About us
Uppingham is a vibrant, stimulating and forward- looking school with a long and proud history. Founded in 1584, today, Uppingham is one of the UK’s leading co-educational independent boarding and day schools for pupils aged 13-18. It has a strong academic profile, offers a rich and wide-ranging co-curriculum and excellent pastoral care tailored to the needs of today’s young people. Uppingham employs circa 550 staff. The teaching staff number 120 and are supported by staff in business units responsible for marketing, admissions, business development, human resources, IT, finance, health and safety, operational services, and estates. In 2022, Maidwell Hall School joined the Uppingham Group of Schools. Situated in Northamptonshire, Maidwell educates pupils from ages 4 to 13. In 2024, Uppingham Cairo will open, with Uppingham Vietnam planned for the following year.

About our estate
The estate covers 120 non-contiguous acres, almost one mile apart at its extremities and interspersed by town housing and retail properties. It includes 59 acres of playing fields, 14 acres of gardens, and a built estate of 80 buildings, of which 24 are listed (Grade I & II), across 775,000 sq ft. Buildings include teaching blocks, assembly buildings, boarding houses, staff housing, administrative and technical accommodation, a commercial theatre, and sports facilities. Through significant investments in our buildings and facilities over recent years, we have always sought to integrate the new with the old, and to uphold an identity that is uniquely Uppingham. Our campus is a place of bold ambition that celebrates its illustrious past while always building with foresight and optimism for the future – creating an environment that pupils will cherish and value throughout their school years, and remember with fondness for life. Reporting to the Estates Director, the Estates team comprises of circa 40 people. The team is responsible for maintenance, grounds and gardens, estates compliance, porterage and security.

The role
Job purpose Reporting to the Estates Director, the Head of Estates
Programme Management is responsible for supporting all aspects of the Infrastructure Strategy, Planned Maintenance Programme, Condition Surveys, and Asset Management Plan to create an Estates Investment Programme. This ranges from maintenance projects to major capital investment projects, and the regular monitoring and maintaining of data sets that support the delivery and creation of the programmes of work. They will be responsible for ensuring all contractors work in accordance with School policy, health and safety legislation, and performance evaluations are to be undertaken for each project. They will be responsible for the development of all projects in accordance with the project life-cycle process. This involves ensuring that each project meets the criteria in the Estates Investment Framework, or is a maintenance priority to ensure that the built environment is safe, and to prevent any interruption to the use of the buildings and associated external spaces. They will line manage the Property Records Co-ordinator and ensure that all the role accountabilities are delivered. Your accountabilities Create and maintain project specific programmes and an overarching Estates Programme, with regular updates to reflect changes agreed with the Estates Director. The programme will provide financial information to assist with decision making and project prioritisation and will align with the Estates Investment Strategy and Framework. Ensure all policy, procedures and associated documents are implemented, maintained, and reviewed regularly to reflect changes in legislation or School policy, within the scope of the role. The programme is extensive, and the role includes responsibility for preparing reports, tracking projects against milestones, financial management, coordination of internal and external resources and ensuring documentation i.e. policy, CDM, contractor management is meeting all legislative requirements. As the responsible manager for all Projects, the role will support other members of the Estates Team in the delivery of projects, within the scope of their roles.

From initial concept, develop and prepare project briefs. Produce detailed feasibility studies ensuring that they reflect and communicate the strategic and operational priorities of Uppingham School. Prepare and present project budgets for funding purposes and maintain cost control from conception to completion. It is expected that this will require advice from external consultants where necessary. Monitor, manage and communicate financial performance against budget and targets, taking appropriate corrective action where required, in liaison with the Estates Director. A live financial tracker should be maintained for all projects and regular updates provided together with cashflow reports. Ensure that risks relevant to all allocated projects are assessed, prioritised and addressed appropriately. Prepare, monitor, update and communicate risk registers, project programmes and project budgets, with support from external consultants as necessary. Coordinate and deliver operational testing, commissioning and ensure Practical Completion is issued in conjunction with handover to Uppingham School. This extends to the delivery of operational induction to building users and departments where necessary to communicate the in-use requirements of the completed project/building. During the rectification period, be the main point of contact for Uppingham School to ensure that the design team carries out appropriate inspections and arranges for defects to be remedied to meet with the School’s operational needs and timetable. On expiry of the rectification period, record and action the final inspection and notifies the contractor/s of any defects requiring attention before release of retentions. Select, appoint, lead, and manage consultants through a series of RIBA design stages. Undertake all necessary pre-qualification requirements, selection, and appointment; in doing so, establish and communicate realistic targets and controls, monitor progress and chair project meetings. Identify, interpret, and comply with building, planning and listed building legislation, regulation and best practice guidance. It is expected that this requires advice from external consultants and specialists.

The person
Qualifications, Experience, Skills & Personal Qualities
Accountable for the direct delivery of projects and to ensure these projects are managed in accordance with a structured whole life- cycle project process. Act as a central point of information for oversight of estates projects, including developing and maintaining an asset management plan on a 1yr, 5yr, 10yr plan aligned with the Infrastructure Strategy, condition survey data, and demands of the School estate. Ensure that post project evaluations are undertaken which would include contractor evaluations and ensure that opportunities for improvement are identified and implemented for future project delivery. Support the Estates team by providing technical and operational advice and ensure that all members of the team maintain a consistent and technically sound approach to maintaining and improving the School estate. From initial design consider and deliver the requirements for the handover of a completed project to the wider Estates Team and CAFM system. Work with the Estates team to ensure that all works completed by Uppingham School Estates (including maintenance, grounds and gardens projects completed by others) are coordinated to both maintain the estate and deliver the support the Estates Investment Programme. Ensure that the School complies with relevant health and safety legislation in respect of all works connected to project works and be accountable for all other related legislation and regulatory compliance. Maintain comprehensive records to evidence compliance. Ensure that all visitors, consultants and contractors that operate on site are fully compliant with the School’s safeguarding and health and safety requirements.
Qualifications • Degree or equivalent in a related discipline i.e. Building Surveying or Quantity Surveying. • Membership of a Professional Body i.e. RICS / APM Essential Experience: • Previous experience of successfully delivering capital projects in an operationally live environment with multiple stakeholders. • Demonstrable experience in financial and budget management. • Demonstrable experience and knowledge of procurement procedures together with contract and tender knowledge. • Proven experience of delivering projects through the entire project lifecycle from inception through to completion. • A strong working knowledge of health and safety legislation within the context of construction and project work. • Proven ability to chair, present at, and contribute to meetings. • Experience of line managing professional and technical roles. • Previous experience of working in an educational setting is desirable but not essential. • Advanced IT skills with the ability to use and manage systems and resources effectively. Skills: • A clear, effective communicator, possessing both verbal and written skills, who is able to maintain effective communications systems and processes within the Projects and Estates Team, School stakeholders, and external stakeholders. • Time management skills and ability to meet deadlines whilst under pressure. • The ability to analyse and produce complex data and reports, interpret statistical information including financial data, and to suggest suitable options for programming. • Strong verbal and numerical reasoning.
