Achievement in Leadership and Operational Efficiency

A Leadership and operational efficiency are cornerstones of success in any organiza- tion. Members of Kappa Alpha Psi Fraternity, Inc., exemplify these traits through their commitment to service, innovation, and excellence. Three leaders—Grand Keeper of Records Kevin Kyles, the president of Grambling State University, and the president of Holyoke Community College—serve as paragons of these qualities. Their contributions reflect the fraternity’s achievement ethos and align with the 35th Administra- tion’s theme: Informed, Involved, Invested. At the 86th Grand Chapter Meeting, 24th Northern Province Polemarch Kevin Kyles was elected as the first Grand Keeper of Records since 1922. He has redefined operational efficiency for Kappa Alpha Psi®. Tasked with managing records and ensuring organi- zational continuity, Kyles has brought a modern approach to governance, integrating technology to streamline processes and enhance transparency. His leadership underscores the importance of maintaining a strong infrastructure to support the fraterni- ty’s ambitious goals. Kyles’s role is not just about record-keeping; it is about preserving the legacy of Kappa Alpha

“LEADERSHIP AND OPERATIONAL EFFICIENCY ARE CORNERSTONES OF SUCCESS IN ANY ORGANIZATION.”

Psi while paving the way for future generations. The presidents of Grambling State University and Holyoke Community College further illustrate achievement in leadership. At Grambling, Dr. Martin Lemelle (Gamma Psi 2004), the president has championed academic excellence and innovation, securing resources and creating opportuni- ties for students that align with the fraternity’s values of scholarship and service. Similarly, Dr. George Timmons (Epsilon Zeta 1990), the president of Holyoke Community College, has worked to bridge educational gaps, fostering an inclusive environment that reflects Kappa Alpha Psi’s commitment to equity and empowerment. The 35th Administration’s theme, Informed, Involved, Invested , has galvanized undergraduates and alumni to exemplify achievement in their community service efforts. By

being informed, members understand the needs of their communities; by being involved, they engage directly in impactful initiatives; and by being invested, they commit resources and time to creating sustainable change. Through the leadership of individu- als like GKOR Kyles and the visionary presidents of these institutions, Kappa Alpha Psi demonstrates that oper- ational efficiency and effective leadership are integral to achievement. These leaders not only inspire their fraternity brothers but also serve as role models for a broader commitment to excellence in all endeavors.

Germany Alumni Chapter celebrates 60 Years of Service with D9 Presidents By Vonnie Wright O n May 8-11, the brothers of Germany Alumni Chapter of

Kappa Alpha Psi Fraternity, Inc. celebrated their 60th chapter anniversary and hosted eight of the nine Divine Nine National Presi- dents in Kaiserslautern, and across the greater Rhine- land-Pfalz federal state of Germany. Germany Alumni Chap- ter (GAC), affectionately known as the “Flagship Chapter” as the first alumni chapter outside of the conti- nental United States, was chartered on June 3, 1964. Being visited by Founder Edward Giles Ervin himself in 1980, chapter broth- ers filled his trip with a memorable experience in Deustchland providing engagements with two top black generals, engulfing him in the local population to understand the envi- ronment and allowing him to incite words of wisdom while enjoying the tradi- tional black and white ball the chapter traditionally

Samuel Bunton (Gamma Epsilon 1997), polemarch, Germany Alumni Chapter brought the vision to the chapter members and the committee over a year ago, recognizing the significance of 60 years of not only

achievement but service. “This has never been done before,” said Brother Bunton. “This 60th Anniversary of our chapter is deemed ’60 Years of Ser- vice,’ by our International Polemarch, and for each International President to come celebrate with us all the way here in Germany is a testament to our host nation, partnerships we have with the community

and the true selfless service we provide as a predomi- nantly military chapter.” From the moment the leaders arrived they were received with open arms, flowers and gifts of appre- ciation by brothers from the GAC. The dignitaries were not only immediately exposed to the German cul- ture with festivities of wine tasting, a historic castle visit and a boat ride down

