This Event Planning Trick Will Help You Succeed RETHINKING SAVES THE DAY!

Here’s my challenge for you: This year, instead of spring-cleaning, try spring-rethinking. You can apply this to any area of your life or business. Reevaluate your goals and check in on your progress. Are your strategies still serving you? Are your goals still pushing you? Then, seek places and tasks outside your comfort zone and make a plan for success — but stay open to learning, reacting, and pivoting in real-time. The need for rethinking is inevitable. Things change, timing changes, people change, and personalities change. Life is a balancing act! But if you’re open to that change and take a solution-oriented approach — tackling what’s real and not just what’s expected — then you’ll hit the mark every time.

In the world of event planning, nothing is ever certain — even if you schedule out every last detail. At any moment, the weather can shift, a keynote speaker can cancel, or a business owner can decide at the podium to overhaul their entire speech. One minute you’re planning to uplight the stage for a celebrity performance, and the next, they demand a spotlight! To succeed in this crazy world, my team needs to react, pivot, and rethink in seconds. Last January in Orlando, Florida, we pulled that off at a tailgate party for the software company WorkWave. We’d planned the football-themed cocktail reception for 1,500 people down to the last detail. It would take place outdoors in the gorgeous Florida weather, where guests could lounge and sip their drinks while watching cheerleaders tumble before the game. Then, we arrived on-site — and a cold front moved in. Icy wind blasted the venue, and the clouds cracked open, releasing a deluge of rain. So much for the balmy Florida weather! Then, it got worse. We fielded a call from the cheer squad; they all had COVID-19. Some event planners would have panicked, but Eventique pivoted. We shooed rehearsing acts out of the venue’s ballroom and turned it into tailgate headquarters. The existing LED screens became our Jumbotrons to show the game. And at the last minute, we called in a local drumline to replace the cheerleaders. Not only were they spectacular, but guests also reported later that their performance was the highlight of the entire Beyond Service User Conference! I won’t deny it: I’m proud of my team’s ability to react in the moment and turn curveballs into wins for our clients. When you work to curate and capture them, those wildcards can become the most inspiring moments of the entire event story. I’m sharing this now because I like to think of spring as “rethinking season.” We rethink daily while executing events, but in the spring, I rethink our company’s goals for the whole year. Right now, I’m sitting in my office reviewing the progress Eventique made in Q1 and deciding where we need to pivot to accomplish our initiatives for the rest of 2023.

Growing Together Award-Winning Events Encourage TikTok to New Heights

I n the fall of 2022, fresh tech industry news hit the airwaves: TikTok was subleasing a more than 600,000-square-foot office complex in San Jose, California. The offices once belonged to Yahoo!, but TikTok’s workforce quickly moved in — and soon afterward, 3,000 of them rocked the campus during an unforgettable New Year’s Eve celebration produced by Eventique. The TikTok crew explored a custom mirror room, a karaoke room, a game room, and an infinity dance floor. They networked, staked their claim to the campus, and gyrated to the signature hip-hop and R&B beats of DJ Umami, the former Golden State Warriors and current San Francisco Giants DJ. According to Eventique Vice President of Creative and Strategy Eric Wielander, this event was the latest and largest in a string of Eventique productions for TikTok and its parent company, ByteDance. “Near the beginning of the pandemic, TikTok contacted us and said, ‘Oh my gosh, do you guys do virtual games and events? We want to keep our staff connected!’ Over time, we went from hosting these little ‘Jeopardy’-style Zoom games for certain divisions of the company to producing companywide virtual gatherings, like end-of-year celebrations,” Eric says. In addition to those early team-building events for TikTok’s North American offices, in the fall of 2020, Eventique produced a Latinx Heritage Month virtual creator event for TikTok called “Familia Latina.” BizBash described the event as a “hacienda- style 3D environment” for Latinx influencers, who could take snapshots at a virtual photo booth, enjoy performances from George Lopez and Becky G, examine a bookshelf packed with creator and trailblazer biographies, and score content creation tips from TikTok’s employees.

