Shuttle Schedule Along with the monthly room manifest, a transportation schedule will be posted to the portal monthly. This should be posted at the front desk along with the daily sign-in sheets. This calendar will break out daily pick-ups and drop-offs throughout the month. These times are for when the shuttle needs to be at the airport so you will need to factor in drive time. Prior to your first crew pick-up, make a few test runs to and from the airport with all of your drivers and any associates that may need to assist with the shuttle in a pinch. It is best to make different test runs at different times of the day to understand how traffic may or may not affect your drive times. This will also provide an opportunity for all potential drivers to understand designated pick-up and drop-off areas for Hotel Shuttles at your local airport (likely different from Arrival/Departure terminals). This is the best free website and app for real time flight tracking. Front Desk and drivers should monitor flights throughout the day for timely pick-ups. Knowing the Contract Make sure you and your team know all of the concessions included into the contract so that you are prepared to handle them as crew members are used to certain expectations while traveling. A few to look for that may be present in your contract: 1. Local transportation within a 5 mile radius of the hotel. a. Restaurants b. Gyms c. Pharmacies 2. F&B discounts & complimentary breakfast. a. To-go bags available prior to breakfast hours. 3. Tax exemption requires crews to be assigned to the same rooms daily. 4. Early arrivals and late departures at no charge. 5. Special services requested over holidays. 6. Early payment discounts. 7. Duration of stay can be 24 or even 30 hours for which we only bill one nights room and tax. Drivers All drivers are required to pass a Motor Vehicle Record check. It is wise to have all managers, supervisors and any other associate that may be able to assist with shuttle runs in a pinch be processed for a MVR check. Depending on your crew volume, you may not require fulltime shuttle drivers. In this instance, housemen, engineering and managers and supervisors would be required to handle all shuttle runs. Job descriptions for Transportation specialists should list lobby cleaning, parking lot walks, guest requests and anything else that will help with the hotel operations during their down times. Drivers will likely not be in the van for a full 8 hour shift and will need side work and a checklist to be completed daily. A wage survey will need to be completed and approved for this new position.