It’s a blessing to have the Grand Chapter mem- bers mentor them today and tell them about what they have to look forward to during college. Planting those seeds now and keep- ing them on the right path really makes a difference.” After mentoring the youth, the D9 leaders were given the opportunity to engage with our military on Ramstein Airbase, led by Brig. Gen. Otis C. Jones (Fayetteville (NC) AL 1999), commanding general, 86th Airlift Wing. Brother Jones is currently serving as the United States Air Forces in Europe–Air Forces Africa, chief of staff, but during the 60th Anni- versary Commemoration he was the commanding general. During the visit, Jones personally facilitated a tour of the headquarters, flightline and facilitated a roundtable discussion to inform and create a dialogue of what every organization

is contributing to the greater KMC community. “The meeting with the D9 leaders was an awesome experience for the Kaiser- slautern Community,” said From top: Brig. Gen. Otis C. Fraternity, Inc.

I will always support the Divine Nine. We are better together. Yet, while we’re on service, as that is your theme, what I like most about the Kappas is your ‘Room 2 Read’ program. I like that because literacy and the ability to read makes a difference and can help you get further. Edu- cation is the barrier breaker that will help move you to get to another level.” As an organization, Kappa Alpha Psi Fraternity, Inc. has been well known to break barriers. From its inception at Indiana University being the first black Greek organization on campus, founders taking their lessons from outside of classrooms in the era

Madam President Danette Anthony Reed, International President of Alpha Kappa Alpha Sorority, Inc. was one of those leaders that decided to change her schedule around to personally come visit her sorors and join the brothers of the GAC upon Grand Polemarch Jimmy McMikle’s invitation. Reed’s call to support and service is what ultimately drew her to support and is one of the things she most likes about the Nupes. “I knew it was important to come,” said Reed. “We have chapters all over the world and it’s a need to check on them as well and celebrate service with you.

It was also an excellent opportunity for us to highlight the tremen- dous contributions their members are providing our great nation. We defend vital U.S. interests abroad in order to protect the very freedoms we are afforded back home and do it on the shoulders and backs of the people representing the

Divine Nine.” The D9 National Presi- dents were able to not only celebrate the 60th Anniver- sary of the GAC’s charter, but it was important for them to discuss what altru- istic measures and service their personal chapter was providing to the local com- munity at large overseas. Many had never been here before, and were greatly astonished by the level of service their organizations provided alongside the brothers of Kappa Alpha Psi

of Jim Crow and changing the name of our Fraternity we have been on a path to impact lives for the better. Altruism, the practice of concern for the welfare of others, has always been the mantra of every brother in our noble clan. That same impact has been carried by the GAC for over 60 years, and we rec- ognized not only the Divine Nine leaders and local chapters for their contribu- tions to service, but those who have helped us make an impact across Germany and the European continent for at least 60 years. Dr. Stacie NC Grant, International President, Zeta Phi Beta Sorority, Inc. was most pleased at the collective service and recognition hosted by the brothers of the GAC and amplified that we are stron- ger together in our quest of continued service. “Thank you to my dear friend and President Jimmy McMikle for this invitation and the hospitality of all the good brothers of Kappa,” said Grant. “I want to say what we do for the least of these is what counts. As we are here to celebrate your 60 years of your legacy in Germany, I applaud you for giving to those freely who really need that help. There

is an African proverb that says one coal cannot burn by itself, but a group of coals can burn collectively. The light that we are shining collectively as the D9 is not lost on us, that you invited us all to be here to create history, and to show not just with words but through actions that we truly are not only stronger together, but we get to transform communities and lives back in the States and abroad. With over 2.5 million of us if we get it right, none of our communities should be suffering because we’re honoring the vision and mission of our founders. Just know that the Finer Woman will always be here to share your glow and making this world a better place.”

