About Us - Based on the Sussex/Surrey border near Gatwick Airport and established for over 30 years we are the South’s premier Waste Management and recycling Specialist. Our services cover all aspects of waste management including advice on how to reduce waste, re- use waste, recycle and recover waste products. We focus on reducing our customers reliance on Landfill, this approach has led us to achieve average recycling/recovery rates of over 90%. This is possible due to the processes in place at our Waste Recycling Centre in West Sussex . The services we offer are available to all; corporate clients, business users, householders and local builders. With services ranging from site clearances and mini skip hire through to large roll on roll off containers no job is too big or too small. Our dedicated team of professionals are qualified to provide advice on all aspects of waste management. Hazardous Waste: Our specialist Hazardous Waste Team are qualified to advise on all aspects of hazardous waste disposal . We can list, pack, prepare for transportation, transport, process, treat and dispose of all types of hazardous waste in accordance with current legislative requirements. Trade Waste: Cox Skips provides a commercial waste collection service for businesses in the South East. This can be from as little as one bag a week to the supply of large Euro bin containers for a more regular collection. We supply the bins, the collection and the paperwork. THE RECYCLING PARTNERSHIP Ltd provides a commercial recycling collection service for businesses in the South East. Services include collection of Glass, drinks cans, office paper, cardboard, plastic bottles and food tins. Prices start from just £3.00 per week. We process as much waste as possible using our own fully licensed Waste Recycling Centre. This facility allows us to separate recyclables and process in the most efficient way. With our Site Clearance Service Cox will provide the wheels, the manpower and the required documentation to safely collect and dispose of all waste items large and small. We will collect mixed general waste as well as Hazardous wastes such as TV’s, monitors, fridges, and Cement Bonded Asbestos. House clearance? Warehouse clearance? Site clearance? We take care of everything including separating recyclable waste, arranging extra staff for larger sites, providing the appropriate collection vehicles and locking up at the end of the job. Site Clearance: Our professional approach allows us to provide the highest standard of service with a rapid response to all enquiries. Since the introduction of new legislation in 2008 plasterboard and gypsum based products can no longer be sent to landfill and must be recycled. Cox Skips have the solution to your plasterboard and other gypsum based products recycling needs. We provide a separate collection of all plasterboard products. All plasterboard waste is broken down and recycled back into plasterboard products providing a “closed loop” solution for all of our customers. For further information contact us on 01342 715978. Q: How do I add a new full system user? A: Go to your name on the top right-hand of your Dashboard > Click ‘Manage Users’ > ‘Add New User’. Top Tip: If your new user is already a Trainee in your Training Manager Module, then our recommendation is to view their training record and click ‘Convert to User’. This will ensure that no duplicates of the same user are created within your MY Compliance Management Account.

Q: How do I get access or a copy of my invoice? A: If you are a monthly customer, you should be able to access your invoices by going to your name > Account. If you are an annual customer, you can request a copy of your invoice from your Customer Support Manager.

Q: What’s the difference between an Account Administrator, a Manager, a Standard User and a Banned user? A: Account Administrators can see everything and do everything in the system. They are your top-level user

Managers are your mid-level user. They can create and edit records but cannot delete records that aren’t in their name.

Standard Users can only see records they have created, and records that have been assigned to them.

If you state a user as ‘Banned’, this will block their login credentials. All records they have created or were assigned will remain in their name.

Top Tip: You can access the User Permissions Guide by going to ‘Manage Users’ > ‘Add New User’ > ‘View User Permissions’.

Q: What happens if I delete a full system user? A: If you remove a full system user from your account, all records will remain in their name, however they will simply no longer have access to their log-in credentials. This also frees up a full system user licence from your allocated amount, based on your subscription.

Q: I have used my allocation of full system users, can I purchase more? A: If you have used your allocation of full system users, contact your Customer Support Manager and we can provide you with a quote for an additional amount of users.

Q: What is a User Group? A: A User Group is where you can lock a Register or Record down and assign a group of users to have access to this. You can also use these for Action Groups if you wish to grant access to a group of users to view this information.

