11.1 Key Handling The bonding and insurance requirements of MOLLY MAID provide assurance to your customers that your personnel can be entrusted with the key to their home. Having possession of a customer’s key ensures access to the home, therefore eliminating unproductive workdays. Team leaders are responsible for the keys to the homes on their routes; the keys are only used to gain access to the home for the purpose of performing MOLLY MAID cleaning services. Keys should be given to the team leaders each morning and returned to you at the end of the day. HSPs should only be given keys to homes that are scheduled to be cleaned that day. Keys are not to be copied. Sturdy rings (jailers) are more secure than key rings that snap or fasten with a screw mechanism. Team leaders should have two sets of keys:  One set is for car keys only.  The other set is given to them each morning and contains the customer keys for that day. Train all team leaders to keep this second set in the pocket of their uniform, and therefore is with them everywhere they go. This set of keys should never be left in a purse or the pocket of a jacket or sweater that might be forgotten in a customer’s house. 11.2 Key Storage Keys must be kept locked in a key box at your office. Metal key boxes can be found at office supply stores. Key boxes should be securely attached to a wall. The only people permitted access to the key box are you and your office personnel. 11.3 Key Coding System All keys must be coded with a unique code. Do not use names or address numbers. Many franchisees use the customer id generated from customer care as the key code. Codes may be engraved on keys or affixed to keys with adhesive. The Customer Care System tracks multiple key codes for each customer and prints reports of which keys are needed each day by each team. It can greatly simplify key handling. 11.4 Key Master List Make a master list of all customer keys received. This list must be kept secure if left in the office. The Customer Care System will print such a list automatically.
