Guidelines for Faculty Reporting Sick Time • The purpose of the leave system is to allow for occasions when an illness, an emergency, or any other interfering event prevents a faculty member from fulfilling their obligation to the College. Given that the faculty’s primary obligation is teaching, it is considered within the spirit of the guidelines that faculty will make every effort not to miss scheduled classes and not to have classes canceled. • When a faculty member is absent from work on an instructional or non-instructional duty day during the semester, sick leave/personal days may be taken in one of three arrangements within the Kronos system: one full day, half day, or in 30-minute increments . • In general, a full day of leave should be taken when the faculty member misses the entire obligation of teaching or tutoring for that day or misses scheduled meetings or required events, such as office hours or shared governance committee meetings. • The half day of leave is intended for instances when a faculty member misses part of a day’s obligation, but teaches or tutors and attends meetings or events for another part of the day. • The 30-minute increments arrangement is for any leave less than ½ day and is intended to cover a short period of work whereas the day’s obligations are not impacted and it is at the discretion of the Division Director in consultation with the faculty member. Guidelines for Faculty Absences • Adjunct and full-time faculty should notify the Division Office Associate if they are willing to substitute. • Faculty are not permitted to schedule vacations or other unapproved leave during the academic semester. Faculty members are expected to attend all classes unless the absence is due to illness or is otherwise approved by the Division Director. • When unable to meet with a class for any reason, faculty must notify the Division Office Associate and the Division Director, or if neither of them are available, the Office of the Dean of Instruction or the Office of the Vice President of Academic Affairs and Student Services. The faculty member must contact an administrative office so that either a class cancellation notice can be posted or a substitute can be found. • When at all possible, classes should be held. Classes should be canceled only when a substitute cannot be provided. Normally, person-to-person contact regarding the absence from the faculty member is expected, but in cases of extreme illness or emergency, email, text messaging or phone messages are acceptable. • Faculty should give as much notice as possible when absent so that students can be notified in advance. Faculty should also use the learning management system (Brightspace D2L) to post assignments or to contact students in the event of an absence. • Absences not properly recorded or deemed to be unnecessary or unapproved could result in the docking of pay and/or disciplinary action. All faculty absences must be recorded within the Kronos system and approved by Division Directors.
