22. This is where you will add the subcontractors on the list the estimator has given you. 23. Click on ADD TO ESTIMATE ADDRESSES (to the right of the project name). 24. To add subs, you need to know what trade (Code-Sub) each sub is under ( refer to the PT Phase Code List ). The estimator should group the subs by trade for you. If they have not done so, have them do it. 25. Click on the drop down arrow next to CODE-SUB and find the trade # you want to add and click on it (i.e. 09510-006- 0 will bring up all of the Acoustical Ceiling subs). When you click on the trade #, the trade name will be to the right of it). 26. The subs will be in alphabetical order. Find the first sub you want to add and click on the box under the Assign column (1 st column on the left). 27. Check the boxes for all of the subs for this trade. 28. Click on ASSIGN CHECKED TO ESTIMATE (left of the CODE-SUB box). 29. Click OK 30. Continue to follow steps 14 through 18 until all trades/subs have been assigned. 31. If you cannot find a sub, see 7.4 Add Subs To Viewpoint (VP) . 32. Close out of this screen. 33. Sort the Contact column from A to Z by clicking on the drop down. 34. If there are any companies that do not have a contact showing, click on the drop down box and pick a contact. If there is a name with an * after it, choose that contact. Otherwise just pick one. If there isn’t a contact name to choose, make sure that there is a fax # for the company. If you need to add a contact name because it does not show up in the drop down, see 7.6 Add A Contact to Viewpoint. 35. Sort the Company Name column from A to Z. 36. We have a list called “CHECK CONTACTS IN SUB LISTS” that we need to compare to the sub list just created. If a company is on your sub list, make sure that you choose the contact that is listed. 37. Sort the E-Mail column from A to Z. 38. If E-mail address is blank and the Email Bid? column has a check in the box, this usually means there is a contact with an email address. Go into the Contact and make sure there isn’t a contact name with an * after their name or that the contact is no longer there, etc. If there is no contact with any email address, uncheck the box in the Email Bid? column. 39. Sort the Email Bid? column from Cleared to Selected. 40. Move down the sub list and if you see an email address and the box and the Email Bid? box is not checked, look on the “CHECK CONTACTS IN SUB LISTS” and make sure they do not have “EMAILS WILL NOT GO THROUGH ON PT”. Otherwise, check the box. 41. Close out of the screen. 42. You must go into SEND INVITATIONS TO BID before you can print the sub list. It will take a few minutes to process. 43. Next step is sending the invitation to bid (see 7.7 Create an Invitation to Bid ).
