EMAIL DISTRIBUTION LISTS + SENDER PERMISSIONS

Email distribution lists provide a way to email a large group of associates by using a singular email address (note, these are not inboxes and you can only send emails to these addresses and not from these addresses). Our email distribution lists are integrated with UKG, meaning they’re always up-to-date and automatically add or remove team members when they join or leave the organization (or move departments). To mitigate any accidental mass comms, only certain groups have permission to send to certain lists:

Corporate Support Distribution Lists: Various department leaders have access to send to their respective team/dept lists. (View all lists on Pg. 15)

Property Ops – Affordable Distribution Lists: Regional Ops, Compliance Team, and DPs have access to send to these lists. (View all lists on Pg. 16)

Property Ops – Conventional Distribution Lists: Regional Ops and DPs have access to send to these lists. (View all lists on Pg. 17)

Best Practices When Using Distribution Lists • Use the BCC field to avoid “reply-all” situations • Subject lines should be concise and offer an idea of what recipients can expect to read • Avoid alarming language or formatting in subject lines (i.e. URGENT!, etc.) • Use the “high importance” feature sparingly and only when messages require immediate attention • Be mindful of sending during recipients’ typical working hours
