JOB DESCRIPTION
LEADERSHIP & MANAGEMENT • Manage the work of the maintenance team and contractors to ensure that buildings remain compliant with relevant legislation, that a programme of proactive maintenance is implemented and that reactive repairs are undertaken in a timely manner. • Report on performance of the team against the agreed SLA’s and personal appraisal objectives. • Work closely with the Commercial and Hospitality Bursar to minimise the impact of maintenance and improvement activities on the charitable and commercial use of the estate. • Work closely with Head of Services to ensure the School, boarding houses, monastery are maintained, cleaned, repaired and secure at all times.
HARD FM MANAGER ROLE SUMMARY Reports to: Estates Bursar Direct Reports : Three carpenters, electrician, plumber, general labourer (including team leader and an apprentice).
Principal of the Role:
PROJECT MANAGEMENT • Where directed by the Estates Bursar, manage and lead projects, reporting on delivery to the Estates Bursar, Assurance Director, COO, Governors Resources Committee and Buildings Advisory Group.
• Become the technical expert to monitor, manage FM service delivery across the School & Abbey estate. • Manage the team and contractors in ensuring that a programme of compliance checks, PPM and proactive maintenance work in line with the service level agreements and KPIs are in place. Hold regular meetings with the contractors to ensure a high-quality service is provided & timely completion of work. • Agree an appropriate SLA for the maintenance function with the School and Abbey and make recommendations for regular improvement. • Identify potential areas of compliance vulnerability and risk; review/develop/implement corrective action plans for resolution of problematic issues and provide general guidance on how to avoid or deal with similar situations in the future. • Keep informed regarding legal, statutory and industry changes, trends, and best practices and assess the potential impact of these changes on the organization. • Effectively prepare and monitor budgets to ensure efficient use of resources • Support the Estates Bursar in developing and implementing a strategy for improving the built estate in line with the priorities and financial constraints of the School and Abbey. COMPLIANCE • To continuously review existing procedures and suggest potential improvements and efficiencies through automation, new technologies and changes to ways of working. In particular, to look for further opportunities to improve our services and outsourced service level agreements. • Provide assistance to internal or external auditors in Estates compliance reviews. Collaborate with other departments to direct Estates accident and compliance issues to appropriate existing channels for investigation and resolution. Ensure close out and issue ‘lessons learnt’ information. • Prepare data as required for benchmarking and monitoring of performance within the Estates Department on a monthly basis. • Support the Estates team to ensure that they are properly trained and receive required CPD. • Support and advise the Estates delivery teams in the discharging of their duties in respect of compliance, in support of the Trust’s responsibilities in relation to CDM and Fire regulations.
FINANCIAL MANAGEMENT • Work with the Purchasing Manager to ensure that an appropriate list of preferred suppliers and contractors is in place at all times, offering high quality services and value. • Manage the day-to-day maintenance budget and any improvement budgets delegated to you by the Estates Bursar and achieve financial targets.
