Annual Meeting Agenda 2024

Annual Report of the Chair, Board of Governors And the General and Special Committees 2024

New Club Events at Fairfax. Holiday Dinner (Christmas Eve-Eve Dinner), Music on the Patio, Fajitas & Margaritas Pool Party, and Burger Night at the Pool. ______________ During 2023-2024, the H&E Committee recommended to the Executive Committee that the Club Rules, regarding the use of electronic devices, be updated to provide more detail in terms of the type of communication and where/when the type of communication can be used; the Executive Committee unanimously approved the recommended updates. Additionally, during 2023-2024, in furtherance of the ANCC Strategic Plan and a “return to normalcy” following the expiration of emergency declarations for COVID upon which some of the Club Rules were relaxed, the H&E Committee collaborated with the Governance Committee and the Chair of the Membership Committee to undertake a full-scale review of the Rules of Attire as found in the Appendix to the Club Rules. After surveying best practices at surrounding country Clubs and soliciting feedback from Club staff and the activity-related Committees, new Rules of Attire were recommended to, and unanimously approved by, the Executive Committee. The new Rules of Attire update and provide much needed clarity around specific categories of attire (including activity-specific attire) and respond to the membership’s desire for both casual and slightly more upscale (but definitely not formal) dining options. These new rules now have been in effect for approximately three months, and members seem to have adjusted accordingly. Indeed, maintaining Platinum Club-level quality and service is important and the Rules of Attire play a part in that; the H&E Committee thanks you for continuing to take pride in our Club! As a reminder, all of these new rules can be found in their entirety in the Club Rules which, in turn, can be found under Club Documents & Forms on the member homepage of the Club website. ______________ During 2023-2024, several H&E-related capital projects that were approved by the Board of Governors commenced. In February 2024, the Arlington Grille Renovation Project began, and things were progressing nicely . . . until “out of nowhere” they were not! We learned that the interior design contractor had absconded with our deposit for the furniture, lighting, and window treatments. The H&E Committee and Club staff, however, were able to act decisively to ensure that the operations and scheduled opening of the Grille were not majorly impacted. The correct furniture and fixtures should be in place and installed by the time this Annual Meeting packet has gone to print. And as mentioned in other Reports, the Club Treasurer is pursuing all available legal options to recoup the absconded funds. The Executive Committee is also finalizing a more robust procurement policy to ensure this does not happen again. Thank you for your patience on these fronts. Two other Arlington Clubhouse-related projects are also in progress. First, is the Eisenhower Wing Optimization Project. This project entails redesigning and renovating the Eisenhower Wing, i.e., expanding/redesigning the 1924 Bar, redesigning/renovating the Eisenhower Lounge, and redesigning/renovating the Sun Room, to make it a more cohesive and inviting space. Currently, outside architects are developing conceptional renderings of such a redesign and renovation. The H&E Committee will continue working this project into 2024-2025. Second, is the Side Patio Project. This project entails the construction of an exterior stone patio with permanent fire pits and seating areas where currently the moveable fire pits and Adirondack chairs are next to the Fort Richardson interpretative display. By the time this Annual Meeting packet has gone to print this project should be underway (the Club is awaiting Arlington County permitting approval), with an anticipated project completion by late Fall.
