Projects

• Undertake and manage minor works construction projects and projects of a non-construction nature. • Oversee the correct application of H&S best practice within project management. • Oversee the correct application of current regulatory legislation withing project management. • Specify and obtain competitive quotations for project work to be carried out by external contractors, submit for approval and subsequently manage small projects through to completion, ensuring effective monitoring and control. • Assist the Campus Projects teams with the design, management, commissioning and snagging of projects. • Provide direction and guidance on best methods or preferred means of works to consultants and contractors. • Assist/oversee the production of client briefs and ongoing client requirement, conveying this to the consultant or works team as appropriate. • Assist in the maintenance of a master programme of projects/projects tracker and other relevant work. • Assist in the maintenance of governance for accepting and managing project within the Campus. • Assist/prepare cost budgets and reporting for funding approval and review costs as required during the progress and completion of a project. • Appoint and manage contractors to undertake small/medium-sized projects’ work in line with the College’s Financial regulations. This may include interviewing, tendering, preparation of contracts and processing payments, then construction phase Client management. • Comply with the Department’s procedures for the effective management of contractors, including the Permit to Work and Permit to Access system. • Liaise with the College’s internal departments and external stakeholders to ensure projects are properly managed and delivered. • Manage statutory compliance for projects to ensure that all work is carried out in accordance with current legislation, Codes of Practice, College policies and other appropriate guidance documents. • Advise clients, consultants and contractors on the College’s operational policies and procedures and ensure compliance. • Organising and chairing meetings and maintaining meeting documentation. • Maintain project management information such that records relating to projects can be accessed during the project as well as post-completion. • Assist/oversee compilation, management and authorisation of financial budgets and certification of appropriate payments. • Assist/oversee the preparation of defects sheets and snagging post completion of a project. • Assist/oversee the preparation of project’s fact sheets. • Deputise for the Campus Project Manager in their absence. • Be prepared to work and travel anywhere within the King’s College estate. • Be prepare to -on occasional basis- undertake work outside of normal working hours/weekends in line with the demands of project siteworks. • Be prepared to undertake any necessary training which may be required by the business.

Building and Campus

Role purpose Manage lower value/minor works construction projects across the Faculty of Arts & Sciences. Assist and deputise for the Campus Project Managers at each campus with larger projects, particularly at the design, commissioning, and handover stages. The role will involve direct liaison with project stakeholders, defining needs and delivery of scope ensuring projects are aligned to wider campus priorities, planning and strategy. Projects must be procured in line with university policy and following all financial procedures. Many projects will be client funded but where E&F funded, the necessary approvals through E&F Programme Management must be met. The role will directly report to Strand Campus Project Manager but will work closely with the other E&F teams and stakeholders. The faculty of Arts & Sciences is spread across 2 campuses, Strand North & South and Waterloo Campus (partial). Contract type This post will be offered on an indefinite contract. This is a full-time post.

Key responsibilities Administration and Clerical

• Organise regular project reports such as the monthly project database/projects tracker. • Process all financial documentation relating to campus projects, including placing and expediting orders, processing delivery notes, invoices and recharges. • Monitor and reconcile project budgets. • Maintain all records of work associated with statutory compliance, including electrical safety, fire systems, asbestos management, legionella controls etc. • Work with the campus projects team undertaking research as and when needed, in the preparation of tender specifications, bill writing and the preparation of reports.
