EXECUTIVE SUMMARY This mail-out has been prepared to inform you about the issues that we will discuss at the 7 October 2024 Annual Meeting. This year the primary issue will be the election of members to the Board of Governors. We will also provide an update on the Club’s Strategic Plan that was approved last year, an update on the purchase of the Apartment Building to house J-1 Visa employees, and an update on the Fairfax Task Force. Furthermore, this mail-out will also serve to update you on the many exciting activities taking place at our Club. At the request of the Club Secretary, Colonel D’Anne Spence, USAF, Ret., and to ensure sufficient ballots are available, if you intend to propose a motion from the floor at the Annual Meeting, please contact the Secretary directly at (703) 835-4108 or by e-mail Danne.emmett.spence@gmail.com, no later than Monday, 30 September 2024. PROCEDURES FOR VOTING IN ABSENTIA As in prior years, Resident and Life members will be able to vote absentee this year. If you will not be able to attend the 7 October 2024 Annual Meeting, or if you simply desire to vote absentee, please visit the Administrative Office during normal business hours, or call the Administrative Office at 703- 521-6800, Ext. 1201 or email at lien.dao@ancc.org and ask that an absentee ballot be sent to you. Resident Members will be able to vote electronically during the Absent Voting period from 9 September to 4 October. Resident and Life members who choose to vote absentee will be sent a document that contains a QR code, a unique username and password, and the actual election ballot. You do not have to fill out the ballot by hand. Utilizing either the QR code or username and password you can go to the designated website and cast your ballot electronically. If you cast your ballot online you do not need to send the paper ballot back to Lien. You will only be able to vote once regardless of the method you choose. If you would prefer to vote early at the Club, you may vote in person at the Arlington Administrative Office or Fairfax Lobby on Saturday, 5 October from 9:00 a.m. to 5:30 p.m. On Monday, 7 October, from 9:00 a.m. to 4:00 p.m. Upon check-in during the early voting period or the Annual Meeting, Members will be given a print out with two voting options: 1) A QR code to use with their smartphones or 2) A username and password which will both direct you to an online portal to cast your ballots. Members who are not comfortable with the electronic method can request a printed paper ballot like previous years. Once again this year, we will use Survey Ballot Systems (SBS), which runs elections for other clubs in the area, provides validity, independent oversight, security, speed, and accuracy to the balloting process. As proven during the 2023 Annual Meeting, utilizing electronic methods will significantly enhance the efficiency of the ANCC annual election while still providing an option to vote via a paper ballot for those Members who choose to do so. Ideally, Members elect to vote via the electronic method to reduce the amount of time to tabulate votes. We look forward to a strong turnout at this year’s Annual Meeting. BALLOTS The Annual Meeting check in will start @ 6:00 p.m., in the lobby. You must have a valid photo ID. NO BALLOTS will be distributed after 7:45 p.m.
