This is carried out by encouraging a positive working culture, regular informal chats and creating strong, trusting relationships with team members. External stakeholders External stakeholders include: l HM Revenue and Customs l The Pension Regulator l payroll software providers l professional bodies, such as the CIPP l pension scheme providers l financial advisers l insolvency practitioners. To stay connected with external stakeholders, it’s best to build a relationship with a point of contact. When using payroll and pension software, it is good to connect with account managers, to ensure that the software is up to date, to discuss any potential changes of legislation coming into to force, as well as being updated on the latest information the software has to offer. As a bureau, building connections with financial advisers and insolvency practitioners are valuable, as clients may need additional support that the bureau cannot offer. By providing recommendations of where to go and who to speak to in relation to additional queries allows the bureau to be as informative and responsive as possible for the clients and their affairs. Staying connected with professional bodies allows the team to feel supported and up to date with payroll legislation. These connections include watching webinars, reading professional magazines and having access to fast and efficient helplines.
Attending networking events both in person and online is also a good way to meet external connections. Connecting with the outside world As a bureau, we stay connected by posting content on our social media channels. This can be from business and legislative updates to keeping our clients and potential clients up to date with internal events, opening hours and business processes. We regularly request feedback from clients, which assists with continuous improvement. We log feedback and use these as testimonials to help promote the business. We are beginning to host internal events, such as coffee mornings with clients to have a chat about the service the client receives, as well as what other services we could offer. Meeting clients face to face forms the best connections because it allows the bureau to build a strong, positive relationship, which is needed to be able to provide the best service. We attend networking events, which provide a chance to display our services to potential new clients, as well as meet others in the industry where our assistance may be needed. It’s also great to connect with others within the industry by joining forums on social media. This allows experts in the field to assist each other with any potential queries and keep each other up to date with any legislative changes. We aim to give back to our community!

Internal stakeholder communication often includes: l the payroll junior working alongside the payroll senior and manager to complete the weekly and monthly payroll runs l internally, the junior sending journals to the accounts department to ensure it has the most up to date information needed to carry out its role l the payroll manager and senior working alongside the HR department to produce written statements for clients to ensure they are remaining compliant l the payroll manager drafting quarterly payroll bills and communicating this information to the finance department l information from director only payrolls being communicated to the tax department to assist with self-assessment tax return completion l the payroll team communicating regularly with the IT department to ensure that systems are cyber secure and allowing General Data Protection Regulation compliance. Without effective communication like the examples above, individuals from all teams would struggle to carry out their day-to-day tasks. Therefore, when working within a bureau you are not only a data inputter, but you are also the controller and outputter of information for other departments. We also aim to source locally, by using local businesses to for our logo production and merchandise, giving back to our community wherever we can. To summarise, in the words of Albert Einstein “the hardest thing to understand in the world is income tax” therefore we must stay connected with our internal and external stakeholders who provide expertise in different fields. This vast amount of knowledge can be transferred to ensure we provide the best possible service to our clients. n