Q: How can I manage how often I receive system notification? A: You can manage your email preference by going to your name on the top right-hand corner of your Dashboard > Account > Options > Email Preference – here, you can select whether to receive notifications as soon as a record has been created, or you can opt to receive these notifications in just one daily email.

Q: I want my Managers and Standard Users to access a limited number of modules, instead of seeing all modules, how do I do this? A: Go to your name in the top right-hand corner of your Dashboard > Account > Options > Hide/Show Modules.

Q: How do I reset a user’s password? A: Go to your name in the top right-hand corner of your Dashboard > Click ‘Manage Users’ > Search for the user and click the ‘Key’ icon – this will send the user a new password to access their account.

Q: I need to change a users’ Username to match their email address, how do I do this? A: Contact your Customer Support Manager and MY Compliance Management can change this for you.

Q: I want to set up and roll out a new module, are there Training Videos on how to get started? A: We have created a page where you can access training videos for each module, which will teach you how to set up and manage the data within your system. Go to the ‘Help?’ page located within your Main Dashboard > Click article 2 ‘Onboarding Support’ > Click the hyperlink provided on this page and register/log in to our Training Suite.

You can also reach out to your dedicated Customer Support Manager.

Q: How do I know how much data has been used within my account? A: Go to your name in the top right-hand corner of your main Dashboard > click Account. You will be able to see your ‘File Storage Used’ on this page. Top Tip: If you have used your allocated amount of data, please contact your Customer Support Manager and we can extend your data usage. We charge £100 per 5GB of data, and this will be added to your annual subscription. Q: How can I reach out to MY Compliance Management if I require further support? A: We offer a variety of ways to communicate with us. We would suggest viewing the ‘MY Advisor’ module within your list of modules, as this will provide you with our contact details and access to our Live Chat. Top Tip: Within this module, you can also view your own ‘Support Champions’ within your company. This will normally list the Super Users who can support you in the set up and roll out of the system.

Mobile Apps

Q: What apps do you provide? A: You can download the MY Actions, MY Audits, MY Asset Manager, MY Incidents, MY Risk Assessments and MY NCR via the Google Play Store and Apple Store.

Q: What device version supports the apps? A: Our apps support Android 13 and IOS 13 versions, and above.

Q: My App isn’t uploading my records, even though I have completed all required fields. How do I upload these? A: We make updates to our Apps regularly, to ensure they comply with the latest versions. When an update has been deployed, this creates a new version of the app. We recommend resetting the data within your App which will ensure the most recent update has been implemented. Top Tip: If you are unsure which version you are using, go to Settings within the App and it will state which app version you’re currently working on. In addition to this, if an Account Administrator or Manager has made changes to a record, such as an Audit Template, this will need to be re-downloaded into the app to ensure the most up to date record is being completed.

Q: What is an Action Group? A: An action group allows you to categorise your actions. For example, you could have an Action Group for Incident related Actions, or for sensitive information such as GDPR. When creating an Action Group, you can make this group ‘Private’ which will allow you to select a group of users who can have access to these Actions.

Q: How do I schedule an Action to repeat on a regular basis? (e.g. weekly fire inspections). A: When raising a new Action and setting the due date, next to this option you can click ‘Schedule this Action’. This will then ask you to state how often you want to repeat the action and it will be added to your Action Schedule.

Q: When raising an Action, what does ‘Escalate To’ mean? A: ‘Escalate To’ allows you to set another User as the Action Assignee, as well as the original Assignee. This is useful for when the Action becomes ‘Overdue’, as the ‘Escalate To’ will receive a system notification to inform them.

Some customers will assign the action and then state the ‘Escalate To’ as the Assignee’s Manager, for example.

Q: How can I customise the fields that appear within an Action Form? A: By creating an Action Group, this will allow you to customise what fields you wish to show when this group is selected. To create your custom fields, go to your Actions Module > Options > Manage Fields. Here, you can build your fields and select which Action Group these are relevant for.

Q: How can I force an eSignature when completing an Action?

