The Evolution of AP From Automation to Intelligence

A ccounts payable automation has reached an inflection point. While organizations have spent years digitizing invoice workflows and elimi- nating paper, the next frontier demands something far more sophisticated: intelli- gent systems that predict, adapt, and pro- tect. Jan Schulze, Global Vice President of Product Management at xSuite, has witnessed this evolution firsthand in his global product leadership over a decade. In this exclusive interview, Schulze shares xSuite’s perspective on where accounts payable (AP) is headed and offers prag- matic guidance for senior leaders navi- gating the convergence of AI, regulatory complexity, and cloud transformation. reveals even more dramatic results, sharing that touchless processing rates can reach as high as 95%, with the fast- est systems processing invoices in just over 3 seconds. These aren’t theoretical possibilities they’re outcomes being re- alized today by organizations that have modernized their AP infrastructure. “It’s never been so easy to use the technology as it is right now to basically take a huge step into the next stage,” Schulze explains. The confluence of mature large language models (LLMs), accessible cloud platforms, and evolv- ing regulatory frameworks has created a unique window for transformation. Technology advancement alone tells only part of the story. Organizations face mounting pressure from multiple direc- tions: workforce attrition that depletes institutional knowledge, increasingly sophisticated fraud schemes enabled by generative AI, and expanding e-invoic- ing mandates across Europe and be- yond. “When evaluating the transition from ECC to S/4HANA, many customers remain on on-premise deployments and may choose to stay there for the foresee- able future, as a direct path to S/4HANA Cloud is not yet available to them,” notes Schulze, highlighting the diverse tech- nology landscapes finance leaders must navigate.

Schulze offers a refreshingly balanced perspective on artificial intelligence, one that senior leaders should heed. While acknowledging AI as “one of the biggest drivers of the whole modernization,” he cautions against treating it as a panacea. The technology has evolved dramatically since xSuite began experimenting with deep learning algorithms for document classification in 2019. Today’s large lan- guage models deliver comparable or su- perior results at a fraction of the historical cost, enabling capabilities that were eco- nomically infeasible just years ago. The practical applications extend across the AP lifecycle. Modern AI ena- bles systems to extract and enrich in- voice data with unprecedented accuracy, match transactions against purchase or- ders and contracts using contextual un- derstanding rather than rigid rules and identify anomalies that signal potential fraud or processing errors.
