Line Manager permissions A guide on what Line managers can see and do.

Line manager permissions are set universally under the line manager's permissions. They only have access to the employees that report to them, and only to the information, you have granted them access to. You have the ability to set line managers, so they see their direct and indirect (secondary) reporting employees (detailed in the guide below) You can customise what your line managers can see and do. This can be accessed by following the pathway: Configure > Settings > Change what Line Managers can see and do .

Below is a list of what can be customised:

Unticking the boxes under manage and Delete headers for profile will mean that Line managers cannot see their people's Documents.

Two-tier/level view of staff You can tick the box, so line managers can see not only their employees but also the next level down. This will mean that they have exactly the same permissions as the direct Line Manager. However, notifications will only go to the direct Line Manager. e.g: LINE MANAGER 1 | USER - USER - USER - LINE MANAGER 2 - USER - USER - USER | USER - USER - USER - USER - USER - USER - USER - USER - USER – USER Any users below these two tiers will not be visible. Please note: If you need managers to see more than one level you will need to give them HR Permissions Line Manager user guide This guide is for users with Line Manager permissions. The Dashboard Your dashboard is specific to you and your team. It shows all of your upcoming events and any tasks that need completing. You can manage most requests and tasks directly from this page. This could be a leave request, one-to-one request or an open sickness that needs closing. Your dashboard will also notify you of important things that are coming up in the next week, such as birthdays and probation reviews.

The next part of the dashboard is the ‘My profile ’ area. Here, you can make requests and submit information relevant to you. This is where you’d go to request leave, update your location, read a document, submit an expense, plus much more.

Reports As a line manager, it’s important to keep track of your team. Here’s where Breathe’s Reports feature comes in handy. This data-packed module can help with absence reporting, sickness tracking, deliverables, objectives and much more. Pretty much any report you’d ever need to produce about your team is available through Breathe’s reporting tool. Head over to the ‘Reports ’ menu in the main left-hand navigation bar to see what you can do.

Please note: If you’re logging in and not seeing all of these reports, you’ll need to speak to your HR team about changing your settings.

The Holiday Calendar Your calendar provides a useful overview of any events that are coming up, such as holiday booked, training events or one to-ones. You’ll also be able to see any sicknesses logged. You’ll see information for the whole of your organisation by default. You can adjust your filters to show data for just your team. You’ll only be able to see sickness information for people that you manage (if your permissions allow you to see this). You may notice that not all of your people appear on the calendar at any one time. The Breathe calendar likes to keep things simple and uncluttered – it only shows people who have an event booked within Breathe or have been off sick. If an employee has nothing booked within the period shown, they won’t appear on your calendar.

My People To view the people you look after as a line manager, head over to... People > My people. If you manage another line manager, you can see their employees too, but this depends on your account settings and whether you’re using the two-tier management structure that’s available. These settings are determined by your HR user(s).

Top Tip: Navigate straight to a person’s profile by selecting the arrow under the ‘Actions’ column. How to log Sickness You can update employees' sicknesses for them and change the sickness status to 'completed' , or 'raise a query' if more information is needed. To create a new sickness record, head over to the employee's Profile > Sickness tab. Click on the blue '+' icon to create a new sickness record. Here you can add the details of the sickness, including start date, end date (if applicable) and sickness type. Incorrect Sickness Duration Displayed If the calculated sickness duration for an employee doesn’t match the expected total, this may be due to an incorrectly set end date. For example: • Issue: The system calculates that the employee has returned to work prematurely when an incorrect or premature end date is set. • Solution: Update the end date in the sickness record to the current (or correct) date if the employee is still on sick leave. Alternatively, leaving the end date blank while setting the status as "Open" will allow the system to track the correct sickness days. Once the employee returns to work, change the status to "Closed" and update the end date accordingly.

If the setting has been enabled for them to do so (via Configure > Settings > Change what people can see and do > Report their own sickness ) employees can report their own sicknesses, which will notify their line manager/HR user. Sickness Not Recorded Due to Statutory Holidays Some sickness records may fail to include specific days if they coincide with statutory holidays. For example, in England, statutory holidays are excluded from sickness day calculations by default. • Issue: Bank holidays or statutory holidays fall within the sickness period. • Solution: To include these days in sickness calculations, go to the employee’s profile, navigate to More > Working Pattern & Holiday Allowance , and untick the option for "Receives statutory holidays." Then, re-add the sickness record to reflect the correct duration. They can do this from their own profile > sickness > + icon : Understanding Sickness Record Access In Breathe, a sickness record is only visible to the manager once it has been marked as "Closed." This behaviour prevents managers from viewing ongoing sickness records incorrectly. If a record remains inaccessible even after it is closed, further investigation may be required to identify potential issues specific to the system. Can I download the reports? Yes you can! Where ever you see the blue icon in the top right of the screen as highlighted shown below. This will also relate to the filter to!

