WELCOME TO ARDMAC!

To ensure that onboarding with Ardmac ApS runs as smoothly as possible, this document was created to answer any immediate questions you may have before your start date with the company.

The information contained in this guide is accurate at the time it was printed. From time to time, to reflect the needs of the business or changing legislation it may be necessary to replace, remove or make changes to Company policy and terms and conditions.

STEP 1 Apply for a tax number and a tax card (CPR) online at SKAT.

STEP 1 (Before arrival) Obtain proof of sustainment of your residence in your home country Step 1 & 2 can be started at the same time.

EU CITIZEN RESIDING ABROAD (E.G. IF YOU KEEP YOUR ADDRESS IN YOUR HOME COUNTRY AND WORK IN DK).

STEP 1 (Before arrival) Obtain either a residence and work permit based on work with Ardmac or supply your private residence card.

DOCUMENTATION FOR DENMARK

IMPORTANT: Before you come to Denmark, please make sure to get an original birth certificate and, if married, an original marriage certificate.

STEP 2 Book an appointment with ICS via SIRI to apply for an EU residence document and to register yourself fully in DK.

STEP 3 Apply for Yellow card, Nem-ID and NemKonto

STEP 4 Set up your bank account with your CPR number and yellow card

either at ICS or Borgernes Hus.

STEP 3 Apply online for the special health card

STEP 2 Register at the local citizen service or ICS centre for your social security card.

As digitalization has been implemented by most public and private authorities in Denmark, you need to be acquainted with the below: NEM-ID NemID is a digital signature with a common log-in solution for banks, public and governmental websites (e.g. the taxation authorities and municipal authorities), and private companies. NemID can be applied for at the local or international citizen services or by your Danish bank. It is preferable that you apply at citizen service as the access provided by the bank is limited. Please, remember to bring personal ID papers e.g. passport and your social security number (your yellow card). Some municipalities can give you NemID before you have your social security card (yellow card), but then you need to bring a Danish witness. Therefore, it might be easier for you to wait to apply for this until you have social security card (your yellow card). NEMKONTO (BANK ACCOUNT ) : Everyone living and working in Denmark must report a designated bank account known as a Nemkonto to the state. This is generally a current account, into which payments from the state are made (e.g. tax refunds). This makes state payment transactions faster and easier. Any bank can report the wages account that you have with them as your Nemkonto. Please align this with your Danish bank. E-BOKS: The e-Boks is a secure electronic mailbox where you can receive and store documents that you normally receive in the mail. E-Boks is free to use. With just a few clicks you can choose which companies and public authorities you want to receive mail from to your e-Boks. You should add Ardmac as you will receive your payslips through e-Boks. You can also receive mail from all Danish municipalities, almost all banks, and many pension, insurance, energy, and telecommunications companies. Businesses cannot send any other material or unsolicited advertising to your e-Boks. Please note: You will still recieve payslips to your email. The e-Boks is linked to your social security and can follow you if you move or change your email address. You do not need to remember new passwords to access your documents. Use your digital signature, NEM ID pin code, or online banking info to log into your e-Boks.

PAYROLL INFORMATION

You are paid on the 27th of each month. If the 27th falls on a Saturday, Sunday, or Bank holiday Monday, then you are paid on the Friday before that. You must have a CPR number for payroll. You do not claim your holidays from FerieKonto (The Danish Vacation Fund). The company pays your vacation time directly in your salary. You will receive pay slips to your email.

SITE INFORMATION

BUS ROUTES There are direct bus routes to and from Odense to site.

ENTERING SITE For your first visit, you must be registered and successfully pass Induction, to get into the offices. This should be done in advance to ensure there are no delays on your first day at the site. To complete this you will receive an online link from our Site team to complete the induction via Datascope. The login for the induction will come by email and you will receive a password and login name to get started. The online induction should take no longer than 2 hours. After you have done the induction program, you can go to the reception and take a badge. Make sure to carry your identification (passport) with you when entering site. POINTS OF CONTACT ON SITE ODN3: report to the appointed Ardmac’s admin person. ODN3DocControl@ardmac.com can put your data in the system, an induction link will be sent to your e-mail. After you have done the induction online, and on your first day to site you must attend the MERT induction.

SITE FACILITIES

SMOKING FACILITIES At ODN3 there is one designated smoking area, located outside the office building. It is specifically forbidden to smoke outside this area, as well as in the parking lot.

