ROLE PURPOSE This role provides leadership to a range of data services relating to core business data held within the SITS student record system (client). They will provide strategic direction across the University on data governance within SITS, be an authoritative voice on compliance and work with key business areas to support and advise on how to get the most out of the SITS data structure to support core processes. The academic year 2022/23 marks the first full cycle of managing student records within SITS and they will lead a central team that maintains core SITS infrastructure data and will personally have significant experience in the management of student records systems. MAIN DUTIES 1. SITS Client Data Lead Under the direction of the Assistant Director of Registry Services (SITS Lifecycle), to provide leadership to the configuration and use of data within the SITS Client database. Working collaboratively with the Head of SITS Records Management and Head of Student Systems User Experience, they will provide expert advice to the Assistant Director (SITS Lifecycle), owning business continuity plans and managing risks for their product and services. Lead the impact assessment of proposed institution- wide changes on core data (e.g. regulation changes, new partnerships, new systems) 2. Student Reporting and Data Quality The Head of Student Reporting and Data Quality provides oversight of core reference data within SITS used to manage applicant, student, and curriculum records. This includes, but is not limited to: Responsibility for managing the governance of changes to core reference data, including mark schemes, progression rules, award rules, fee matrices, course data, module data, assessment patterns, coding structures, organisational data (e.g. Faculties, Partners). The responsibility for maintaining the reference data is shared between various teams, including the curriculum and records team, assessment team and fees team.

BACKGROUND The University launched SITS for admissions processes in 2019 and began managing active student records through SITS in summer 2022. The academic year 2022/23 represents a significant milestone for the University as we transition from project implementation to a new operating model. The implementation of SITS is a key enabler for digital transformation in the delivery of academic administration within the University, and the new operating model is designed to ensure that the University can build on the core system foundations to deliver improved services to students and staff. The implementation of SITS represents a significant shift in the delivery of core academic administrative processes, and the underpinning technical infrastructure, consolidating many services that were previously delivered outside the student record system. To reflect its increased scale, and value to the University, the operating model is designed around delivering SITS technical services, SITS data services and SITS business services. Overall leadership and accountability for the SITS Product and Services rests with the Assistant Director of Registry Services (SITS Lifecycle). Leadership of SITS technical services is delivered by the Product Manager (SITS), leadership of SITS data compliance is delivered by the Head of Student Reporting and Data Quality, leadership of student records and curriculum is delivered by the Head of SITS Records Management and leadership of SITS business services is provided by the Head of Student SystemsUser Experience. These roles all form the SITS leadership team. The Heads of Registry functions will be expected to work collaboratively as a management team, to develop an integrated approach to the delivery of Registry services and the flexible management of resources to support the business needs at key periods.
5. Working Relationships and Communications • The role is a senior management and leadership role that will attend a range of university committees, working groups and project planning groups, and be expected to provide expert advice on data governance and data quality, as it relates to the core student record. • Representing promoting the University at relevant external conferences and meetings, developing networks and working relationships with counterparts within the HE sectors (e.g. ARC, SROC, Tribal, UCISA, HESPA) and with Partner organisations. Actively develop external networks to benchmark services and identify best practice. Represent the University and influence discussions as relevant. • Building and maintaining excellent working relationships with Faculty Registrars, Faculty Managers, Deans of Faculty, Heads of Schools, Centre Directors, senior central professional service staff and other stakeholders. • Managing the development of resources and information to promote the teams’ services, ensuring high levels of awareness of institution-wide priorities and plans amongst students and staff. • Presenting annual reports, papers, proposals for change and data analysis to a range of University committees, or project groups. • Ensuring staff develop relevant training, briefings, and guides for use across the University to improve knowledge and understanding around registry related student processes. • To set-up, oversee and review a schedule of data quality monitoring to be carried out regularly by appropriate teams in line with institution and regulatory requirements 6. General Duties • Managing and leading projects and initiatives as required. • Working closely with colleagues across Registry and in Planning and other Professional Services to ensure the development and maintenance of necessary operational and business intelligence reports to inform decision making. • Deputising for the Assistant Director of Registry Services (SITS Lifecycle) as appropriate and undertaking tasks reasonably expected withing the scope and grading of the role. • Works in accordance with the University’s Equal Opportunities Policy, promoting equality and diversity in the workplace. • Undertakes continuous personal and professional development and supports it for any staff managed through effective use of the University’s Positive Performance Conversations scheme and staff development opportunities. • Undertakes health and safety duties and responsibilities appropriate to the role.
Responsible for ensuring that impact assessments on any changes to the SITS academic model and student infrastructure are conducted in response to changes in the external environment, and changes within the University. They will highlight risks and propose mitigations and will be required to use their expert knowledge of SITS data structures to influence University-wide decisions to ensure that the SITS student and curriculum data model can support the evolving business needs. Responsibility for ensuring that SITS data is accessed and managed in line with GDPR requirements. This includes where SITS data is held within Client, E;vision, Power BI and downstream systems. Responsibility for ensuring that SITS data is held and managed in ways that support the range of statutory reporting requirements (e.g. HESES, HESA, Data Futures, SLC, ILR), providing expert and authoritative advice to senior managers, core records users, and the external returns team on such matters. 3. SITS Data Services Under the direction of the Assistant Director of Registry Services (SITS Lifecycle), the Head of Student Reporting and Data Quality has responsibility for defining and delivering a range of data services to the wider University. This includes, but is not limited to: • Responsible for ensuring data used for system integrations is appropriately mapped, drawing on the appropriate SITS data fields, and that the use of data by integrated systems is GDPR compliant. • Accountable for ensuring data quality within SITS client is being proactively monitored, errors swiftly actioned, and internal learning developed to continually improve SITS data quality. This includes ensuring data is timely and accurate for the completion of statutory returns. • Accountable for the timely, accurate and secure operations of bulk data processes delivered through SITS Client (e.g. data rollover, diet generation, student assessment generation (SAS), progression, and upload of student achievement data to GradIntel for the Higher Education Achievement Record (HEAR)). Accountable for the design of operational reports based on SITS data, and technical development and maintenance of operational reports where these are not delivered through e:vision. This may include ad- hoc data exports, or the delivery of operational reports through tools such as Power BI. 4. Leadership & management The Head of Student Reporting and Data Quality provides line management to SITS Data Partners and SITS Data Analysts, who will engage with core teams utilising SITS Data (e.g. Planning and Business Intelligence, Statutory Reporting, Finance, Timetabling & Attendance, Assessments, Faculties) to build knowledge and understanding of the SITS Academic Model, how core data should be used, and ensure that the academic model meets business needs.
