VOP Employee Handbook

Employees may use vacation in increments of one-tenth or more hours. Cash payments to active employees will not be made in lieu of taking vacation. However, at the end of each calendar year, employees who have a vacation balance greater than the maximum allowed accrual will have the excess vacation hours added to their sick bank.

On call, seasonal and reserve employees do not accrue vacation time.

Employees who voluntarily terminate from the Village will be paid for any accrued and unused vacation balance, not to exceed the maximum accrual amount, in their final paycheck if appropriate notice of resignation is given. Vacation time may not be used during an employee’s voluntary termination notice period, even if approved prior to submitting their notice. Appropriate notice is:

In cases when employees provide more than the required notice, vacation may be taken until the final weeks as listed above. Accrued and unused vacation will be forfeited upon an employee’s involuntary termination or if the employee does not give proper notice. Refer to the Resignation section of the Handbook for additional details. In the event of an employee’s death, any unused accrued vacation, not to exceed the maximum accrual amount, will be paid to the employee’s estate. Refer to the Leave Benefits Policy for additional information. Sick Leave The VOP provides you with paid time in the event of an illness, injury, or to secure necessary treatment for medical conditions. You may also use sick or vacation time for these same purposes for immediate family members including spouse/household partner, parent/step-parent, child/stepchild, sibling/step- sibling, grandparent, grandchild, in-laws (father, mother, grandparent, son, daughter, brother, sister), or a legal dependent residing in the employee’s household. Sick Leave is accrued each pay period, 26 pays per year. Unused, accrued sick leave is not paid out upon termination. Upon retirement, employees who qualify and retire under the North Carolina Local Governmental Employees’ Retirement System have two methods to benefit from their unused and accrued sick time: 1: Sick leave may be used as credit for service, consistent with the provisions of the North Carolina Governmental Employees’ Retirement System. 2: Employees with sick hours accrued with the Village of Pinehurst, as of July 1, 1997, may be paid 1/3 hour for every sick hour remaining after deducting any hours used for retirement service credit. The base hours upon which the 1/3 payment is made may not exceed the employee’s sick hours accrued as of July 1, 1997. Payment is made at the employee’s current hourly rate.
