H. Identify the major trades and then the key subcontractors that we want to work closely with. I. Determine the type of proposal form to be used (long form or short if applicable) J. Assign a Project Manager and Superintendent to the project. K. Determine who is attending the project walk through.
L. Review the bid due date and time. M. Develop and create bid packages. N. Establish the dates for the rest of the items on the responsibility matrix.
2. ITB Final Review/Send out to Subcontractors
A. During the review process make sure of the following; i. Identify subcontractors local to the area. ii.
Check our spy list on the J: Drive to see who our competitors typically use. iii. Insure you have enough MBE/WBE/DBE to meet the requirements if applicable. iv. Check to see who the low subcontractors were on the last few projects. v. Include a strategy to buy trade items separately as opposed to all in (i.e. ventilation, mechanical piping, temperature controls, testing & balancing separate as opposed to going to one subcontractor) vi. Select the subs that we are working closely with during the bid effort. vii. Compare bidders list to the specifications and contract documents to insure all items are being bid
3. Project Walk Through
A. Bring back copies of sign in sheets. B. Give all business cards collected and any handouts from the meeting to the lead estimator. C. Post photos on the project J; Drive. D. Issue meeting minutes of the items discussed including the question and answer session. 4. Strategy Meeting/Scope Issues . A. Lead estimator should assign scope of work items in those cases where the scope can be performed by more than one trade B. Leaf through the drawings and look for; vi. Approximate schedule (look for ways of building faster, weather conditions, etc.) vii. Logistical issues (that can give us an advantage etc.) viii. Scope issues When reviewing the drawings for the aforementioned, look for items that could be misunderstood, missed, doubled up on, appear confusing or overlooked. This will give insight as to how we can manipulate the subcontractor market giving us a competitive advantage. C. The lead estimator is to do a scope summary of the project to insure that all items have been accounted for during the scope review process.
5. Division #1 Due/Review