Why can't I close off sickness for my employees? Issues when closing off sickness within Breathe

Your employee has returned from a period of sickness. You attempt to close this off however you are greeted with the message below... 'There is already a holiday record during this period. This will need to be cancelled to close this sickness.' This is due to the employee having a leave booking during the sickness period. This leave booking will need to be removed to be able to close off the sickness within Breathe. Explaining sickness statuses When you view a sickness record on someone's profile, you'll see a selection of status options: 'Open' - this person has just logged a sickness and is currently off sick. 'Returned to work' - This person has returned to work after a period of sickness, however the sickness is still being dealt with so hasn't yet been closed.

'Query raised' - This person has returned to work after a period of sickness, but more information about this sickness is needed before it can be closed. 'Closed/completed' - This person has returned to work and no further action/information is needed. Once the sickness is closed, it'll be added to the total number of absences for this person. Related documents can still be added at a later date, if needed. What does the Holiday Approver see? Line Manager Once the you've assigned your employee Line Manager permissions they will now be able to do a various amount of tasks from managing performance through to leave. You may be the best boss in the world and would like to take the burden of managing leave from your Line Managers and assign this to someone else. Luckily we've thought of that and you can find out more below... Top Tip: If you have it set that you do not want Line Managers to manage leave but you have one Line Manager that has more control within the business you can assign them as a Holiday approver which will override the global settings. Holiday Approver Your Holiday Approver can be any one in the business. Just make sure you trust their judgement as they will, not only be able to approve leave, but be able to to edit and request the leave to be cancelled. Please note they will not have the ability to make manual adjustments to leave entitlement. The Holiday Approver will have a few changes to their login. Here is a sneak peak... Dashboard: Holiday Approvers will now have their own "Tasks" Dashboard where they can see Requests and upcoming leave within the next 7 days. My Employees: Like your Line Managers, Holiday Approvers will have access to a "My Employees" section with will allow them to see the Leave tab for all employees they manage Holiday for by navigating to... Employees > My Employees Please note the Holiday Approver will not have access to any other section of the employees profile except for the leave tab. Who can approve leave and how are they notified? Who can review, approve and reject your peoples leave requests? Holiday approver Firstly, those that are assigned as a users holiday approver, will be able to manage those that they have had assigned to them. Please note: You can only assign one person as a Holiday approver.

Secondary approvers Secondly, Line managers, HR users and the Admin of the account will be able to review, approve and reject leave also. This will show up under the 'To review and approve: Open leave requests' section of the HR dashboard. If the user requesting the leave already has a holiday approver these notifications will not show up on the HR dashboard. These will need to be viewed by: • Following the pathway: Reports > Outstanding Leave Requests • Navigating to the leave tab on the user profile and pressing the arrow icon under the actions header next to the leave booking Please note: Line managers will only be able to view the leave requests of the people that they have been assigned to manage. How will they be notified? Holiday approvers will be notified via an email notification as well as a notification on their manager dashboard if they are a Line manager, HR user or an Admin. Please note: You are only able to have one user notified of a leave request, this cannot be assigned to multiple people. One-to-ones One-to-one meetings can be booked within Breathe to check in with your people on a regular basis. These could take the form of yearly/half yearly performance reviews, monthly check-ins, probation reviews and more. To add a new one-to-one, navigate to your employee’s profile and head over to... Performance > ‘One to ones’ tab > blue ‘+’ button. The employee will then receive an email to let them know about their upcoming one-to-one.

We thought we'd give you a helping hand by exploring how to make the most of our employee- performance feature. Start the one-to-one process by setting the frequency of meetings. Although we've seen impressive results with weekly appraisals, you can choose daily, weekly or monthly one-to-one reminders using the

performance tab on each employee's profile. To access the one-to-ones module, head to:

Completing a One-to-one / Probation Review Before the meeting: Download the probation review form:

Under Performance tab – click on One to one Tab, make sure the Scheduled dropdown is selected, click on the arrow icon, click on the Documents tab, click on the download icon – to download the form, complete the top section of the form and print.

