Strategic Software Selection: The What, Why, And How Of Buying Enterprise Software Choosing the ideal ERP and manufacturing software is a pivotal decision for packaging manufacturers, one that can significantly enhance opera- tional efficiency, foster innovation, and strengthen competitive standing. To guide you through this complex process, we’ve structured this ar- ticle around a "what, why, how" framework for each of the key factors you'll need to consider. “What” explains the specific feature or aspect of the software or ven- dor, detailing the nature and scope of what you're evaluating. “Why” delves into the importance and impact of the factor, giving you insight into its relevance to your business's success. Finally, “how” provides a practical approach to assessing this ele- ment, offering steps and considerations to effectively gauge how each factor stands up to scrutiny. In this decision matrix, it’s not just the software’s capabilities that mat- ter, but also the ethos and commitment of the software provider. Their industry alignment and understanding of your particular needs can be as crucial as the software itself. Thus, this article emphasizes a holistic approach: evaluating not only the software’s functions but also the vendor’s reputation, their industry involvement, and their capacity to meet your specific requirements. By doing so, you’re not just choosing a software solution; you’re en- tering into a strategic alliance that will shape the future of your opera- tions. Singular Focus What: Only you can determine whether the software you are purchas- ing will meet your needs. In many situations a generic ERP may meet your requirements, however if your needs don’t match the ERP you may be in for very costly customization. Why: The corrugated packaging industry, like all industries, has a unique ecosystem comprising specific challenges, jargon, standards, and customer demands. Software built for this niche caters to these intricacies. With a vendor solely focused on the packaging industry, there's a higher probability of their software aligning seamlessly with industry operations. Additionally, software updates and upgrades will be more relevant and beneficial, given the vendor's deep understanding of industry dy- namics. How: Check the vendor's client list, case studies, and testimonials to see if other corrugated packaging businesses have benefited from their software. Furthermore, their marketing materials, feature lists, and up- dates should primarily center around solutions tailored to your industry. Vendor participation in industry-specific events or conferences can also be a good indicator. Ongoing Investment & Development What: Technology and business are in a constant state of flux. This means that what works today might become obsolete tomorrow. When a software vendor is committed to continuously enhancing its product, it provides businesses with the assurance of longevity. Why: With future-proof solutions, companies can confidently invest time and resources, knowing that their software will evolve alongside emerging industry challenges and trends. How: A well-documented development roadmap can give insights CONTINUED ON PAGE 14

into the vendor's plans for the future. This should ideally include new features, enhance- ments, and adaptations they're planning. Also, check their track record on software updates. How frequently do they release updates? Do these updates align with emerging industry trends? Support What: You will invariably need help from your software partner. It might be answering questions on how some- thing works, helping you recover from a technology prob- lem, or dealing with a software bug. Consider how important it is for you to have timely sup- port and what factors can influence support responsive- ness. Why: Efficient communication can be the lifeblood of a smooth operation. Support ensures that when issues arise, they can be tackled promptly without the delays of time zone differences. Moreover, local representatives are often more attuned to the regional challenges, regulations, and business cul- ture, ensuring that the support provided is both timely and contextually relevant. How: Information about the vendor’s support team’s lo- cation can be found on their website or by directly inquir- ing. Ideally, they should have dedicated support teams or representatives in or near your region. Look for reviews or feedback on the vendor’s respon- siveness and support efficiency, especially from business- es in your time zone. User-Friendly Interface What: A user-friendly interface should provide an intu- itive layout and design that allows users to navigate the system with minimal training. Features should be accessible, and the flow of oper- ations should be logical, enabling users to perform their tasks efficiently. The interface should also be customiz- able to some extent, allowing the software to adapt to the specific workflows of a business. Why: Software, no matter how powerful, is only as good as its usability. A steep learning curve can result in lost time, increased errors, and employee frustration. Con- versely, intuitive software can lead to quicker onboarding, increased user adoption rates, and overall smoother daily operations. When employees can navigate software eas- ily, they can focus more on their core tasks and less on troubleshooting. How: A hands-on experience via a software demo or a guided tour is invaluable. During this phase, evaluate how intuitive the interface feels, how easy it is to find features, and the clarity of any instructions or prompts. Feedback from actual users, which can be found in re- views or testimonials, can also provide insights into the software’s usability. CONTINUED ON PAGE 16

