Reporting to: Deputy Bursar
• Through estates teams organise and prioritise tasks across the site, maintaining a safe and clean environment. • Undertaking valuations and audits with third parties as required. • Acting as the client representative for all major and minor projects at the school in consultation with the Bursar and Deputy Bursar. • Ensuring the school has resilient plans and protocols in place for business continuity in case of emergency repairs, and lead the emergency response protocol. • Acting as the school’s utilities management officer and ensuring not only that energy and water consumptioniscarefullymonitoredand minimised but also that the best price is obtained for the purchase of utilities. • Managing procurement practices for relevant departments. • Ensure appropriate external service contracts are in place including gas boilers, air conditioning, lifts, swimming pool equipment, gates and fire detection systems. • Oversee estates external support contracts related to cleaning, waste, infrastructure, and estates equipment. • Managing the use of and overseeing the condition of the sports grounds, including those let by the school. • Leading on staff accommodation matters and managing moves. • Leading and running the school’s environmental and sustainability programme, managing its credentials and practices. • To work with the Deputy Bursar
General management
• Exercising broad trouble shooting responsibilities. • Managing appropriate budgets and contributing to the annual budget process. • Managing staff, including undertaking annual appraisals,performancemanagementandtraining requirements, with advice from the Head of HR. • Liaising with the Friends of KCS on event support. • Managing procurement across departments to ensure best value for goods and services. • Contributing to the risk register and overseeing/ implementing any mitigating actions. • Attending meetings and school events (e.g. health and safety committee) as directed by the Deputy Bursar, including occasional evenings and weekends. • Undertaking any other reasonable tasks as directed by the Deputy Bursar.
The Head of Estates & Facilities Management is a senior role in the support staff at King’s. The successful candidate will report to the Deputy Bursar and will work closely with the Bursar on certain projects. The postholder is responsible for the smooth and efficient operation of the school, with specific responsibility for the development and condition of the school estate, the management of contracts and for the line management of the Estates, Grounds and Maintenance teams.
RESPONSIBILITIES
The Head of Estates & Facilities Management has the following responsibilities:
• Day-to-day provision of excellent spaces across all school sites for pupils, staff, and visitors. • Provision of excellent facilities services and customer service for pupils, staff, and visitors. • Day-to-day liaison with staff, ensuring clear and effective communication of major activities to the whole staff body to minimise disruption to the school campus • Day-to-day liaison with neighbours and local community business to ensure that the school is seen as a positive contributor to our local area. • Proactive line management of departments within the estates team, ensuring appropriate holiday cover is in place. • Ensuring clear and prompt communication with stakeholders, both internal and external, in order to deliver a seamless customer service focused operation. • Assisting the Bursar and Deputy Bursar with strategic planning for future major infrastructure projects and overseeing all minor projects. • Managing the condition of all site infrastructure through a 10-year Planned Preventative Maintenance (PPM) programme - this includes holding up to date site plans for buildings and services. • Overseeing the school’s buildings management systems ensuring a high level of compliance.
