It is essential to maintain a proper spirit and tone in communication. The following guidelines are suggested: • Employees should make their communications positive, constructive, complete, and factual. • Do not write when angry, and edit before sending. • Be careful with humor – others cannot see a wink. • Always avoid sarcastic humor – others can’t hear the tone of voice over e-mail. • Never use all caps – that is perceived as “SHOUTING!” • Avoid belaboring disagreements in e-mail – there is a time for face-to-face meetings. • Be clear in communication, stating what is needed and when. Procedures Procedures for accessing the Electronic Communications system and the guidelines for properly sending and retaining information may be obtained by contacting the IT Department. • Investigations - The Company is committed to protecting each employee’s rights regarding equal protection and a work environment free of sexual harassment or illegal conduct. To ensure the quality of the work environment, Harrell’s encourages and requires employees to report all suspected violations of this policy. All reports and investigations will remain confidential to the extent feasible. • Acknowledgment/Consent - Each employee should receive a copy of this policy on the first day of employment or upon its distribution. Employees will be required to read the policy at that time and then sign and date a form acknowledging they have done so. Their signature on the acknowledgment form indicates the employee has received the policy, read and understood it, and is voluntarily consenting to the Company's monitoring and review of all electronic communications. Points of Contact Questions concerning using the Electric Communications system should be directed to the IT Department at support@harrells.com or 877-427-4853. Questions concerning the improper use of the system should be directed to the employee’s immediate supervisor and Human Resources. Violations Any employee who abuses the privilege of access to the Company’s Electronic Communications system, violates this policy, or demonstrates poor judgment in how they use any electronic device will be subject to corrective action, up to and including termination. The Company will also advise law enforcement officials of any illegal conduct if necessary. TELEPHONE USE Harrell’s encourages appropriate, work-related use of its telephone lines. Employees should limit personal use of the telephone to rest periods where possible. A casual conversation with friends and relatives during working hours is strongly discouraged. Personal calls that violate this provision will be charged to the employee. Telephone use is subject to the Electronic Communications Policy. COMPUTER SECURITY AND COPYING OF SOFTWARE Harrell's prohibits copying or using unauthorized software generated by the Company or an outside source. The Federal copyright law makes it clear that creating and distributing copies of copyrighted material without authorization, except to make a backup copy for company archives, is illegal.
