AUCSO HISTORY

AUCSO emerged from an informal grouping of Universities in the South of England and became a formal Association within the Higher Education Sector in UK in 1984. The Association then quickly grew to include members from the North of England, Wales, Scotland and Ireland. 2009 brought a number of changes to the Association with members of the ‘European Association of Campus Security’ agreeing to merge and join with AUCSO to form the Association’s European Region. The Association also voted in favour at its AGM to open membership to Further Education institutions in the UK. In 2014 the Association celebrated its 30th Anniversary with a special gala dinner at the Royal Hospital Chelsea. In recent years more international members have joined AUCSO, giving representation in 24 countries around the world.

The Association of University Chief Security Officers, AUCSO, is the primary association for Security Professionals working in Universities, Colleges and Institutions of Higher and Further Education in the UK, Europe and across the globe. Current members represent 24 countries! Membership is available by Institution, with each afforded the opportunity to nominate four representatives to the Association. The Association provides a forum for its members to exchange knowledge, information and best practice relating to security management within the sector. Each year the Association holds a conference, security suppliers exhibition and an AGM for its members. Conferences are hosted by a different member University each year.

AUCSO liaises with government agencies on current areas of concern and provides training for our members on Resilience (Emergency Management & Business Continuity), Mental Health Response, Counter Terrorism and Tackling Drugs. Members are also able to share knowledge, experience and local security training within the eleven geographic regions, each of which hold their own local meetings and appoint a representative who sits on the Association Executive Committee.

AUCSO have over 200 active members consisting of over 500 security professionals operating across numerous educational establishments in the United Kingdom, Europe, Australasia, South Africa, USA, Canada and Qatar. (Click on the map to view the list of current members).

CHIEF OPERATING OFFICER

Following the retirement of the previous Chief Operating Officer (COO), AUCSO are looking to appoint a proactive, forward- thinking, and dynamic individual who can drive training, innovation, and development across the organisation and its members. The COO role plays a critical part in the overall strategy and success of AUCSO, you will be responsible for the coordination and planning of executive events which help service their growing education community, and as such will represent AUCSO at various assemblies through appearances and delivering talks to its members and industry professionals. As well as this, you will be responsible for driving innovation ‘behind-the-scenes’, which include creating and implementing training and delivery programmes for members and colleagues, modernising, and updating content on AUCSO’s website, and developing relationships to increase and expand memberships and opportunities.

The AUCSO Chair and Executive Committee (‘AUCSO’)

JOB PURPOSE

To be the Chief Operating Officer of the organisation; overseeing the efficient and effective use of resources on behalf of the Executive Committee, coordinating the activities of the Secretary, Treasurer, and representing the Chair or other members of the Executive Committee as required. REPORTING The post-holder reports to the Chair of AUCSO, or their Deputy, and is accountable to the Executive Committee.

PRINCIPAL ACCOUNTABILITIES To oversee the efficient and cost-effective execution of AUCSO’s business in accordance with its mission, aim and objectives, as outlined in its published Constitution & Rules and Annual Business Plan. To coordinate activities and liaise with other officers and members as appropriate and in consultation with the Chair and/or Vice Chair. In consultation with the Chair and/or Vice Chair, the post-holder will support and consolidate the activities and opinions of AUCSO by maintaining good relationships with exteral agencies, associations and partners on behalf of the Executive Committee. In consultation with the Treasurer, to advise an income generation plan to enable AUCSO to pursue its aims and objectives. To assist the Chair and Executive Committee in representing AUCSO in its dealings with other agencies to raise its profile and act as a spokesperson as required where appropriate. To be an ‘ex officio’ member of all AUCSO committees and working groups, liaise with Regional Group Chairs and other officers as necessary. To attend meetings of AUCSO Executive Committee and provide the Chair with a monthly activity report.

JOB DESCRIPTION

PRINCIPAL ACCOUNTABILITIES To attend relevant meetings and conferences where appropriate, or ensure suitable Executive Committee members attend, to represent AUCSO; provide feedback to the membership from these events. Be responsible for the organisation and the successful implementation of the annual conference and other events as required. To seek to expand and increase membership of AUCSO and to act as a central point of contact for members, giving advice and assistance where appropriate. To maintain an up to date knowledge of legislation, regulation and events affecting AUCSO and its membership and to promulgate such information to them. To build upon existing links with other security bodies and improve liaison with them. Where necessary, the COO may engage administrative assistance but not sub-contract the role duties; the management and payment of any administrative assistance is the responsibility of the COO as a contractor not AUCSO.

