A standard Board Package contains the following:
General Session Board Package: Meeting Agenda, Executive Session Summary, Consent Calendar, Prior Month’s Meeting Minutes, Lien Placement Documents, Management Action List, Written Committee Reports, Vendor Reports, Specific Committee Reporting which require Board Action, Architectural Modification Applications, Landscaping Modification Requests, New Business Items, Ratification of Contracts reviewed in Executive Session, Association Calendar – Dates of Future Meetings, etc., Review Only Documents which do not require Board Action Executive Session Board Package: Hearing Spreadsheet and Supporting Documentation, Prior Month’s M inutes, Legal Matters for Review/Board Action/Information, Contracts for Review/Acceptance or Denial of Terms, IDR/ADR Requests, Collection Actions, Fee Waivers, Small Claims, BK’s/Foreclosures/Account Monitoring
Following the Board meetings, meeting minutes are delivered to the Board within 48 hours for review and follow up.
Seabreeze can manage and store Association records in accordance with the Association’s desire (i.e., hard copies onsite, in-house, scanned into a cloud-based system). This gives each association the opportunity to select its own preference, again coinciding with our mission to provide unparalleled personal care to our associations. Seabreeze does recommend the scanning of documents onto a cloud-based system, however we are totally willing to assist you with any personal preference you might have.

Describe your procedure for electronic backup of documents and information. Seabreeze utilizes both local network servers, and a third party’s cloud system for storage. The local storage is on iSCSI SAN cluster which then syncs to Amazon cloud based S3 buckets and E2 servers for back-up and failover. This outsourcing to Amazon diversifies the placement of important information, thus increasing its protection.
