Tip Allow your team to develop and take responsibility for areas they want to be involved with but remain available for support and cover. Limit regular unspecified meetings to focus time on sessions which require action / attention or have a clear agenda and goals. Block out time in your calendar to focus on prioritising tasks. Project management A large part of my role in recent years has been around projects, including new: l system implementation l benefit rollouts l entity registrations. Having a strong project management focus is vital in ensuring we’re a successful part of any project we’re involved in, and not a reason for a project being delayed or not as successful as it could be. Often, payroll isn’t included in early discussions around benefits, HR policies, new entities or audits, leading to huge compliance risks. I try to get payroll involved in these types of decisions from the start, in the same way a HR manager or accountant would be. Including us early in the process means we can use our experience and expertise to guide the business so new entities, policies and benefits are rolled out smoothly and compliantly. It also means we get a seat at the table and are viewed in the same way as other departments within the business.
Tip Be proactive in communications with your account managers and maintain an internal log of queries and any work in progress. I internally agree a five- year review of all vendor relationships, meaning the business maintains the best system partnerships. Customer service We may not always get the recognition we deserve, but it’s key to the promotion of our industry that our customer service levels to our customers (employees / clients’ employees) remain high. This will allow us to continually promote the success of the department.

Covers the core skills required to administer the payroll function including processing deductions, calculating National Insurance, pensions, student loan deductions and statutory payment considerations.
Tip Ensure the department takes a
proactive role in communication so customers are kept clearly informed and don’t need to chase queries. Keep key performance indicator statistics to back up the good work and to share with senior leadership to show how well the payroll function is performing. Communication Being an effective communicator is important in getting payroll heard. Not only do we need to be able to breakdown a payslip to an employee, but we also need to explain complex legislation to senior leaders and communicate our needs to new system partners. We may now need to communicate across a wider geographical landscape where English isn’t the first language of the person we’re liaising with. Where information about the payroll team / department needs to be shared, it looks best if this comes directly from us, rather than any other department / individual. Previously, a lot of this information was circulated by finance or HR, but this prevents payroll from making a name from itself and from opening direct lines of communication with the wider business. n

Tip I have enrolled on various project
management / process improvement courses (such as PRINCE2 and Lean Six Sigma) to develop a broad approach to project management. I’ve developed my own project management tools such as a project plan and a risk register, based on my qualifications, as well as my practical experience. Ensuring we’re included in projects from the start is key to getting our needs met, in making sure the business benefits from our expertise from the beginning and in guaranteeing changes are rolled out smoothly. Vendor management We all now work with a wide range of vendors, which can work to either hamper or support us. Managing these type of customer-supplier relationships are important for the department and require a different skillset to managing a team.
