Q: What is an Action Group? A: An action group allows you to categorise your actions. For example, you could have an Action Group for Incident related Actions, or for sensitive information such as GDPR. When creating an Action Group, you can make this group ‘Private’ which will allow you to select a group of users who can have access to these Actions.

Q: How do I schedule an Action to repeat on a regular basis? (e.g. weekly fire inspections). A: When raising a new Action and setting the due date, next to this option you can click ‘Schedule this Action’. This will then ask you to state how often you want to repeat the action and it will be added to your Action Schedule.

Q: When raising an Action, what does ‘Escalate To’ mean? A: ‘Escalate To’ allows you to set another User as the Action Assignee, as well as the original Assignee. This is useful for when the Action becomes ‘Overdue’, as the ‘Escalate To’ will receive a system notification to inform them.

Some customers will assign the action and then state the ‘Escalate To’ as the Assignee’s Manager, for example.

Q: How can I customise the fields that appear within an Action Form? A: By creating an Action Group, this will allow you to customise what fields you wish to show when this group is selected. To create your custom fields, go to your Actions Module > Options > Manage Fields. Here, you can build your fields and select which Action Group these are relevant for.
