CORPORATE CREDIT CARDS When a manager determines that an employee is eligible for a credit card, the manager will notify Human Resources. Human Resources will issue the eligible employee the Credit Card Policy and Credit Card Agreement. Upon receipt of these signed documents, Human Resources will request the credit card from the Accounting Department. A representative from the Accounting Department will distribute the credit card when it is received. Eligibility To be eligible for a credit card, an employee must frequently travel during their duties, purchase a significant volume of goods and services for use by Harrell’s, or incur other regular, frequent business expenses appropriately paid with a credit card. Each credit card limit will be set on a case-by-case basis. Usage Guidelines The corporate credit card cannot be used to obtain cash advances, bank checks, traveler’s checks, or electronic cash transfers for expenses other than those incurred by the assigned employee named on the card or for personal expenses. Personal expenses include iTunes transactions, laundry, meals outside overnight travel, gas for a personal vehicle, etc. o Note: Special events hosted by Harrell’s, including the annual sales meeting, may require special attire or travel outside of normal business. In such instances, special credit card purchasing guidelines will be distributed. • Misuses of the card will result in cancellation of the card and withdrawal of corporate credit card privileges. • Cardholders will be required to sign a Credit Card Agreement. • If the card is used for an employee’s personal expenses, the employee must contact the Accounting Department to make arrangements for repayment in one of the following ways: Personal check payable to Harrell’s, cash, or credit card. • Lost or stolen cards must be reported immediately to the Accounting Department. • Cardholders are required to provide descriptions of all transactions in the online Wells Fargo credit card system. Descriptions for meals, entertainment, and gifts must include the customers’ names. o Note: De minimus credit transactions of $25 or less do not require a receipt to be uploaded and saved on the Wells Fargo credit card website. • Cardholders are required to upload all receipts to the Wells Fargo credit card system except for de minimus transactions as described above. • Credit card approvers must review all transactions, including the accompanying receipts, to ensure the transactions are appropriate and in compliance with company policies. CUSTOMER RELATIONS Products and Services Knowledge. Employees of Harrell’s are expected to be intimately familiar with the products and services the Company offers. Employees are encouraged to understand the inter-relationship between their department or division and the others of the Company. Harrell’s considers its employees to be one of its best sources of business referrals. The better educated its employees are about the Company's production and service capabilities, the better chance of creating additional customers for the Company.