As the celebration of 60 years of service concluded, the GAC recognized the newly initiated brothers in the chapter that will carry on that service. Emerson Grimes, Kenneth Butler, and Sean Barnes were newly ini- tiated as brothers in Spring 2024 on May 8, 2024. The brothers received the astute privilege of having not only majority of the IHQ leadership present to receive and welcome them, but eight of nine D9 leaders there to provide words of wisdom and greet them just two days after completion of their long journey into Kappa Land. “I’m very grateful for this opportunity,” said Brother Grimes. “It’s been said over and over that becoming a

Kappa man is a once in a lifetime opportunity, but we’ve been told over and over again that having all these people here like this is historic. We’ll never forget this, and we appreciate everything.” Grand Polemarch McMikle deemed this historic event 60 Years of Service for a reason. Under his leadership programs such as Learn to Live and Greeks Learning to Avoid Debt have thrived and serve not only its members, but our communities as a whole. Recognizing the GAC as a military chapter that serves their European community two-fold, he chose service as the highlight for this monumental anniversary celebration. ♦

Kyles’ election was historic as this was the first time since 1922 that Kappa Alpha Psi maintained an office of the Grand Keeper of Records. At the previous Grand Chapter Meeting in 2021, chapter delegates elected to split between the Grand Keeper of Records & Exchequer (GKOR&E) into the Grand Keeper of Records (GKOR) and the Grand Keeper of Exchequer (GKOE). Prior to his election as GKOR, Kyles served as a member of the 34th Grand Polemarch’s Administration Team as the At the 86th Grand Chapter Meeting in Tampa, FL, the Grand Chapter delegates elected the 24th Northern Province Polemarch Kevin D. He was also the Chairman of the Strategic Plan Implementation Team, which oversees the execution of the fraternity’s five-year strategic plan. Upon election, Kyles wasted no time in establishing his vision for the office. “The Office of the Grand Keeper of Records of Kappa Alpha Psi Fraternity, Inc., has a unique and critical responsibility to ensure that we serve, engage and connect our membership,”he asserts. “This includes direct oversight of membership servicing, marketing and commu- nications, and the maintenance of key non-financial records. I will manage these duties by applying robust business processes, configuring technology, and training our human capital. This will also require aligning with the fraternity’s strategic plan and reestablishing the Province Keeper of Records (PKOR) Taskforce.”

“KYLES CREATED A SCORECARD TO TRACK AND REPORT PROGRESS TO THE GRAND BOARD OF DIRECTORS AND THE GENERAL MEMBERSHIP ON HIS 100-DAY PLAN.”

GRAND KEEPER OF RECORDS 100-DAY PLAN GKOR Kyles’ focused on executing his 100-day six-point plan as outlined in his campaign. An extension of his cam- paign platform, Kyles created this plan to outline short and long-term objec- tives related to organizing the office of the GKOR, delivery of needed services to the membership, and restructuring of the Fraternity’s technology infra- structure which included assembling a team of members to volunteer their time and skills. Kyles created a scorecard to track and report progress to the Grand Board of Directors and the general membership on his 100-Day Plan. Migrate Grand Keeper of Records duties from the GKOR&E and the Execu- tive Director: An immediate aspect of the 100-Day Plan was defining “functional day-to-day responsibilities” for the role of Grand Keeper of Records based on Kappa Alpha Psi Fraternity, Inc.’s Constitution and Statutes. To accom- plish this, Kyles frequently met with GKOE Bass and IHQ Executive Director John Burrell to determine which scope of tasks and responsibilities now belong to GKOR while others remain with the GKOE and IHQ, respectively. GKOR Chief of Staff Dwight Thomas (Fayetteville (NC) AL 1978) contrib- uted to efficiently transitioning the full scope of operational responsibilities to the Grand Keeper of Records office, including managing Grand Chapter/ GBOD meeting minutes, communi- cation protocols, and refining Grand Board policies. Establish Oversight for Member Servicing, Communications, and Key

of the Strategic Plan Implementation Team. The plan also involved improv- ing the registration processes (prior to the actual event and on the ground at the event) for 2024 National Founders’ Day and the 87th Grand Chapter Meeting. Reestablish the Province Keeper of Records (PKOR) Taskforce: During Grand Polemarch Ronald R. Young’s 28th administration, GKOR&E William B. Croom (Beta Chi 1967) pulled together the Province Keeper of Records and Exchequers for joint taskforce meetings to discuss best practices. The stated goal was to establish common processes across the provinces, where appropriate. To ensure his office and team were aligned with current business processes, GKOR Kyles’ 100-Day Plan included the reestablishment a

taskforce among the Province Keeper of Records (PKOR) to develop those processes to promote effective admin- istrative operations. The newly reestablished PKOR Taskforce began to regularly meet in September 2023 and the taskforce’s primary was to collaborate, prioritize, and plan chapter operations in the Fonteva application. Southeastern Province Board Member–Alumni Michael Myers (Kingstree (SC) AL 2015) shared, “The PKOR Taskforce was extremely important in the success of the various Fonteva deployments we’ve achieved. As their respective province’s point of contact relating to governing opera- tions, the PKORs have offered great insight on how these processes should be structured and how they feed into additional operations.”

