Job Context

The university has three main sites; Mile End, Whitechapel and Charterhouse Square, with further accommodation on the Barts and The London site at West Smithfield and the Centre for Commercial Law Studies based at Lincoln’s Inn Fields. The University Estate comprises 76 buildings including the residential estate, and a total gross internal area of approximately 235,000 square metres. The Property and Space Management team form part of the Estates and Facilities Direc- torate and are responsible for estate man- agement, property acquisitions and disposals, contributing to the development of Estates Strategies, maintenance of the property space database and space planning.
To assist the development and manage the im- plementation of the University’s approach to space planning, allocation and utilisation, thus ensuring that the University gets maximum val- ue and the most effective use of its Estate by accommodating ambitious growth and simul- taneously driving efficiencies in space utilisation
as a result of significant capital projects, move management will ordinarily fall with- in the remit of the relevant Capital Project Management staff. • Behavioural Change in Relation to Space Utilisation. Help to foster culture change to introduce new “smart” working practices, where appropriate, to make the most effective use of work spaces, identify- ing any adjustments (physical or otherwise) so that the working experience for staff is improved and not adversely affected. • Reporting in Relation to Space. Work- ing with the Space Data Manager and the Space and Workplace Analyst, provide management information and data for the development of business cases for potential capital projects, and for such other purpos- es as required. • Strategic Planning. To contribute to the planning process with regard to tactical and business unit enabling plans and initiatives to support growth in teaching and research activity and the quality of the student expe- rience, as required. • Space Management Sub-Groups. To as- sume responsibility for servicing/running the Faculty and Professional Service Sub- groups which report into the University’s Space Management and Capacity Planning Group. The above list of responsibilities is not exhaus- tive and the jobholder may be required to un- dertake other duties commensurate with the level of the role, as reasonably requested by their line manager.

Main duties and responsibilities
• Space Management. To provide an anal- ysis of space needs, consulting widely with the Faculties and Central Professional Ser- vices, making recommendations for the fu- ture size and configuration of the Estate so as to support Queen Mary’s strategic aims, focusing in particular on short- and medi- um-term solutions. • Space Planning. To make recommenda- tions on the use of space to the university, the Space Management and Capacity Plan- ning Group, the Faculties and Central Pro- fessional Services. To undertake proactive negotiations with users who have request- ed additional space, and develop options for meeting their space needs. • Space Utilisation. To develop and imple- ment KPI’s, performance tables and space norms for core activities. The post-holder will be expected to manage space utilisation and post-occupancy evaluation surveys. • Spatial Brief Development. Develop spa- tial briefs for colleagues in Capital Projects and Facilities Management, as required to lead on the relocation of groups of staff and students, including development of room layouts.