After the success of “Familia Latina,” TikTok’s relationship with Eventique blossomed. In 2020, Eventique produced the platform’s first-ever virtual End-of-Year Celebration. In 2021, TikTok’s Summer Wrap Party — starring celebrity guest Terry Crews — won a BizBash Event Experience Award for “Best Virtual Team-Building Activity.” Then came the 2022 End-of-Year Celebration with rapper Lil Jon. It raised the bar for the industry, winning two BizBash Event Experience Awards for “Best Virtual Experience” and “Best Virtual Team-Building Activity.” “I love when Eventique is able to grow with our clients, and our relationship with TikTok is a great example of that growth,” Eric says. “We started producing small virtual events for them in 2020, and now we’re producing their live events for 3,000 people.” During that time, the world watched TikTok grow by almost 60% in 2020 and more than 40% in 2021 — and the team at Eventique doubled. TechCrunch reports TikTok is now the third-largest social network in the world after Facebook and Instagram. Eventique has cultivated a similar relationship with the South Korean manufacturing and service conglomerate SK Group and, more specifically, its electric vehicle charging station arm, SK Signet. First, Eventique produced a simple ribbon cutting for SK’s new factory in Bay City, Michigan. Then, they went on to coordinate other factory openings for facilities as far-flung as Plano, Texas. Next, Eric says, Eventique will work with SK to execute brand activations at large-scale sporting events. Eventique Senior Project Manager Amelia Friedman tells a similar story about the growth trajectory of another Eventique client, the eCap Summit. The eCap Summit is a multiday, “all-inclusive retreat” and networking opportunity for key players in the health care industry, including lenders, brokers, bankers, and executives. Their first call to Eventique surprised the whole team. “In 2018, we were asked to step in on a 300–500 person eCap Summit down in Miami to help with last-minute logistics. We ended up taking a bigger role than expected in producing that event. Then in 2019, we produced the entire conference for 600–800 people,” Amelia says. “Jump to today, and we are loading in for the same exact conference — this time expecting about 1,500 people!” Eventique has produced eCap for six years running, bringing in celebrity speakers like Shaquille O’Neal, Magic Johnson, and Kevin O’Leary to excite the high-profile crowd. Amelia says the team’s creative freedom has expanded along with the event. In 2023, Eventique supplemented eCap’s usual breakfasts, poolside hangouts, evening parties, and afterparties with tricycle snack bikes that crisscrossed the property, bringing tasty morsels directly to attendees. Eventique has also designed eCap’s sister summit for the real estate industry, eCore, since 2020. “The eCap Summit has really grown, and it has been fun to watch that growth,” Amelia says. their centerpiece design, and their entrance moments?’ ‘How did they make that happen?’ Growing up, I couldn’t get away from it, so I decided that I loved it!” Calleen’s upbringing launched her into her future. After majoring in theatrical production design and studying costumes, makeup, set design, and studio art in college, she embarked on a roller coaster career in the event business. These are just a few of the jobs she’s held in the last few decades: • Event Planner for the City and County of Denver – Calleen hosted galas, philanthropic events, and community outreach projects, including the city’s famous haunted house. • Promotional Products Director of Operations and Logistics – Calleen’s team shipped boxes of branded merchandise worldwide for corporate events. • Wedding Event Designer – Calleen traveled the country coordinating million-dollar wedding bashes for the rich and famous. • Cosmetics Representative and Event Designer – Calleen crisscrossed the Western U.S., hosting branding events for partners like NARS and Dior. • Haunted Forest Logistics Coordinator – Calleen designed scares and coordinated actors at one of the spookiest venues in Washington. “Most of my life has been spent trying to figure out how to create things from a drawing or a design,” Calleen says. “Then I find out whether those things are practical and how much they will cost to build.” Calleen is the first member of Eventique’s growing creative services department. Working side-by-side with Vice President of Creative and Strategy Eric Wielander, she adds her personal polish to nearly every event Eventique produces. “My job is to ensure your brand is being conveyed thoughtfully and that the purpose of your event is communicated in a way that keeps people excited about your brand or keeps it memorable for them,” she says. “Those are the things I’m most passionate about.” When you rely on Eventique to coordinate your next event, you can rest assured your plan’s final stages will be scrutinized by expert eyes — either Eric’s or Calleen’s.

For Event Designer Calleen Audrey, the most fascinating part of working at Eventique is meeting her clients’ celebrity talent. “It’s kind of surreal,” she says. “... When we were working on the Olena Zelenska Foundation Launch, for example, I didn’t go down to the main level — I was up above the action on the mezzanine, looking down — but I could see some crazy things. Matt Damon walked up the stairs less than 20 feet away from me! At the time I thought, ‘Wow, this is fun.’” Part of Calleen’s job is remaining polished and professional around superstars, but that doesn’t mean she isn’t fangirling inside. When Eventique planned an event featuring actress Sofia Carson, she couldn’t wait to tell her nieces, who are Disney channel superfans. Working with star power is relatively new for Calleen, but she mastered the other aspects of event planning decades ago. Before joining the Eventique team in September 2022, she had what she describes as a “ridiculous career journey.” It started when she was a precocious 14-year-old living in Seattle, and her mother — an active member of local Masonic organizations — enlisted her help planning galas, conventions, and conferences. “I grew up going to themed parties and galas, and each of them had a purpose,” Calleen says. “As much as I didn’t like having to be there when I was a kid — because I had to dress up and play ‘family time’ while there were eyes on me — those events still gave me a sense of wonder and excitement. I wanted to know, ‘What is this theme?’ ‘How did they convey it with their food,

At the on-the-ground experience, clients wander into a small white room filled with 16 touch screens and call up Morgan Stanley client personas with a few quick taps. “Meeting” Camron, Sasha, Greg, and Jordan on-screen lets participants step into their shoes and imagine accessing Morgan Stanley’s suite of services before buying. When you invite company over for dinner, you have a thousand things to think about. Given that, it’s no wonder even the best- laid plans often overlook a crucial element: the tablescape. A fantastic eye-catching centerpiece will wow your guests, spark conversation, and set the tone for the coming meal. So, how do you create one?

To answer that question, we turned to Calleen Audrey, Eventique’s Event Designer. Calleen studied theatrical production design, set design, and studio art and has decades of experience executing high- level events. Her artist’s eye never misses a detail — and centerpieces are one of her many specialties.

“You can hang beads or crystals, or use pieces of fishing line with pendulums tied to the ends. You can even suspend birds or float feathers, candles, miniature terrariums, or orbs,” she says. Whichever option you choose, aim for variety and match your decor to the event’s overall theme. Whether you’re going minimal and upscale for a client dinner or fun and over the top for a birthday party, your centerpiece will be the finishing touch.

“My biggest tip for creating centerpieces is that expensive is not always better,” Calleen says. “If you’re crafty, you can find great and creative ways to build your own centerpiece by looking in dollar and secondhand stores. Purchase things and repurpose them!” When you’re on the hunt, don’t stop at flowers. Consider candles; sculptures; metallic or sparkling finishes; natural