Scalability What: Scalability refers to the software’s ability to grow and adapt to the changing needs of the business. This means that the software should be able to handle an increase in users, more complex operations, and larger amounts of data without a drop in performance. The software should support the company’s growth, whether through modular additions, upgrades, or en- hanced features that can be unlocked as needed. Why: Business landscapes can change, often rapidly. Whether a company is expanding its operations, ventur- ing into new markets, or diversifying its product range, its software should be capable of accommodating these changes. Scalable software ensures that businesses don't outgrow their tools, preventing the logistical and financial hassles of frequent software migrations. How: Understand the pricing tiers and what features or capacities come with each. Ask the vendor about their provisions for businesses that experience growth – can you easily move to a more comprehensive package? Can the software (and the vendor) support multiple lo- cations? Is there flexibility in adding more users or inte- grating additional modules? Integration Capabilities What: In the context of ERP and manufacturing soft- CONTINUED ON PAGE 18

vices such as training or support. The contract terms should be straightforward, outlining the duration, renewal process, and any clauses related to service level agreements (SLAs), data ownership, and con- fidentiality. Why: Financial clarity is pivotal for businesses to budget effectively and anticipate costs. Hidden fees or ambiguous contract terms can lead to unexpected financial burdens, straining company resources. Moreover, unfavorable con- tract terms can lock businesses into rigid structures, hin- dering adaptability. How: Detailed pricing breakdowns on the vendor's website or in their brochures can provide clarity. Ensure there are no hidden fees by inquiring about potential additional costs, such as for setup, training, or data migration. When reviewing contracts, clarity on ter- mination clauses, penalties, and any conditions for feature access are essential. It might be beneficial to have a legal professional review the contract for any potential pitfalls or unfavorable terms. Active Community of Users What: An active community of users is a group of cur- rent software users that engage with one another and with the vendor to exchange tips, share best practices, discuss challenges, and provide feedback on the software. An ac- tive community is often facilitated by the vendor through online forums, user groups, or social media platforms, and CONTINUED ON PAGE 20

ware, integration capabilities mean the ease with which the software can connect and share data with other sys- tems. This could include compatibility with legacy systems, the ability to interface with new software, or the flexibility to incorporate technological advancements. Good integration helps maintain data accuracy, stream- line workflows, and enhance the decision-making process. Why: Today’s businesses operate in interconnected environments. From CRM systems and inventory manage- ment to logistics and finance, different software solutions often need to "speak" to each other. Software that can easily integrate with other systems eliminates data silos, reduces manual data entry, and en- sures that different business functions operate cohesively. How: Dive into the technical specifications or ask the vendor directly about their software's integration capabil- ities. Do they offer APIs (Application Programming Inter- faces)? Are there existing partnerships or integrations with other popular software tools used in the industry? Customer testimonials can also highlight how seamless these integrations truly are in real-world scenarios. Clear Pricing And Contract Terms What: Clear pricing and contract terms mean that all costs associated with the software are transparent, with no hidden fees. This includes initial purchase costs, on- going maintenance fees, and any costs for additional ser-

features on their development roadmaps that have been suggested by the community. Comprehensive Software Training What: Comprehensive software training entails a struc- tured program designed to educate new and existing em- ployees on how to effectively use ERP and manufacturing software. This training should cover all necessary features and functions relevant to the user's role and ensure that they can utilize the software to its fullest potential. The ability to onboard new employees quickly with this training is critical to maintaining productivity and opera- tional continuity. Why: Proper training is essential because it directly im- pacts the speed at which new employees become produc- tive and the level of proficiency they achieve in using the software. Well-trained employees can maximize the soft- ware's benefits, reduce errors, and contribute to a smooth-

is indicative of a vendor that values customer input and fosters a collaborative environment. Why: An engaged user community indicates a collab- orative relationship between the vendor and its custom- ers, suggesting that feedback, experiences, and ideas are genuinely valued. Such communities often provide peer insights, offer best practices, and reflect the software’s adaptability to real-world needs. How: • User Events & Webinars: Look for regular events or webinars that involve users in feedback sessions or product roadmap discussions. • Feedback Mechanisms : Is there a clear system for us- ers to submit feedback or suggest new features? • User-driven Roadmaps: Check if the vendor includes

er workflow. Additionally, effective training programs can enhance employee satisfac- tion by reducing frustration and helping them feel competent in their roles. How: To implement comprehensive software training, packaging manufac- turers should look for vendors that offer detailed training materials, such as user manuals, online tutorials, and interactive learning modules. Vendors may also provide on-site train- ing sessions, webinars, or dedicated cus- tomer support for ongoing education. The training program should be scalable to ac- commodate different learning styles and should be updated regularly to reflect soft- ware updates or changes in operations. Conclusion For corrugated and folding carton man- ufacturers, choosing the right manufactur- ing and ERP software is both critical and multifaceted. This decision impacts not just your immediate operational efficiency but charts the course for long-term innova- tion and growth. While this list of eight factors serves as a foundational guide, it is by no means ex- haustive. A thorough investigation should en- compass not only the software’s function- alities but also the integrity, vision, and reli- ability of the company offering it. Bear in mind, such manufacturer/ven- dor alliances often endure for years, if not decades. The lasting nature of this partnership can be as influential as any product deci- sion you make.