Hire IT Director at IHQ: Establish “oversight governance” for Member Servicing, Marketing & Communica- tions and Key Non-Financial Records maintenance pertinent to the opera- tions of the fraternity. “An essential component of my 100-Day Plan was hiring an Informa- tion Technology Leader at IHQ. We achieved that in February 2024 by hiring Mr. David Pugliese. In his seven months on board, he has spearheaded several critical initiatives aimed at enhancing our technological infra- structure, streamlining operations, and fortifying our security posture,” stated Kyles. “These efforts encompass a broad spectrum of improvements, ranging from infrastructure upgrades to cybersecurity enhancements and pro- cedural optimizations. Having someone with his IT acumen is something we have missed at our IHQ for some time.” APPOINT GKOR ADMINISTRATION TEAM In addition to Mr. Pugliese joining the IHQ team, GKOR Kyles assem- bled a team of members who each had areas of responsibilities and

objectives ranging from project management tracking, requirements gathering and documentation, coor- dinating efforts with IHQ, Council of Province Polemarchs, and PKOR on application development, and website design. “To execute any plan, the most important resource is people. I was fortunate to assemble a team of operating assistants with expertise in project management, business process redesign, and business requirements documentation,” stated Kyles. “GKOR Operating Assistant Aaron Williams, GKOR Operating Assistant Michael Myers, and Southeastern PKOR Brother Plez Joyner have been phenomenal in their efforts. I was also fortunate to supplement Chief Information Officer Joe Williams’ team with some key technical resources; Systems Architect Marco Jacobs (Alex- andria-Fairfax (VA) AL 2011) and Fraternity Webmaster Fred Merritt (Eta Xi 1999).” Kyles discussed turning the fra- ternity’s big data into smart data. “A system is only as good as its data and information quality. Our initial

focus was to cleanse the data as best as we can to establish a baseline of integrity and implement continuous improvement processes to maintain the data. In parallel, we assembled teams of Brothers representing every Province, to assist us in documenting the business processes for Province and Chapter Operations that needed to be enabled, along with the document- ing the business requirements for our software vendor.” Kyles also focused on change man- agement. GKOR Operating Assistant Glenn A. Moore (Delta Eta 1985) and Strategic Plan Organizational Culture Chairman Brian Arrington (Epsilon Chi 1990), assisted in framing our training and communication plans to launch the capabilities to the membership. ADDRESS TECHNOLOGICAL INFRASTRUCTURE Much of GKOR Kyles’s 100-Day Plan centered on improving the Fraterni- ty’s technology infrastructure, which impacts individual members, chapters, provinces, IHQ, fraternity vendors, and the general public.

• Electronic process for chapters to complete the Chapter Certification • Undergraduate Chapter Advisor Assignment page To support the new rollouts of a new application and associated functions to chapter and province leadership, Myers, Joyner, and PKOR Taskforce developed and delivered training via webinars and guidebooks. Thus far, the chapter and province has been positive. “Overall, the feedback from chapters and provinces has been favorable and helpful as we continue improving the experience for brothers. I recognize the challenges of interacting within a new system and the change man- agement that comes with that, but I truly enjoy hearing feedback from brothers that go into the system and work through the guidebooks and just explore,” stated Myers. Being able to hear that experience reminds me that the work we are doing is bigger than us or our respective provinces. It’s about Kappa.” Electronic Event Insurance Check- list (EIC): One of Myers, Joyner, and the team’s significant achievements is creating electronic Event Insur- ance Checklist (EIC) workflows for

in chapter delegates. This functionality is in addition to enabling members to register for Grand Chapter Meetings and other Grand Chapter events, such as National Founders’ Observance via the Fonteva application. DATA INTEGRITY Aaron Williams (Zeta Upsilon 1986) led the Data Integrity effort which evaluated the Fraternity’s data and its accuracy. This initiative of the 100-Day Plan addressed issues with the Frater- nity’s data records in three areas:

chapters and provinces must submit an EIC and receive approval for social host insurance. The team took the previous paper version and created an electronic EIC to cover Chapter Meetings, Social Events, Province Events, and the Mem- bership Training Academy (MTA). Myers and Joyner worked closely with the PKOR team, Orchid Connect, and Brother Jason A. Hall, Sr., Director of Risk Prevention and Education, to develop and launch the new EIC electronic form on July 24, 2024. Grand Chapter Registration and Del- egate Credentials: Myers and Joyner also worked closely with GKOR Kyles to enable the GKOR, provinces, and IHQ staff to manage chapter delegate credentials, including allotment of chapter voting and managing changes

vendor accounts from the Your Mem- bership (YM) platform to the Fonteva application. After working with Orchid Connect, the Fraternity’s Fonteva implemen- tation vendor, and International Headquarters (IHQ) to ensure records were transferred accurately from YM to Fonteva, Williams initially focused on membership records. Duplicate Records: For decades, Kappa Alpha Psi membership records had errors, primarily duplicates. These numerous errors originated during an era when the Fraternity maintained paper-based membership rosters and documentation. In some cases, these errors in membership records predate the establishment of IHQ in 1953. These errors continued after the transition from paper to early com- puter-based systems. The errors were primarily typographical on the original membership record, and the IHQ administrative staff created a new second record for each member as a correction. Regardless of membership status (In Good Standing, Not in Good Standing, Suspended, Chapter Invis- ible, etc.), some members had more than one record in our membership database. Definition of duplicate records: More than one unique ID/ membership record for the same member. The Fonteva application inherited these duplicates from YM. Within the Fonteva platform, Williams reviewed thousands of mem- bership records to identify duplicates, totaling over 900 records. From Williams’s research, most duplicate

records centered on members with initiation dates primarily from the 1910s through the 1970s. He reviewed these duplicates to determine which record the Fraternity maintains and which record(s) to delete. Chapter Invisible: Williams reviewed all membership records containing initiation dates from January 5, 1911 to December 31, 1940, and did not display a member- ship status, Chapter Invisible. He iden- tified nearly 1900 membership records

from the designated time required a status update to Chapter Invisible. When these members passed away, no one (chapter, province, fraternity member, and/or family members) noti- fied the Grand Keeper of Records and Exchequer (pre-establishment of IHQ) or IHQ. Hence, a deceased member’s record did not reflect Chapter Invis- ible status. Williams consequently instructed Orchid Connect, to update these records in mass to Chapter Invisible. Going forward, the Grand Chapter and IHQ will benefit from improved reporting and analysis capabilities resulting from eliminating duplicate records and improving IHQ’s ability to categorize deceased members as Chapter Invisible.

Membership Profile: Williams imple- mented enhancements where members can customize their Member Profile: • Include professional, educational, and military service information • Add High School information • Support the Achievement Academy (AA) by selecting their AA cohort • Add LinkedIn information • Benefit from enhanced querying capabilities to search for members • View the obituary (if available) of a member in Chapter Invisible

Chapters: Williams implemented the following changes:

• Streamline chapter statuses Harmonizing chapter statuses in Fonteva benefits the Frater- nity and IHQ, with improved

reporting and a clear definition of a chapter’s status. Further enhancements in this area is forthcoming. • Chapter Directories In June 2024, the GKOR Admin team launched a Chapter Locator page in the Brothers Only portal for internal purposes. Soon after, a separate new Chapter Locator page for the public-facing website was created in response to feedback from members who stated that the Fraternity could benefit from members, non-members, and organizations that want to locate a chapter of Kappa Alpha Psi® Both Chapter Locator pages operate identically; however, the Chapter Locator page on the public-fac- ing www.kappaalphapsi1911.com website: • Displays only all current active undergraduate and alumni chapters • Does not display a listing of chap- ter initiates • The Chapter Locator page is located under the About Us menu Vendor Records: Williams coordinated with Robert Peterson (Delta Eta 2011), former IHQ Vendor Coordinator, to review and correct the Fraternity’s