A: You can force an eSignature, and a completion note, when completing an Action by creating an Action Group. An Action Group allows you to organise your Actions based on the type of action, for example. Here, you have the option to force an eSignature and completion note.

Go to your Actions Module > Action Groups > Manage Action Groups > + Add Action Group and select ‘Require Completion Note and/or Require Signature’.

When a full system user raises an action, simply select the Action Group to enforce the sign-off requirements.

Q: What is the Aspects Module used for? A: The purpose of this module is to store and manage your Environmental Aspects and Impacts. Our customers will use this module if they are ISO 14001 accredited or working towards this.

Q: Can I archive an Aspects Register? A: Yes – Located within your Aspects Module, go to ‘Options’ and select ‘View all Registers’. Next to the Register you wish to archive, click the red ‘folder’ icon. This will remove the Aspects from your active records but keep an archived copy to refer to later, if needed.

Account Adminstrator Manager Standard User

As part of your commitment to ISO 14001, or as a company aware of your responsibilities to reducing your environmental impact you will have some form of Aspects register. With MY Compliance Management you can manage all your environmental aspects, monitoring significance and impact in order to reduce them over time. The Environmental Aspects and Impacts module enables organisations to identify, assess, rank, and track significant environmental aspects and impacts while providing quantifiable significance scoring calculated for each aspect/impact combination. The module systematically walks users through the identification of environmental aspects and enables them to easily manage their listings of aspects and impacts. Significant aspects are easily identified by score and are viewable online, anywhere and anytime you need them. Navigating through registers of aspects and impacts is easy and can be done by searching by keyword as well as sorting by any data field. There is no limit on the number of registers you can have, you can copy an existing register for a new project and archive them on completion. Always maintaining the data ready for an audit. Create your auditable aspects register(s) now. With our software there is no restriction to the number you can have, and ensure you fully comply with your ISO 14001 requirements.

Q: How can I allocate a QR Code for my Assets? A: Within your Asset Manager Module, once you have created your Register(s), go to Options > View all Registers > next to the Register, click the ‘person’ icon and select ‘Turn On External Access.

This will provide you with a Register QR Code as well as individual QR Codes for each asset within the Register.

Top Tip: You can print these QR Codes and attach to your physical Assets to allow your staff and visitors access to the compliance requirements. When activating your QR Codes, click ‘Export Asset QR Codes’ for a full list of these.

Q: Can I manage who gets alerts for Contractor related Requirements? A: Yes – you can manage the alerts for Contractors by going to the Contractor Management Module > Options > Alert Settings. Here, you can assign a group to receive these alerts.

Q: Where can I store my contractor’s training requirements? A: You can create your Contractor as a Trainee within your Training Manager Module. When you create your contractor, they will appear as a Site/Department within your Training Module. Once you have added your Contractor as a Trainee and stated the Site/Department as the Contractor/Company, this will link to your contractor record within your Contractor Management Module.

Keeping track of all of contractors, suppliers and vendors compliance can be an uphill struggle sometimes especially as each one may have 5, 10, 20 requirements each. These could include various insurance certificates, training documents, RAMS, licenses and a whole host more, each of these having its own expiry date.

This amount of information can quickly lead to outdated documents and missed expiry dates, which could lead to severe repercussions in the worst cases.

MY Compliance Management provides a simple tool to track all compliance requirements that your contractors, suppliers and vendors may have, sending email reminders and expiry alerts to selected users prompting them to take action. Create your contractors and assign them any requirements they need, set expiry and custom reminder dates against each requirement, then upload the document. Allocate ‘Services’ to your contractors for easy sorting and identification.

Q: How do I add a new full system user? A: Go to your name on the top right-hand of your Dashboard > Click ‘Manage Users’ > ‘Add New User’. Top Tip: If your new user is already a Trainee in your Training Manager Module, then our recommendation is to view their training record and click ‘Convert to User’. This will ensure that no duplicates of the same user are created within your MY Compliance Management Account.

