As mentioned above, we have provided onsite staffing to many various types of associations, and this staffing level has varied from 1 part-time employee to an 80-person staff for a large active- adult community. Based on the Board’s goals/expectations and the overa ll needs of the community, we would provide the Board with a staffing recommendation, and plan would be set in place. The Board would always remain the ultimate authority as to all staffing decisions, an Seabreeze would be responsible for the implementation and oversight moving forward.

Expected Management Activities:

Monthly site visit which includes walking property, survey/inspect property condition. Document findings. Our recommendation for a community the size and scope of yours would be to perform site inspections at least twice per month. The inspection of the association’s physical assets and common area/amenities in the association are very important and essential job functions of the Community Manager. In addition to the inspection of the physical assets and amenities of the community, it is also crucial that the Community Manager perform rules/architectural review standard inspections. In order to establish effective and proper guidelines for all three types of inspections, it is critical that the Community Manager review all of the association’s documents, which include the CC&Rs, Articles of Incorporation, Bylaws, Architectural Review Policies and Rules & Regulations. The review and utilization of the abovementioned documents will assist the Community Manager in developing measurable, consistent, clear and objective standards for the performance of these three types of community inspections. Additionally, the review and utilization of these documents will allow the Community Manager to develop an effective annual/monthly preventative maintenance calendar for the community. Prepare documentation for board meeting agendas, management reports, and meeting minutes? Maintain files, records and minute book for the association? The Board packets are delivered based on the preference of the Board members. Some prefer electronic packages, some preferred hard copies which can then either be mailed or dropped off at the members’ residence or mailing address. The packets are sent at l east 5 days prior to the meeting and will include the most up-to-date financials.