WORK STREAMS

MEMBERSHIP Liaise with the Secretary regarding new member institutional applications, renewals, losses, turnover of individuals, annual fees etc. Assist with member queries.

FINANCE

Advise and liaise with the Treasurer regarding income and expenditure, including sponsorship, T&S for the Executive Committee; banking; credit card payments (via Worldpay); Invoice generation (via Xero). WEBSITE Liaison with the website hosts (currently ‘Athena’) to maintain and update the website and its background systems i.e. events bookings, members data, invoicing etc. Upload and publish relevant documents to the members resources area. Draft and publish blogs (news stories) and announcements for members and the public. Add regional meetings, training courses and other events details to the website.

COMMUNICATION Liaise by virtual media and in writing (email), with the Executive Committee, individual members, government and security agencies, security sponsors and exhibitors on day to day matters; ensure news is distributed using Twitter and other appropriate social media. EXECUTIVE COMMITTEE Advise and liaise with the Chair and all Executive Committee members, following up any actions agreed at meetings, promoting and sharing new ideas and ensuring approval from members as required before distribution to members. With the Secretary, organise Executive Committee meetings three times per year (one at conference and one conference call); draft the agenda and prepare any relevant papers for the meeting. Review and re-publish the AUCSO Business Plan annually, or as lead members change, and as agreed with the Executive Committee; publish on the website. EXTERNAL AGENCIES Receive enquiries from the HE sector, police, government agencies, the security industry and Media, responding as necessary, or directing enquiries to the appropriate member of the Executive Committee. Attend meetings with these agencies or ensure that appropriate AUCSO Executive Members represent AUCSO. Ensure that all members are consulted and informed as required, passing on new legislation, guidance or related news.

WORK STREAMS

TRAINING Promote the AUCSO approved Continuing Professional Development plan and relevant training courses. Liaise with the Leads on Training, providing admin support if required, for any security or related training courses that can be shared with members. Investigate costs, organise trainers, arrange dates & venues for any AUCSO led courses e.g. Resilience & Mental Health, and advertise to all members. Take bookings and payments (via the website) and send out joining instructions (where possible all training material should be distributed electronically rather than printed).

REGIONAL MEETINGS

Liaise with Regional Chairs to organise their meetings (2 or 3 per year), including the booking of host venues and draft agenda. Once confirmed add dates & venues to the website events page. Collect regional meetings Minutes and upload to the website.

ANNUAL CONFERENCE Seek hosts for the annual conference 2-3 years in advance. Liaise with potential hosts, visit locations and check suitability. Once agreed by Executive Committee members, book the venues and related hotels. Maintain a bank account as needed for the AUCSO Conference/Events, to receive payments from delegates & exhibitors and make payments to suppliers. Track all finances and publish to the Executive Committee after the event. Transfer profits from the conference (and other events) to the main AUCSO account. With the Executive Committee, organise the conference programme, arrange and liaise with speakers re hotels, biographies etc. Advertise to members, receive delegate bookings, book hotel rooms, organise the production of name badges, banners, publicity material, programmes etc; arrange transport and social events. Seek suppliers to sponsor and exhibit at the annual conference; maintain a list of suitable suppliers; advertise, take bookings and payments; organise the exhibition space and supporting facilities. Liaise with the conference hosts re accommodation, food, socials, transport, admin support etc.

ANNUAL GENERAL MEETING Advise the Chair and Secretary, regarding the agenda for the AGM (at conference) and ensure the publication of appropriate papers to all members 2 weeks prior to the AGM. After the AGM check the Minutes and publish, following up any actions. ANNUAL AWARDS With one volunteer from the Executive Committee, advertise the annual AUCSO awards; receive nomina- tions and arrange for scoring. Liaise with nominee’s line managers and book places for the gala dinner and hotel. Arrange photographer and publicity for the awards (including the sponsors) after the event.

PERSON SPECIFICATION

A sound knowledge and wide experience of matters relating to Tertiary Education Institutions or a similar environment gained at management level. A sound communicator (written and verbal) with excellent networking skills and the credibility to represent AUCSO at all levels of the security industry, education sector, police. Ability to research and assimilate information from a wide variety of sources. Able to plan and organise their own workload and deliver any specific projects to an agreed timetable. Ability to make professional presentations and to deal with press and media. Ability to organise and co-ordinate the activities of others and to motivate and enthuse them. Be competent in the use of relevant IT systems, equipment and software, ensuring the organisations website, emails and social media are kept updated. Be competent in financial management, the use of spreadsheets and on-line banking. Able to travel, globally as necessary, to support the Association or attend conferences. Able to keep AUCSO matters (written and verbal) confidential as appropriate.
