13. Click OK 14. It is now sending the invite. It will take a few minutes to process. DO NOT OPEN ANY WORD DOCUMENTS WHILE THIS IS PROCESSING.

7.9 BID CONFIRMATION RESPONSES & UPDATING SUB LIST IN PT

After you send the invitation, the subs will start sending the Bid Confirmations back. As they come in, print them out and update the sub list in PT. First alphabetize the Bid Confirmations by Company Name: 1. In the Main Menu, Click on the drop down box next to Bid# and find the LCI # of the project. 2. Go into BID PROJECT ADDRESS BOOK 3. Sort the Company/Name column from A to Z by clicking on the drop down arrow 4. Go to the company you want to update the status for. 5. In the status column, click on the down arrow and pick the appropriate response. 6. Continue steps 4 and 5 for the rest of the responses.

7.10 HOW TO SEND ADDENDUM OR FUTURE CORRESPONDENCE (AFTER THE INVITE HAS BEEN SENT)

1. Copy the addendum from email or however it is sent and save in the project on the J: in the Addenda folder. The folder should be named as the addendum # (i.e. Addendum #1). PLEASE NOTE: THESE INSTRUCTIONS APPLY TO ANY ADDITIONAL CORRESPONDENCE THAT COMES IN FOR THE PROJECT THAT YOU NEED TO SEND A NOTICE TO THE SUBS. 2. Once you have it in the Addenda folder, copy into the ITB Bid Documents folder. 3. Go into BUILDING CONNECTED and add the addendum from the ITB Bid Documents folder (see 5. Adding Documents to Building Connected ). 4. Create a Notice by editing the Invite in the Correspondence folder FOR THE PROJECT YOU ARE SENDING THE ADDENDUM FOR. Change the Title to ADDENDUM #_ NOTICE (see attached example for verbiage). BE SURE TO SAVE AS A NEW DOCUMENT (Addendum #_ Notice) (DO NOT SAVE & REPLACE THE INVITE). 5. BE SURE TO LEAVE THE LINK IN THE NOTICE. 6. To send the addendum, in the Main Menu, Click on the drop down box next to Bid# and find the LCI # of the project. 7. Go into Send Invitations to Bid. It will take a few minute to process. 8. Click on the Check All box (towards upper left of screen). If all of the boxes under the select column do not have check marks, click on Check All again. 9. If the Check All box is not shown, go to drop down arrow in the upper left corner of the screen and click on it, make sure there is a check next to “Minimize the Ribbon”.
