2025 Crown Team Member Handbook

POLICIES

Key Control Policy Team Members in possession of a key to the dealership or any dealership property have the responsibility for the proper use of that key and will be required to sign for it. Keys must be kept in a secured location. A lost or misplaced key must be reported immediately to the Manager. Never duplicate or loan a key. Team Members leaving the Company must turn in all keys to the GM on their last day of work. All Guest/inventory/lease turn-in keys must be accounted for at all times. It is prohibited to leave a Guest or Company vehicle key unsecured at any time – no

exceptions. Any unsecured keys that are found are to immediately be turned in to a Manager. At no time are Team Members allowed to pass keys to one another. Keys must be returned to the KEYper system and then checked out by the next Team Member. A Team Member can only check out keys for themselves and must be the one to return them. Do not permit Guests to handle the keys. Keep the key on you at all times during a test drive. A Guest may take possession of a vehicle key in the case of an extended test drive, loaner, bailment or conditional delivery, after you have verified government identification presented in person (an email or text copy is insufficient), vehicle insurance and the Guest has executed the proper form in its entirety. Guest Key Replacement Procedures The following procedures must be followed when making a replacement key for a Guest. Verification should include both Drivers’ License of requester and verification of vehicle ownership. • Government issued identification is required before a key can be cut. • The vehicle registration form or other proof of ownership is required (i.e., a title) must be original documents with a current date – Never accept handwritten copies; for vehicles purchased from our Company, a computer history with proper identification will be sufficient. • For vehicles registered in certain states, the accounting department may be able to assist by running a DMV search to verify ownership. • Cutting keys for Guests other than the registered vehicle owner may result in the dealership and/or Team Member being charged with aiding and abetting in Grand Theft Auto; both the Company and the Team Member may be determined liable in the event the vehicle is stolen. • When vehicle ownership cannot be proven beyond a reasonable doubt, do not provide keys; refer the Guest to their selling dealership.

43 No policy should be construed to confer any express or implied contractual relationship or rights to any Team Member. The Company reserves the right to modify any policy as necessary, in its sole discretion, to the extent permitted by law. Violation of any Company policies or procedures can result in disciplinary action up to and including termination of employment. If you have any questions about this handbook or Company policies, please feel free to discuss with your Manager or HR.
