ABOUT US Uppingham School, founded in 1584, is a leading co-educational independent boarding school, which runs 24/7 in term-time. It has a strong academic profile and excellent pastoral care with an international reputation, and state-of-the-art science, sports and music facilities. The school has 830 pupils, aged 13-18, who are accommodated in 15 boarding houses and taught by over 20 academic departments. The pupils also participate in numerous extra-curricular activities such as sports, music and drama. The schools employs circa 550 staff across both academic and non academic staff including: marketing, estates, finance, HR, IT, operations (catering, cleaning, and procurement), health and safety, and the School’s trading subsidiary.

ABOUT OUR ESTATE The estate covers 125 non-contiguous acres, almost one mile apart at its extremities and interspersed by town housing and retail properties. It includes 59 acres of playing fields, 14 acres of gardens, and a built estate of 80 buildings, of which 23 are listed (Grade I & II), across 775,000 sq ft. Buildings include teaching blocks, assembly buildings, boarding houses, staff housing, administrative and technical accommodation, and sports facilities. The school has an ambitious master plan to improve and renew elements of the Estate, which have included boarding houses, a music school, a sports centre and an RIBA National award-winning Science Centre completed in 2014.

Reporting to the Estates Director, the Estates team comprises of circa 40 people. The team is responsible for maintenance, grounds and gardens, estates compliance, porterage and security.

THE ROLE
Job purpose
To manage the maintenance of Uppingham School’s built estate by devising a maintenance strategy and implementing that strategy, with a strongemphasis onpreventative, cyclical and life-cycle planning, using Flow360 as the School’s computer-aided facilities management system. To deliver a high standard of service by planning ahead, designing work streams and deploying resources: this includes line managing the in-house maintenance team (15 staff) and commissioning work from external consultants and contractors. To ensure the statutory compliance of building services and ensure Health & Safety and risk management practices are embedded in the work of the maintenance function. Your accountabilities Strategy: create and implement amaintenance strategy tomaintain the School’s built estate to reduce dependence on reactive works ; maximise reliance on planned, preventative maintenance based on cyclical programmes and taking account of life-cycle planning; undertake condition surveys to inform the strategy; create a culture of forward planning; seek the most efficient and cost-effective balance between an in-house maintenance team and external contractors; and provide building services advice and support to Estates staff, contractors and consultants. Teamleadership: leadandmotivate themaintenance teamof 15staff, whichcurrentlyconsists of a Building Services team (electricians; plumbers) and a Building Fabrics team (joiners; decorators; multi-skilled operatives); develop a culture of collective responsibility; develop staff talent and skills; manage performance; modernise working practices and increase productivity, quality and morale; chair departmental meetings; develop decision-making and technical skills in department staff; identify future talent and ensure effective succession planning; and, as a senior manager, be on call to resolve emergency situations. Maintenance work: Manage the schools maintenance programme through the allocate work orders to in-house team and external contractors to ensure both PPM schedules and reactivemaintenance jobs are completed in line with service requirements; manage external maintenance and/or project contractors to ensure services are carried out in compliance with written specifications, induction processes, contract requirements, key performance indicators and professional standards; ensure a fully managed handover process for all Uppingham School projects; commissioning, O&M’s, warranties, training for maintenance/ other School, updating PPM’s, asset registers, CAD drawings, maintenance contract and manage defect liability issues. Serviceandstandards: championandimprovecustomerserviceanddevelopeffectiveworking relationships with a wide range of internal and external stakeholders; undertake the efficient 10
and productive deployment of resources; supervise the quality of work, whether by the in-house teamor external contractors; design systems and procedures to effect change and improve service delivery; undertake regular building inspections and work audits to inform a culture of continual improvement;.You will ensure all works are delivered in line with the building regulations and statutory compliance. CAFM system (‘Flow360’): utilise the software system to maintain reactive, planned and PPM workflows to enable effective and efficient management of both the in-house teams and external contractors and to enable the production of ad-hoc andmonthly reports tomonitor performance against a SLA and KPIs. Compliance: work closely with the Estates Compliance andAssetManager, undertaking remedial work to ensure the School meets its statutory and regulatory compliance obligations; adhere to risk assessments, method statements, Construction Design Management (CDM) andHealth& Safety Executive (HSE) regulations, permits to work etc.; ensure all statutory training requirements are undertaken and recorded. Standardisation: lead and implement a programme to standardise parts (electrical, heating, ironmongery, etc.) used across the built Estate in order to simplify procurement, ensure replacement availability, and reduce costs; liaise closely with the Project Manager in relation to new building design. Financial and procurement: ensure that expenditure remains within budget at all times, liaising closely with the Estates Director and Finance Department about costs, forecasts and accurate accruals; meet the School’s tendering rules; manage financial processes such as purchase orders, quotations, work orders and cost information for all works, ensuring accurate invoice coding and approval.

ABOUT YOU
Qualifications: • Membership of a recognised building services/ estates management professional body e.g. IWFM , CEng, RICS, CIOB, CIBSEc. • Health & Safety Qualification: IOSHManaging Safely or equivalent Skills and experience: • Team leadership at a senior level, able to lead by encouragement as well as by managing performance • Experience of a facilities or property management role in a large, multi-site organisation, with multiple stakeholders, ideally within the education sector • Experience of undertaking condition surveys and formulating life cycle and long-term maintenance plans. • Knowledge of statutory buildings legislation including Building Regulations, L8, DDA, COSHH, Asbestos, CDM regulations, ACOP’s etc. • Contract management skills, including contractor supervision, management and monitoring • Experience of using a CAFM system and configuring it to use the management information output for planning strategy • Experience of procurement procedures including writing project business cases, briefs and specifications to tender evaluation and award. • Budgetary management experience • Excellent records, document and data management, including asset databases and management of assets Personal qualities: • Excellent interpersonal and written skills • Self-motivated with strong sense of strategy and forward vision • Highly organised, with the ability to manage multiple tasks or projects to deadline and budget • Personable, supportive and able to motivate a team, working collaboratively towards a culture which engages colleagues and fosters ideas • Strong belief in the continuous improvement of customer service • Diplomacy and sense of humour • Be willing to work flexibly and outside normal school hours if reasonably requested to do so.

TERMS AND CONDITIONS
Working hours • Monday-Friday 39 hours per week • Some out of hours work will be required, as befits a senior managerial position, including possible emergency attendance

• £55,000

Holidays The annual holiday entitlement is 30 working days, of which up to 5 days must be taken over the Christmas period. Public holidays in term time are normal working days; a day off in lieu is given at another time.