Q: How do I get access or a copy of my invoice? A: If you are a monthly customer, you should be able to access your invoices by going to your name > Account. If you are an annual customer, you can request a copy of your invoice from your Customer Support Manager.

Q: What’s the difference between an Account Administrator, a Manager, a Standard User and a Banned user? A: Account Administrators can see everything and do everything in the system. They are your top-level user

Managers are your mid-level user. They can create and edit records but cannot delete records that aren’t in their name.

Standard Users can only see records they have created, and records that have been assigned to them.

If you state a user as ‘Banned’, this will block their login credentials. All records they have created or were assigned will remain in their name.

Top Tip: You can access the User Permissions Guide by going to ‘Manage Users’ > ‘Add New User’ > ‘View User Permissions’.

Q: What happens if I delete a full system user? A: If you remove a full system user from your account, all records will remain in their name, however they will simply no longer have access to their log-in credentials. This also frees up a full system user licence from your allocated amount, based on your subscription.

Q: I have used my allocation of full system users, can I purchase more? A: If you have used your allocation of full system users, contact your Customer Support Manager and we can provide you with a quote for an additional amount of users.

Q: What is a User Group? A: A User Group is where you can lock a Register or Record down and assign a group of users to have access to this. You can also use these for Action Groups if you wish to grant access to a group of users to view this information.

Q: How can I manage how often I receive system notification? A: You can manage your email preference by going to your name on the top right-hand corner of your Dashboard > Account > Options > Email Preference – here, you can select whether to receive notifications as soon as a record has been created, or you can opt to receive these notifications in just one daily email.

Q: I want my Managers and Standard Users to access a limited number of modules, instead of seeing all modules, how do I do this? A: Go to your name in the top right-hand corner of your Dashboard > Account > Options > Hide/Show Modules.

Q: How do I reset a user’s password? A: Go to your name in the top right-hand corner of your Dashboard > Click ‘Manage Users’ > Search for the user and click the ‘Key’ icon – this will send the user a new password to access their account.

Q: I need to change a users’ Username to match their email address, how do I do this? A: Contact your Customer Support Manager and MY Compliance Management can change this for you.

Q: I want to set up and roll out a new module, are there Training Videos on how to get started? A: We have created a page where you can access training videos for each module, which will teach you how to set up and manage the data within your system. Go to the ‘Help?’ page located within your Main Dashboard > Click article 2 ‘Onboarding Support’ > Click the hyperlink provided on this page and register/log in to our Training Suite.

You can also reach out to your dedicated Customer Support Manager.

Q: How do I know how much data has been used within my account? A: Go to your name in the top right-hand corner of your main Dashboard > click Account. You will be able to see your ‘File Storage Used’ on this page. Top Tip: If you have used your allocated amount of data, please contact your Customer Support Manager and we can extend your data usage. We charge £100 per 5GB of data, and this will be added to your annual subscription. Q: How can I reach out to MY Compliance Management if I require further support? A: We offer a variety of ways to communicate with us. We would suggest viewing the ‘MY Advisor’ module within your list of modules, as this will provide you with our contact details and access to our Live Chat. Top Tip: Within this module, you can also view your own ‘Support Champions’ within your company. This will normally list the Super Users who can support you in the set up and roll out of the system.

Mobile Apps

Q: What apps do you provide? A: You can download the MY Actions, MY Audits, MY Asset Manager, MY Incidents, MY Risk Assessments and MY NCR via the Google Play Store and Apple Store.

Q: What device version supports the apps? A: Our apps support Android 13 and IOS 13 versions, and above.

Q: My App isn’t uploading my records, even though I have completed all required fields. How do I upload these? A: We make updates to our Apps regularly, to ensure they comply with the latest versions. When an update has been deployed, this creates a new version of the app. We recommend resetting the data within your App which will ensure the most recent update has been implemented. Top Tip: If you are unsure which version you are using, go to Settings within the App and it will state which app version you’re currently working on. In addition to this, if an Account Administrator or Manager has made changes to a record, such as an Audit Template, this will need to be re-downloaded into the app to ensure the most up to date record is being completed.
