TEXAS SHRM CHAPTER AMBASSADOR 2024 HRSOUTHWEST CONFERENCE TOOLKIT
ABOUT US
The HRSouthwest Conference is one of the largest regional education and networking events for Human Resource professionals and those who supply products and services to the HR industry. Recognized as the official State of Texas SHRM Conference, the event is important to HR practitioners recertifying their SHRM and HRCI designations, discovering the latest in HR products and services, networking with peers to share best practices, and having fun!
AMBASSADORS ROLE
Chapter Conference Ambassadors are chapter leaders who promote the conference within their individual chapter by serving as a liaison for The HRSouthwest Conference and their local chapter. Ambassadors Receive 50% off their conference registration in the year(s) they serve as Chapter Conference Ambassador Special recognition at the event (reserved seating at Monday’s general session and lunch) A Conference Ambassador ribbon to add to your badge
RESPONSIBILITIES
Ensure the conference digital ad (with a link to www.hrsouthwest.com) is on your chapters’ website homepage from April 30 to October 16, 2024. Website Promotional Advertisement Meet quarterly (virtually) with all Chapter Ambassadors to share conference updates. Meet Quarterly
Include event information in new chapter member phone calls/packets/orientation information... New member Communication NEW this year, a drop down of Chapter names will be included in the Texas SHRM Chapter ticket “path” ensuring the chapter is credited for their attendance. IMPORTANT - Registration Credit
Chapter Events and Meetings
Ensure the conference is promoted at all chapter meetings and chapter communication.Communicate and remind chapter members about registration deadlines for reduced early bird rates.

CHAPTER WEBSITE ADS Participating Chapters must add The HRSouthwest Advertisement to your Chapter's Website Home Page.
Placement should be “above the fold” where visitors won't have to scroll down to see it.
There are three (3) sizes to choose from. Don’t forget to link the advertisement to www.hrsouthwest.com.

Advertisements must be on Websites no later than April 30, 2024. Chapter Ambassador Liaison’s will conduct Website audits beginning May 01, 2024.
EMAIL SIGNATURE
Encourage attendees from your chapter to include the "I'm Attending" or “I’m Registered” graphic in their email signature.
It's easy to add. Don't forget to link it to ww.hrsouthwest.com

POWERPOINT SLIDES
Participating Chapters must add at least three (3) HRSouthwest promotional PowerPoint slides to your event walk-in slides for a minimum of three (3) educational events from May 1 - September 1, 2024. Slides will be updated as events and education are announced. Some slides may be hidden for future use. Check back often for new slides.

Ambassadors are required to follow, like and friend The HRSouthwest Conference on Facebook, LinkedIn, Twitter and Instagram on behalf of the Chapter. #HRSWC will be following you too.

Use flyers at your events to drive attendance. Choose from two print ready colors. Flyers are updated with rate increases in May, June, and August

Print out the one-page promotional piece and place it at the registration desk. Chapter Networking Events
Make a point to discuss The HRSouthwest Conference with your board and volunteers. Encourage everyone to attend. Chapter Board or Volunteer Meetings
