Procedures for Estimating & Project Management Bid/Project Turnover

The following procedures have been established to create an efficient and orderly turnover of project bid information to the project management team once a bid has been won:

A. Assemble all bid documents and files

1. The Estimating Coordinator will assemble a complete set of documents that were used in preparing our proposal. A folder named “Estimating Turnover” will be saved in the Project Management Folder within the job file in the L: drive. This folder will contain the following information: a. Bid Documents - All bidding documents including but not limited to: i. Drawings ii. Specifications iii. Geotechnical Report iv. CAD/REVIT files v. Addendums vi. RFI’s vii. Etc. b. BDR – A copy of the BDR utilized for the bid will be saved here for use by operations c. Proposal to owner – All documents associated with the proposal sent to owner including but not limited to: i. LCI qualifications ii. Bid forms iii. Marketing book iv. Schedule v. Logistics plan vi. Etc. d. Subcontractor proposals

B. Importing:

1. All Estimates imported into Viewpoint (by the Project Manager) need to be interfaced to preserve the integrity of the original estimate. This means the Project Management team will have to do internal change orders to combine purchasing of several trades into one contract (if required).

C. Estimating/Project Management Bid/Project Turnover Meeting

1. Conduct Estimator/Project Manager Turnover Meeting. See sample agenda on page 2.

D. Estimating Folder

1. Lead Estimator is to contact the Estimating Coordinator to lock the BDR in the Estimating folder.
