3. The employee driver should provide the other party with their name, address, driver’s license number, and insurance information. 4. The employee driver should immediately report the accident to the Compliance Team and provide a copy of the accident report and a written description of the accident as soon as possible. General Rules and Regulations for Fleet Vehicles 1. A fleet vehicle assigned to an employee may be used for personal transportation on a limited basis, as defined in the next section of this policy. 2. The assigned driver is fully responsible for following all procedures for the proper care of the vehicle and maintenance needs or safety problems as required by the leasing agency, i.e., Enterprise, Penske, etc. 3. Employees shall drive vehicles with reasonable prudence to conserve fuel and sustain them at the highest operating efficiency. 4. Employees will be held accountable for maintaining proper fluid levels and tire air pressure. Present the vehicle for repair, service, or adjustment whenever such is needed and preventative maintenance when time is due. 5. Vehicles provided by the company are provided to eligible employees to enable them to perform their job functions for the Company efficiently. 6. Copies of the vehicle registration and a copy of the insurance card must always be kept in the vehicle. Personal Use, Passengers, & Authorized Drivers 1. Company vehicles are to be driven by authorized employees; however, spouses can only drive a company vehicle as needed in extenuating circumstances. 2. Passengers are generally limited to those individuals who need to ride in the vehicle to conduct employer business, such as other employees, vendor representatives, retailers, etc. However, spouses and family members may ride in the vehicle as needed in extenuating circumstances. 3. Mileage driven on personal business must be tracked separately for income tax purposes. Site Vehicle Usage Policy From time to time, employees may have a need to use the site vehicle (pick-up truck). Employees may borrow the company vehicle with the understanding that the following guidelines must be adhered to: 1. Vehicle use is requested at least 48 hours in advance whenever possible. Last-minute requests may or may not be approved. 2. Personal vehicle use must be outside working hours as it is often used to make local deliveries. Working hours are Monday through Friday, 7:00 AM to 5:00 PM. Please confirm with the Operations Manager or Plant Manager for availability. 3. An MVR must be completed for the employee driving the vehicle (and the spouse if they are driving the vehicle). 4. Employee (and spouse, if applicable) must provide proof of personal vehicle insurance. 5. Employee (and spouse, if applicable) must be at least 25 years of age. 6. Smoking is not permitted in the company vehicle. 7. Alcohol consumption is not permitted in the company vehicle. 8. The employee must replace any gas used. 9. Upon return, the employee should remove all trash and personal belongings from the truck. 10. Harrell’s would prefer that animals not be transported in the truck; however, if it is absolutely necessary, please thoroughly clean the inside of the truck, removing any traces of animal hair, food, excrement, etc., upon return.
