VOP Employee Handbook

SECTION 5: COMPENSATION

Direct Deposit All employees will have their paychecks deposited directly to a bank checking or savings account by completing the necessary forms. You may change financial institutions or the amount of direct deposit distributions at any time by completing a new Direct Deposit form. Contact Human Resources for more information. Work Week/Pay Day The typical workweek begins on Saturday morning and ends on the following Friday. You will be advised by your supervisor if your workweek deviates from this. Payday for employees is every other Friday. Employees may access their direct deposit stubs via the intranet. Signing In/Signing Out Employees are to follow these simple guidelines to complete their timesheets each pay period: • You are expected to sign in and out at the start and end of your shift each day. The time on your timesheet should reflect the actual time you start and stop, and not the scheduled time. Employees are expected to be ready to work at the start of the shift. Employees should not work outside the regular schedule without prior supervisor approval. • Always sign “out” and back “in” for meal breaks or if you leave work for doctors’ appointments or for other personal business. • In the event you forget to sign “in” or “out” on the day of the event, it is your responsibility to complete your timesheet as soon as possible when you return to the workplace; or advise your supervisor if your timesheet has been collected for processing of payroll. You may not enter information on a co-worker’s timesheet or ask another employee to enter information onto yours. Violations of this policy may result in immediate dismissal of either or both employees. Overtime Based on the operations of the municipality and the need to service the residents of the Village, it is sometimes difficult to operate on a completely regular schedule. When overtime is necessary, the VOP will attempt to offer work in an equitable fashion to employees based on skill and ability within the department in accordance with the guidelines below. All overtime must be approved in advance. Hourly employees will be paid one and one-half times their regular rate of pay or provided one and one- half hours of compensatory time for all hours worked over 40 hours in any workweek. Depending on operational needs, an employee’s work hours may be adjusted within the same workweek to eliminate the need for overtime or compensatory time. Firefighters and Police Officers calculate overtime and/or compensatory time on a 28-day work schedule. Only actual hours worked in each work period (40-hour work week/28-day work schedule) will be counted toward the calculation of overtime/compensatory time. Days off for holidays, vacation, sick leave, jury duty, or other leave periods are not included as time worked for calculating overtime. Use of compensatory time must be requested and approved in advance. Refer to the Overtime and Compensatory Time Policy for additional details.
