Grand Keeper of Records 100-Day Plan

COVER STORY

“KYLES CREATED A SCORECARD TO TRACK AND REPORT PROGRESS TO THE GRAND BOARD OF DIRECTORS AND THE GENERAL MEMBERSHIP ON HIS 100-DAY PLAN.”

GRAND KEEPER OF RECORDS 100-DAY PLAN GKOR Kyles’ focused on executing his 100-day six-point plan as outlined in his campaign. An extension of his cam- paign platform, Kyles created this plan to outline short and long-term objec- tives related to organizing the office of the GKOR, delivery of needed services to the membership, and restructuring of the Fraternity’s technology infra- structure which included assembling a team of members to volunteer their time and skills. Kyles created a scorecard to track and report progress to the Grand Board of Directors and the general membership on his 100-Day Plan. Migrate Grand Keeper of Records duties from the GKOR&E and the Execu- tive Director: An immediate aspect of the 100-Day Plan was defining “functional day-to-day responsibilities” for the role of Grand Keeper of Records based on Kappa Alpha Psi Fraternity, Inc.’s Constitution and Statutes. To accom- plish this, Kyles frequently met with GKOE Bass and IHQ Executive Director John Burrell to determine which scope of tasks and responsibilities now belong to GKOR while others remain with the GKOE and IHQ, respectively. GKOR Chief of Staff Dwight Thomas (Fayetteville (NC) AL 1978) contrib- uted to efficiently transitioning the full scope of operational responsibilities to the Grand Keeper of Records office, including managing Grand Chapter/ GBOD meeting minutes, communi- cation protocols, and refining Grand Board policies. Establish Oversight for Member Servicing, Communications, and Key

of the Strategic Plan Implementation Team. The plan also involved improv- ing the registration processes (prior to the actual event and on the ground at the event) for 2024 National Founders’ Day and the 87th Grand Chapter Meeting. Reestablish the Province Keeper of Records (PKOR) Taskforce: During Grand Polemarch Ronald R. Young’s 28th administration, GKOR&E William B. Croom (Beta Chi 1967) pulled together the Province Keeper of Records and Exchequers for joint taskforce meetings to discuss best practices. The stated goal was to establish common processes across the provinces, where appropriate. To ensure his office and team were aligned with current business processes, GKOR Kyles’ 100-Day Plan included the reestablishment a

taskforce among the Province Keeper of Records (PKOR) to develop those processes to promote effective admin- istrative operations. The newly reestablished PKOR Taskforce began to regularly meet in September 2023 and the taskforce’s primary was to collaborate, prioritize, and plan chapter operations in the Fonteva application. Southeastern Province Board Member–Alumni Michael Myers (Kingstree (SC) AL 2015) shared, “The PKOR Taskforce was extremely important in the success of the various Fonteva deployments we’ve achieved. As their respective province’s point of contact relating to governing opera- tions, the PKORs have offered great insight on how these processes should be structured and how they feed into additional operations.”
