How to Run a Meeting in Style
The setting is a board room of a small corporation. The characters are seated around a conference table attending a corporate meeting. The Chair/CEO is seated at the head of the table. Chair: Good afternoon, everyone. I see that there is now a quorum present, so this meeting will come to order . (Raps gavel once) Our first order of business is approving the minutes of the last meeting. Mr./Ms. Secretary, would you read the minutes of the last meeting ? *** Secretary: (Opens binder) Here are the minutes of the last meeting. (Read, read read...blah blah blah..) Chair: Thank you, Madam/Mr. Secretary. Are their any corrections to the minutes? (No one states any corrections) OK then! The minutes are approved as read . *** Secretary: (Taking pen and marking the page with initials) I am initialing these minutes in ink, and marking the minutes of the last meeting “Approved as read.”* Chair: Let’s move on to the next order of business . Officer reports from standing committees . Can we hear from the officer making the report, please? *** Officer 1: Yes, as treasurer, I am in the process of finishing up the quarterly budget adjustments. I am happy to report that it is all going well. We expect to meet the deadline on that and on those employee reviews we discussed at the last meeting. Chair: Excellent. Thank you, Mr./Madam Treasurer. The next order of business will be special commitee reports. Do we have our special committee reports? *** Officer 2: Yes Madam/Mr. Chairman. As you’ll recall, a special committee was formed to investigate the creation of bike lanes throughout our corporate campus and the purchase of 20 bikes for an employee bike-share program.