After the meeting: Upload the completed probation review form:

Under Performance tab – click on One to one Tab, make sure the Scheduled dropdown is selected, click on the arrow icon, click on the Documents tab, click on the delete icon – to delete the blank form, click on the blue plus icon to upload the completed form, add the title (e.g. Probation Review Month 1), upload or drag and drop the completed form (preferable in PDF format), click on visible to person, click on add document. Go back to the Performance tab, on the probation scheduled line, click on the edit icon (pencil) and tick the Mark as complete box, click on update one to one.

Can employees request their own one-to-ones? Your people can request one to ones from their personal dashboard (not their profiles) if the setting has been enabled for them to do so via Configure > Settings > Change what people can see and do > Request one to ones . Please note , they can only request one to ones if they do not already have any scheduled. If they do, their line manager or a HR user will need to book this in for them. Do line managers receive reminder emails for their employee's one to one's? Line managers will receive an email if a one to one is requested by one of their employees, but they won't receive a reminder email. Notes and reminders A quick guide to the notes and reminders section and how to get the most out of it The notes and reminders section is fantastic to use as a management tool or just a place to store notes about a particular employee. Only HR users and Line Managers (if permissions have been granted in their settings) can access the notes and reminders section. This is located on the individual's profile under More > Notes and reminders You can add a 'Remind on' date for a notification to be sent via email to the author of the note. You can also select it to remind all HR users if you wish.

Notes are not visible to the individual whose account they are stored on so they are often used for management purposes or for just simple reminders on your own account. Your Employees, Volunteers or Contractors will not even be able to see the option in their more tab. Remember all HR users are able to view them and line managers if their permissions allow.

TOP TIPS:

The Notes and Reminders section is where the bulk emails that are sent are stored. You can mark the reminder as complete by clicking the tick icon under the Actions header.

Objectives Assign your team projects and tasks using the ‘Objectives’ tab. You can keep track on their progress by scheduling regular one-to-ones. You can also link the one-to-one to the associated objective and upload any supporting documents to the objective to keep things in one place. Throughout the journey, mark the objective with a percentage to reflect their progress.

Adding a new objective: If you wish to add a new objective for your employee, you can do this from the performance tab within their profile. You will need to add a title and a description for the objective. You also have the option to add a due date, link it to a company goal / one to one and add notes.

Completing an objective Once the objective has been completed a line manager will be able to mark it as done. Head to the objective, select the action arrow and change the state to done. Please note: If the employee has uploaded the objective themselves they will be able to mark these as done themselves.

If it was set on their behalf they will be able to give it a completion % and the line manager will then update the objective to show it as done.

N.B . As the person who manages objectives for the employee, you can add an objective at either a suggested or confirmed state. However, the employee can also suggest their own objectives which will then come to you to on an email to be confirmed. Once confirmed, the employee will no longer be able to edit their objective. Please note: Line manager's permissions are set by the HR User so some of these options may not appear. The character limit for an objective title is 255 characters. The description limit for an objective is 65,000 characters.

Deliverables Make projects more manageable with the Deliverables function. Deliverables allow you to organise tasks and break objectives down into bite-size chunks for your people to work through. You can link deliverables to the associated objectives to keep things simple and centralised.

Deliverables overview What are deliverables and how can I use them?

Within the performance tab, you can set objectives, one-to-ones and deliverables. Deliverables are for employees to help manage their objectives, or break down tasks.

Employees can add their own deliverables to break down that set objective. Not only are your employees then engaging with the system, it also gives the line manager an indication as to how the employee has been breaking down their set objective. Adding a new deliverable is pretty straight forward. The last thing you want is your employees spending hours filling out a deliverable form.

Fill out the quick description and set a delivery date. You can select an objective from the drop-down field if this relates to a particular objective. Once a deliverable has been completed, you can edit the record and then mark as complete.

Once you have marked as complete, it will disappear from the list, however come back to your deliverables page and just 'tick to show completed deliverables'.

The line manager will not receive an email when an employee adds a new deliverable, it is purely a tool for employees to use and review their individual progress. Training Here, you can add training for your team. You’ll need permissions from your HR user to access this functionality. Head over to the ‘Training’ tab and click the blue ‘+’ to add new training for someone in your team.

