PRIVACY EMPLOYEE PRIVACY

It is Harrell’s goal to respect the individual privacy of its employees and, at the same time, maintain a safe and secure workplace. When safety and security issues arise, employees may be requested to cooperate with an investigation. The investigation may include the following procedures to safeguard the Company and its employees: searches of personal belongings, searches of work areas, searches of private vehicles on company premises, medical examinations, and the like. Failure to cooperate with an investigation is grounds for termination. Providing false information during any investigation may lead to discipline, including termination. Employees are expected to use the Company’s facilities only for the Company's business purposes. Accordingly, materials that appear on company hardware or networks are presumed to be for business purposes. All such materials are subject to review by the company at any time without notice to the employees. Employees do not have to have any expectation of privacy concerning any material on company property. Harrell’s regularly monitors its communications systems and networks as allowed by law. Monitored activity may include voice, e-mail, and text communications, as well as Internet search and browsing history. Employees are expected to keep personal communication to a minimum and in emergencies. Employees who use the communications system excessively for personal matters are subject to discipline. Video surveillance. As part of its security measures and to help ensure a safe workplace, some of the Company’s sites have positioned video cameras to monitor various areas of its facilities. Video cameras will not be used in private places like breakrooms, restrooms, locker/dressing rooms, etc. PERSONNEL AND MEDICAL RECORDS The Company maintains a personnel and medical file for every employee. The personnel file includes, at the minimum, any employment application, test results, payroll documents, performance reviews, disciplinary notices, acknowledgments of receipt and review of the handbook, and other personnel documents. Medical records are kept in a separate folder. Every effort will be made to keep personnel and medical records confidential. Access is on a "need-to-know" basis only. This includes but is not limited to supervisors and others in management reviewing the file for possible promotion, transfer, or layoff. Employees wishing to review their personnel or medical file may do so after giving the company reasonable notice. Inspection must occur in the presence of a company representative. All requests by an outside party for the information contained in the employee’s personnel file will be directed to the Human Resources Department. Outside access will only be given with a properly served court document or written consent from the employee. PRIVACY AND SOCIAL SECURITY NUMBERS Policy and Procedure Regarding Use and Disclosure of Social Security Numbers Purpose. This policy and procedure explain Harrell’s general standards and practices for gathering, storing, disclosing, and ultimately disposing of Social Security numbers.
