THE CHALLENGE:

The Heart of England Co-operative Society was seeking support to help plan and manage its annual conference event in November 2022 for over 100 people. The event needed to communicate the society’s successes with its staff, allow suppliers to showcase their products and services, as well as celebrate its 190th birthday. The conference was also a way that the leadership team could share future strategies and new product developments from suppliers with the wider team.

The Heart of England team approached AlphaGraphics to help them plan, execute and manage the conference and needed support in all areas - from the venue and contractor sourcing, print and design requirements, video support, giveaways and hosting support on the day. As well as encompassing the society’s #bettertogether theme, the conference was to be held during the World Cup 2022 and just before Christmas, therefore needed to encapsulate these elements into the content, look and feel of the event.

THE SOLUTION:

Our team set to work securing the venue, Coventry Building Society Arena, and then sourcing the external contractors that would help bring the entire event to life, including sound, lighting, catering and more. We then worked with Heart of England to invite suppliers and staff to the event through internal intranet communications as well as email marketing. In addition, we also developed various other pieces of content and marketing collateral for the conference, including the main slideshow presentation. Our in-house videography team also produced a corporate video which was embedded into the presentation. This video showcased the Heart of England brand, its plans and values for the future, as well as celebrating the 190th anniversary of the society. Marketing Support The AlphaGraphics marketing team worked with the Heart of England on all aspects of this project.

Our team also sourced and organised all the additional decorations and resources from external suppliers such as balloons, catering, lighting and sound systems. We were proud to work with plenty of local suppliers in Coventry for these elements, as this was important for the Heart of England. We had free-reign to use the agreed budget after the success of the same event the previous year, which instilled confidence in the leadership team to let us take charge of the 2022 event.

CREATIVE AND DESIGN Our design and creative team were on hand to help design the slideshow presentation and other marketing collateral like signage, printed materials and branded giveaway swag.

All the materials needed to be in-line with the Heart of England’s new and improved brand guidelines. We knew exactly how to develop these as our design team had been heavily involved in the brand guideline development project earlier in the year, and had already started implementing these in other projects with the Heart of England. THE IMPACT:

130 of the society’s suppliers, support centre staff, and leadership staff attended the event. As well as showcasing the fantastic work the society does for its communities and all of its suppliers, the November conference boosted morale, generated excitement for the coming months and into the new year and enabled everyone to gather and celebrate together. The team at AlphaGraphics received great feedback for its involvement and support with the conference, which was recognised by those who attended.
