is credited for their attendance. Communicate Registration Credit
Represent the Conference at Chapter Events and Meetings
Ensure the conference is promoted at all chapter meetings and networking events. Communicate and remind chapter members about registration deadlines for reduced rates.

Ambassador Responsibilities Onsite
SHRM National joins Texas SHRM Affiliate Chapters in an area of the trade show floor called The Texas SHRM Chapter Hub. In the area there are 6' skirted table for the TX Regions and two chairs with ample space for chapter collateral and more. Arrange Chapter Onsite Participation Confirm participation with Dena Culpepper, dena@workwithcmg.com Schedule volunteers to “man” the table during breaks and lunches Ship any giveaways or collateral that can’t be hand carried to the warehouse. Represent the Conference at Chapter Events and Meetings Texas SHRM Chapter Conference Ambassadors are responsible for organizing the Chapter’s presence in the Texas SHRM Chapter Hub at the event. Presentation Slide Add Ins
Participating Chapters must add at least one (1) HRSouthwest promotional PowerPoint slide to “walk-in” slides at three (3) educational event “walk-in” slides. The events must occur between May 1 - September 1, 2025. PowerPoint Slides Not required but appreciated. Please share a photo of your HRSouthwest Conference promotion. We’ll share it online.