CANTEEN & SELF CATERING On site, there are several kitchenettes, all of which have coffee making facilities, toasters, microwaves, fridges, and all table ware and crockery required. There is a site canteen for employees who wish to purchase breakfast, lunch or sandwiches throughout the day. The canteen is well signposted.

SHOWER, CHANGING & DRY ROOMS On site, there are showers, changing facilities and dry rooms on the ground floor.

LEISURE FACILITES ODENSE

FITNESS WORLD Odense’s largest fitness centre in the middle of Odense on Grønløkkevej. Here there is plenty of room for your training and all the opportunities you need to achieve your training goals. They offer versatile facilities for fitness, strength and cardio training.

MAIN SUPERMARKETS The most common and supermarkets are Netto, Rema1000, Fotex. They have broad opening times. Depending on their location they mostly open at 07.00 and close at 11.00 pm. BILKA ( https://www.bilka.dk/odense/): is the biggest Super Market in Odense, where you can find everything from groceries to electronic products.

DOCTOR You are automatically assigned a doctor when you obtain a CPR number in Denmark. When you receive your Yellow Health Card (sygesikringsbevis), you can see the name, address and telephone number of the doctor you are assigned to. Before you go to your doctor, you need to call and make an appointment or use an online booking system.

TRAVELLING TO ODENSE FROM CPHN AIRPORT The best way to travel to Odense from Copenhagen Airport is by train. There are 2 options by train - direct and indirect, which depends on the time you arrive to the airport. There is an app called DSB which provides all information regarding the train times and bookings. Please see the example below.

Option 1 is the direct train and option 2 stops in CPH train station. The last-minute price is 328 DKK but if you book your ticket earlier (5 days before for example you can find cheaper tickets which are called Orange tickets). FROM BILLUND AIRPORT You can take the bus from the front of the airport to Vejle (30 min distance). This is a cash-only bus, but they accept Euros or DKK. Then you need to walk about 3 minutes to get to Vejle train station. From there you can get a train to Odense using the DSB app mentioned as above.

ODENSE Odense is Denmark’s 3rd largest city with 200,000 inhabitants. Odense is home to great museums like Brandts and the Danish Railway Museum. In Odense, you will also find the award-winning Odense Zoo and a Trampoline Park. In Odense, you can also visit the home of Hans Christian Andersen, visit the old villages and sail on the river. You can use this app in almost all areas instead of the parking ticket machines.

FREDERICIA Fredericia offers both nature, forests and meadows, and beaches only five minutes away from the city centre. Fredericia is home to Denmark’s largest outdoor playpark “Madsby Family and Activity park”, and cultural experiences like one of the most acclaimed musical theatres. Fredericia is located in the little belt area, which is home to both different water experiences and/or bridges walking over the little belt bridge. KOLDING Kolding is the 7th largest city in Denmark. Kolding holds a design school and design centre, a large shopping centre “Kolding Storcenter” and an activity centre for children. In Kolding you can also find the art museum” Trapholt”, the city Christiansfeld – a UNESCO World Heritage site, and” Slotssøbad” waterpark and “Funky Monkey Park”. VE JLE Vejle is the 9 the largest city in Denmark and is known for its beautiful nature around Vejle fjord and marina. Furthermore, you can find The Jelling stones, Vikings in Vejle – UNESCO World Heritage, Vejle Art Museum, and Vejlefjord wellness and spa. Vejle is furthermore close to Givskud Zoo and” Gorilla Park Vejle” as well as Randbøldal Museum with waterpark and adventure playground. FINISHING WORK IN DENMARK When leaving Denmark, it is mandatory to deregister at the following authorities: 1. Folkeregistret (National Registry). It can be done online or at local citizen service 2. SKAT – Deregister at SKAT by filling out the “Moving from Denmark” form. EU citizens do not need to de-register with SIRI. SIRI will automatically be informed once you deregister in your municipality/at local citizen service. Please note: When non-EU citizens leave Ardmac, Ardmac is required to notify the Danish Immigration Service that the employee does no longer works for our company. Please note: if you have a residence and work permit based on your employment with Ardmac in Denmark, you cannot take up work with another employer in Denmark on the same work permit. It is a good idea for you to leave your bank account open for a year from when you leave due to tax returns, etc. If you are to get a tax reimbursement, the tax authorities must be able to transfer the money directly to your account. When you leave Denmark to live in another EU country, some EU countries require documentation that you have been covered by health insurance in Denmark to be covered by health insurance in their country.
