Job Description Senior Events & Entertainment Manager
REALM OF RESPONSIBILITY
1. Strategic Planning and Thought Leadership • Create synergy and integration between events, digital campaigns or platforms, and marketing communication to ensure positive sentiment via meaningful experiences and interactions. • Collaboratively plan and develop events that ensure brand awareness, engagement, loyalty and ROI • Conceptualize, plan and implement an Event and Entertainment strategy that is aligned to the V&A shared values business strategy • Provide input into the overall Marketing and Communication Strategy • Provide support to the Marketing Executive and other Senior Marketing Managers by advising on engagement opportunities • Leverage the Event and Entertainment strategy to positively impact brand health and ensure brand equity • Monitor industry and market trends, competitive landscape, and digital innovation to inform and inspire enhanced human experiences on the precinct and to support the Event and Entertainment strategy • Identify enhancements and pro-actively drive new approaches and opportunities to experiential events planning and management • Create eventing platforms that facilitate tenant participation and that influences the consumer funnel 2. Event and Entertainment Management • Formulating an in-depth understanding of business and marketing strategy and translate those into effective strategic on-the-ground activation and event plans • Ensure the effective delivery and roll-out of experiential events • Coordinate and manage resources to ensure relevant, meaningful and successful events (including internal and external parties) • Oversee the procurement of best of breed third-party suppliers with professional experience and accessibility across geographies to help manage and execute events • Proactively direct and manage multiple events on time and on budget • Ensure implementation of and adherence to eventing compliance, procurement guidelines, health and safety regulations in collaboration with the relevant BU’s • Create contingency plans and mitigate risks when necessary • Partner with Operations to proactively formulate a crisis-management plan • Investigate methods of improving the management, quality and standard of customer engagements and events • Manage, maintain and circulate the event marketing calendar
3. Stakeholder Relationship Management • Build and maintain collaborative working relationships with business, marketing, internal and external service providers • Build strong working relationships with key client contacts at a senior and strategic level to learn more about their event needs and challenges, gaining mutual trust and respect • Proactively utilising events to meet stakeholders requirements by providing a centralised, professional and effective eventing service • Identify sponsorable opportunities when conceptualizing campaigns • Foster positive network and relationships within the Event Sector and City Officials across Cape Town • Collaboratively work with Procurement to select the best suppliers 4. Financial Management • Produce and monitor financial forecasting, billing and processes, including firm control of department spend and reconciliation • Present, sell-in and solicit sign-off of the Event and Entertainment budget • Ensure continuous reporting of budget lines to key stakeholders • Manage and ensure efficient use of the Event and Entertainment budget throughout the year • Maximise impact of budget use to deliver on ROMI (Return of Marketing Investment) • Ensure continuous reporting of budget lines to key stakeholders • Oversee the overall Event and Entertainment teams’ budget • Ensure effective governance, monitoring and evaluation of the budget • Allocate and monitor the team’s effective use and management of Project budgets • Where required, source funding for ad-hoc projects and activities
5. Program Evaluation and Reporting • Ensure that measures of success are created upfront, and monitor and evaluate performance against the set criteria • Compile / prepare post-campaign reports for feedback to the key stakeholders (internal and external) and where relevant present findings • Provide post-campaign or project reporting with an ROI analysis • Develop ways to improve the impact of Events and Entertainment, brand health, brand equity etc. and facilitate trade-offs where necessary 6. Capability Building • Develop and lead a high performing team by embedding the business performance process, regular feedback and coaching. • Develop and maintain an effective team through selection, training, motivation, mentoring and performance management • Translate and communicate the V&A Business purpose to ensure buy-in from the team • Ensure shared learning and collaboration across the different marketing BU’s and teams • Responsible for overall quality and presentation of work Key Stakeholder Relationships: • Marketing Executive • Senior Marketing Managers • Various Senior Managers across the Business • Social Media Manager • Manager, Content Production • Event and Entertainment Managers and Assistants • Security Managers • Operations Managers • Third-party agencies or suppliers • City Authorities
