6.5. Safe keeping policy
Purpose: Safe Keeping involves transferring product back to the Warehouse that is no longer required. This will prevent the risk of products being damaged in the Boutique BOH area and minimize the stock being stored in the BOH areas. This policy will be used only in cases where a Boutique has:
1. Seasonal Items after the season has finished.
2. Damaged boxes from display or old stock from previous seasons are to be sent once a month on the 20th to the Warehouse. Should you spot any damage during the receiving process, you have the right to reject the order or return it to the WH the next day. Please keep emails for your record.
Procedures:
Count the identified packaging/products properly.
The boxes must be packed appropriately to maintain the perfect condition of the packaging/products.
Gift boxes must be packed with OPP and the wooden/luxury boxes with bubble wrap.
The boxes must be in great condition, well cleaned and free of stickers (Bateel sticker and price).
The Operations Manager must give their approval.
Create a new transfer in Navision under Location number 408 with reason code Safe Keeping – Seasonal Return and select the warehouse code in the transfer to location.
Select the codes for the packaging/products manually and enter the quantities.
The physical quantity counted must match the quantity entered into the system.
Transfer Order to be posted in the system – select the post and print button.
Fill in the return form with codes, description, quantities and clarify the reason for return.
Boxes must be counted and checked by the driver.
Print out 2 copies of the Transfer Order, send one copy along with the return form, physical packaging/product and file the second copy with Transfer Order receiver signature (driver).
