BUILDING & GROUNDS AND CONSTRUCTION THE “GO TO” DEPARTMENT
The Buildings & Grounds department (B&G)was created to oversee the daily operations of the East Baton Rouge Council on Aging (EBRCOA) facilities, from the interior to the exterior of each building and all equipment housed at that location. EBRCOA buildings are uniquely designed and have their own selected landscaping, properties and equipment. At the present time we currently operate 16 senior activity centers, 4 feeding sites, 1 Intergenerational center and 1 Lotus headquarters. Our B & G department is responsible for the maintenance, sanitation, upkeep and safety operation of all properties and facilities owned by EBRCOA, in accordance with the mission of the Agency. We focus on a Preventative Maintenance operation that involves a plan to perform maintenance on the building structure. This will also allow us to focus on building assets that are still working, such as elevators, freezers, HVAC units and kitchen equipment. Utilizing this type of maintenance plan will allow the department to monitor energy efficiency and management, janitorial services and keeping a good eye on the general upkeep of our different facilities. We developed a “Building Checklist” uniquely designed for each building, that is conducted according to the utilization and the value of the property. This checklist allows us to conduct a critical analysis of the building, the grounds and its essential equipment. Once the checklist is completed, a punch list with a schedule is created to address the issues sited with the checklist. If the required work is out of the scope of our department, we outsource the work to a credible contractor that is capable of efficiently completing it within our budgeted resources. Another key component to our department is the work order system. The work order system gives us the opportunity to capture issues that may occur in between the scheduled Building walks. The Senior Engagement Activities department submits the work orders for their respective facilities concerns. Once received, B&G goes out to assess the issue and determines what is needed to address the issue. We then calculate the materials for the project and schedule the work to be done. When the job is completed, the work order is closed