Add details including the training type, category, status and date. ‘End date’ should be when the training session finishes, and ‘Expires on’ is when the certificate expires. You can see all training records in one place by heading to Reports > Personal Information> Training.

Top tips • Make sure you add a ‘remind me by email’ date when setting up training to receive an email reminder nearer the time. Don’t worry if you forget – you can always add this afterwards. • You can store any relevant documents in the training area, too. All you need to do is create the training record and head back to the training area. Select the arrow next to the relevant training record and scroll down to the ‘Attached documents’ area.

• Line managers may be able to add training records for their people. However this is dependent on the line managers permissions you have set up for them. • By default, employees can request their own training. However under the Configure > Settings > change what employees can see and do > directly enter their own training records you can allow employees to directly enter their own training records. This will then by pass the approval process. Where will the training appear? Any training records will appear on the company calendar in teal:

Discover the simplicity of acknowledging your colleagues' achievements, big or small, with the Kudos feature in Breathe! At Breathe, we prioritise promoting a healthy company culture by placing employees' needs at the forefront of our platform. What is Kudos? Kudos is a straightforward way to share and give praise across your company with just a click. If you think an employee or an entire department has excelled, spread the Kudos and recognise their accomplishments. Navigate to an employee's profile > More > Kudos to view who awarded it, when, the type, and the accompanying message. The latest awarded Kudos can also be seen in the Community menu option

How can I use Kudos?

If you don't have an employee of the month scheme, leverage Kudos to kickstart the recognition process. Monthly reports on awarded Kudos help identify individuals who have exceeded expectations in the eyes of their peers. Giving Kudos Share the joy by sending someone Kudos! The feature allows all users to publicly praise others individually or by department. Click your user icon > Give Kudos, select the recipient, add a friendly message, and share the Kudos! The Kudos feature enables all users to publicly praise other employees within their organisation. It’s quick and simple way of giving some appreciation. This can be done individually or by department.

Department kudos

What is department kudos and how do you use it? Great news - in Breathe you can now not only give kudos to an individual, but to a whole department. If a team has pulled together and collectively done a great job, why not show your appreciation? Simply head to the 'star' icon at the top right of Breathe. You can now choose either ' individual' or ' department' to give kudos to.

Don't see the department you're looking for in the drop-down menu? You can set up new departments by navigating to Configure > Settings > Picklists > Departments > Add new. Please note: if a department doesn’t have anyone assigned to it, it will not appear in the drop-down list of available departments.

Select who you would like to give Kudos to and then add your friendly message. Recipients receive an email and a dashboard notification about the kind words. When giving departmental Kudos, all in the department are recognised, excluding the author if within that department. Other employees can also like each other's Kudos by using the thumbs-up icon on the Kudos record. Please note that you are unable to see who has liked Kudos posts.

Kudos on the Mobile App

Through the Breathe People Portal mobile app, you can send and receive Kudos, check your standing on the leaderboard, and view earned Kudos badges. Kudos can be accessed in the app by going to More > Kudos

Customising your Kudos types

Reflect your company culture by creating custom Kudos types. Go to Configure > Settings > Picklists > Kudos types to add values aligned with your company's ethos. Here you can add in the values you'd like to be reflected within your account as a type of Kudos.

Deleting Kudos

If you believe an awarded Kudos is inappropriate or not in keeping with your company culture, you can delete it from the employee's profile. This can be done by navigating to the employee Profile > More > Kudos . Edit or delete Kudos using the pencil or bin icon. Kudos leaderboard Access the latest Kudos leaderboard through the star icon or the trophy icon on the community dashboard. The leaderboard displays those awarded the most Kudos in the last 30 days (it's based on a rolling 30 days). If you have an employee of the month scheme, the Kudos leaderboard can help identify high achievers recognised by their peers. Who can view the leaderboard and what does it display? Well all employees have access to the Kudos leaderboard and it will display those who have been awarded the most Kudos within the last 30 days.

Switching Kudos on and off We appreciate that Kudos is not for everyone, so this is why you have the option to switch Kudos off. This can be done by going to Configure > Settings > Modules and toggling the Kudos switch .

Under Reports > Performance reports , find two Kudos reports for individual and departmental Kudos. These reports offer insights into given Kudos individually and by department.
