1. After award of a project has been made official, the Lead Estimator & Project Manager are to address the turnover of the project based upon the following and while utilizing the Award Tab in the Bid Day Recap in conjunction with the Project Documents: a. Review the bidders list and bids received b. Identify those trades that were pre-bought on bid day. c. Discuss knowledge of the subs. d. Review the scopes. e. Review, in detail, plug numbers, internal contingencies, etc. f. Identify and review potential risks in the bid. g. Review important scope items making sure their written into the PO scopes of work. h. Discuss concerns we may have and review any risk management issues we have addressed on bid day to substantiate our using an unfamiliar sub. i. Discuss any lead time, shortages, substitutions, crew size(s), number of crews, schedule considerations, logistics, phasing, etc. that are germane to the overall success of the project. j. Develop, review and decide upon the applicable amount of buy & profit to be forecasted for the project. k. Setup a tentative 80% Post Buyout Meeting. 2. Costs Incurred to Date: a. Estimating Bid Cost : $ XX,XXX b. Total Bid Cost Including Operations: $ XX,XXX 3. New or Additional Cost Items to be Addressed since Bid Submission. 4. Contract Concerns/Status/Draft. 5. Permit Status (if Applicable). 6. Schedule & GC’s/GR’s (Project Estimated at XX Weeks). 7. Review of BDR w/Award/Buy Sheet (including bonds, insurance, fees, etc.). 8. Review Alternates & Allowances. 9. Review of Qualifications. 10. Review of Self-Perform Strategy 11. Review MBE/WBE/DBE or Other Requirements. 12. As the project is being bought, the Project Manager is to schedule a meeting with the respective Lead Estimator or Trade Estimator(s) (depending on bid size or type of bid) to review the trade division(s) being bought, should the need arise.
