NEWS NETWORK OVERVIEW + CADENCE
Each News Network channel and ad space is consumed in a different way which gives us flexibility (and sometimes limitations) in how we serve up and promote content. This guide outlines the purpose of each channel, and the type(s) of content typically featured in each to give department leaders a peek into the rhyme and reason behind where and how we place content. But with all of it, our end goal is to get as many eyes and ears on the info (a.k.a your initiatives!) for optimum engagement and adoption.

ALERT BANNER RESERVED FOR: Breaking news (important and fun!) like system outages, survey extensions, crisis/ weather- related resources, phishing alerts, etc. Can be added at any time and include hyperlinks.

LEVEL UP PROMO BLOCK RESERVED FOR: The current or upcoming Level Up campaign. It links to a page with the campaign overview, contest details, links to resources, and winners.
PROMO BLOCKS RESERVED FOR: Campaigns, contests, and promos of major initiatives that are companywide or for a large audience. These blocks will typically link to a dedicated campaign landing page with resources and additional info. RPM NEWS + EVENTS CALENDAR RESERVED FOR: Events happening around the organization. This can include events that are required, optional events open to all associates, dates for campaigns or holiday closures, training, office hours. See more on the next page.

RPM NEWS AND EVENTS CALENDAR
This shared global calendar is where associates can view what’s happening around the organization (office hours, workshops, webinars, townhalls, company events, holiday closures, and more). For required events, a calendar invite will also populate on our associates’ calendars from RPM News and Events so it holds time in their schedule and triggers a reminder when the event begins. Associates can view the calendar two different ways:
NEWS NETWORK SITE Associates can easily add events to their personal calendar. They can also learn more about each event and access the meeting link by clicking into each listing.
OUTLOOK Associates can view the calendar by adding it to their Outlook account. It will populate like other shared calendars do and can be overlayed on a personal calendar or viewed in tandem.

NEWSDIGEST
Typically sent monthly, additional digests may be issued during busier periods. Its purpose is to provide quick, easily digestible information on timely topics that deserve immediate attention.
AUDIENCE: All RPM associates CONTENT: • Topics with hard dates (launch dates, due dates, event dates)
• Current campaigns, contests, and initiatives • Timely news that needs immediate attention
FORMAT: Concise, linked resources, minimal text
FLEX SPACE: Copper space for topics without links or without hard dates. Additional digest may be sent with comms approval.
INCLUSION DEADLINE: Content due Friday before.
Ad Space

LDRPREVIEW
Also known as the Leader Preview call. A live, virtual call led by the Comms team with updates/ info contributed by support departments and leaders. Post-call, the presentation deck is shared out with attendees.
AUDIENCE: Regional Operations and Corporate Directors and up CONTENT: • Initial mentions of upcoming initiatives and programs • Topics received from monthly call for content (sent 2 weeks prior to call) • Leader-specific updates and action items • Key mentions from previous calls
Key Dates Slide
FORMAT: Content is bucketed into one of three sections (Act Now, What’s Ahead + New, Always On) and concisely presented. Talking points should be geared towards leader-specific info/action items. To keep within the one-hour time frame, certain updates may be combined where it makes sense, included in the deck only (not spoken to live), or shifted to the next month’s call (depending on what it is/timeline). Leaders are welcome to speak to their slide however Comms is always available to speak on their behalf.
FLEX SPACE: Key dates/mention slide, last mentions at end of call, dedicated slide for post-call inclusion.
INCLUSION DEADLINE: Content due the Wednesday before the call. Deck is circulated with all speakers before the call.

NEWSVID
This newscast-type video provides a high-level overview of major happenings and significant developments within the company. The fun and engaging format features skits and guest appearances to convey key messages in a memorable way.
AUDIENCE: All associates CONTENT: • Topics that require action by all or most associates take priority • Critical reminders or information on struggling areas (must be measurable) • Corporate-wide topics with critical action items
FORMAT: No longer than 7-8 minutes in length. Comms to have final approval on topic inclusions. Any topics requiring a more lengthy explanation that extends the NewsVID past the 8-minute mark, can be included as a pop-up video within the NewsVID. This will allow viewers to click into the pop-up video to watch. Video content must be hosted in Vimeo.

INCLUSION DEADLINE: Content due two weeks before air date.

NEWSMAG
The NewsMAG is a digital magazine offering a comprehensive overview of company news and updates. It includes detailed information, resource links, and longer-form stories to provide a 360-degree perspective on RPM happenings. In addition to consolidating news from various channels, the NewsMAG also features editorial-style content to foster awareness and promote company culture. AUDIENCE: All associates CONTENT: • News: News is broken into sections that include Act Now, On the Horizon, Learn More, and ICYMI. Think three to five sentences at most, on items associates should act on, be prepared for, or learn more about. • Feature Story: An article featuring a topic important to the organization. Must affect 85%-100% of associates. • Ad: Full page or half page to cover upcoming events or key items to be aware of, must affect 85-100% of associates. • Video: News and info can also be shared through an embedded video, which allows the reader to watch the video within the NewsMAG. Video content must be hosted in Vimeo.
FLEX SPACE: News section (1 week lead time prior to publish date), ads as full page or space fillers.
INCLUSION DEADLINE: Content due two weeks before publish date.

TOWNHALLS
Our townhalls are casual conversations with Jason and our other leaders where we reflect on big company goals and wins and celebrate our associates. Some consistent elements of the townhall include: rotating ads to start which recap recent company events through photos and stats, quarterly values recognition which celebrates those living out our values, and our top headlines at the end, which highlights a handful of key, priority things for associates to be aware of or act on.

ADDITIONAL PROMO SPACE
OKTA BACKGROUND RESERVED FOR: Programs and initiatives affecting all or most associates. Items that require action with a hard deadline take priority for this space. This space is not linkable, so awareness items or those that are easily explained/understood without further resources are best.
DEADLINE: Key initiatives should be shared two weeks prior to the following month to be considered for inclusion.

STANDALONE COMMS RESERVATIONS CALENDAR
All of our messaging flows within the News Network’s four monthly touchpoints, but sometimes, additional messaging is also needed. Our reservations calendar allows department leaders to put a “hold” on a specific day/time for these types of comms. Any non-RPM News emails/messages must be reserved at least 2 weeks in advance so Comms has full visibility into all planned comms to ensure we’re not overwhelming our associates’ inboxes. Leaders can also request standalone emails from RPM News with a 2-week advance notice.

EMAIL DISTRIBUTION LISTS + SENDER PERMISSIONS
Email distribution lists provide a way to email a large group of associates by using a singular email address (note, these are not inboxes and you can only send emails to these addresses and not from these addresses). Our email distribution lists are integrated with UKG, meaning they’re always up-to-date and automatically add or remove team members when they join or leave the organization (or move departments). To mitigate any accidental mass comms, only certain groups have permission to send to certain lists:
Corporate Support Distribution Lists: Various department leaders have access to send to their respective team/dept lists. (View all lists on Pg. 15)
Property Ops – Affordable Distribution Lists: Regional Ops, Compliance Team, and DPs have access to send to these lists. (View all lists on Pg. 16)

Best Practices When Using Distribution Lists • Use the BCC field to avoid “reply-all” situations • Subject lines should be concise and offer an idea of what recipients can expect to read • Avoid alarming language or formatting in subject lines (i.e. URGENT!, etc.) • Use the “high importance” feature sparingly and only when messages require immediate attention • Be mindful of sending during recipients’ typical working hours