paraphernalia vendor accounts. As with membership records, the Frater- nity’s vendor accounts were migrated from YM to Fonteva. Williams and Peterson worked with Orchid Connect to configure Fonteva application func- tionality to accommodate companies applying to the Fraternity for authoriz- ing vendor licenses. The data integrity work for vendors comprised: • Eliminating duplicate accounts for the same company and merging data from these duplicate accounts into a single account • Configuring application workflows for new vendors and renewing vendors to obtain annual licenses to market and sell Kappa Alpha Psi paraphernalia • Increasing automation in the vendor license purchase process, resulting in making doing busi- ness with the Fraternity easier for paraphernalia vendors and other service providers • Applying the appropriate vendor status of Licensed, Expired, and No Longer in Business to vendor companies

business, develop associated report- ing, and help protect the Fraternity’s Intellectual Property. PAYMENT PROCESSING Williams also led an initiative centered on payments by annual Grand Chapter dues-paying members. This initiative focused on two areas: • Improving functionality and sim- plifying workflow for paying Grand Chapter dues via the Brothers Only portal • Configuring the system to enable members to pay Grand Chapter dues via monthly, quarterly, and annual installments The above developments were insti- tuted in September of 2024. The next planned development is to support Life Membership purchases and Sub- scribing Life Member payments in the Brothers Only portal. OTHER DEVELOPMENTS Dashboards: Williams also configured real-time dashboards in the Fonteva application for the Grand Board of Directors, IHQ leadership and the 12 provinces. The respective dashboards display real-time membership, chapter, and transactional data contained in the Fonteva application.

The Fraternity benefits from the above development to manage the vendor

HELP DESK SYSTEM Senior Technical Support Engineer Mr. David Pugliese created the help desk ticket system. Mr. Pugliese launched the system internally for IHQ staff in March 2024 and subsequently rolled it out to the membership in April 2024. The help desk ticket system has mainstreamed how IHQ responds to inquiries and has significantly improved the customer service experience for our members. The ticket system also tracks user issues for the IHQ staff. The Need Assistance form drives the Help Desk Ticket System. When a ticket is created and submitted in the form, it is categorized, given priority, and assigned to staff to resolve. Every ticket is maintained in a central repos- itory, and members receive automated notifications on the status of their tickets via email. When the help desk ticket system is used, the average wait time for a member to receive an initial response is 29 minutes. The average time from receipt of an issue to closing of an issue is 2.07 days. The top five ticket requests received are: 1. Dues & Payments

Alpha Psi by improving operational support of fraternity operations with the Fonteva application while simul- taneously restarting a Grand Chapter office. “We have accomplished a lot in one year. Approximately 50 volunteers have contributed their time and talent to improve our technological capa- bilities. We have added outstanding information technology professionals to our International Headquarters staff who have modernized and trans- formed the technology infrastructure at IHQ. We have improved our cus- tomer service to the membership by implementing a help desk ticket system that allows for a more transpar- ent and quicker resolution of issues,” stated Kyles. “However, with all that was accom- plished, I recognize there is so much more to be done. Our digital infrastruc- ture is still not completely serving the needs and desires of the membership. In 2024-25, our focus is centered on taking the next steps to meet those needs. The focus includes further development of our mobile applica- tion, stabilizing and enhancing the functionality in the Fonteva application established in 2023-24, and continued work with goal of having all chapter and province administration capabilities residing in a single system.” ♦

FINAL THOUGHTS Since taking office in August 2023, GKOR Kyles and his team have accom- plished a significant number of goals that impact Kappa Alpha Psi across the board from the individual member, undergraduate and alumni chapters, IHQ, 12 provinces, and fraternity leadership. Brother Myers reflected on the responses from chapters and prov- inces on the GKOR Administrative team’s efforts. “Overall, the feedback from chapters and provinces has been favorable and helpful as we continue improving the experience for brothers. I recognize the challenges of inter- acting within a new system and the change management that comes with that, but I truly enjoy hearing feedback from brothers that go into the system and work through the guidebooks and just explore.” “Being able to hear that experience reminds me that the work we are doing is bigger than us or our respective provinces.
