RECOVERY PLAYBOOK Atrium Hospitality has developed a procedural tools guide with our insurance carriers as a Recovery Playbook. This Playbook should be followed when any event occurs that causes damage to the hotel asset to ensure proper steps are taken to document the incident and damages to support insurance recovery following a loss. Once the Emergency Guidance plans have been followed and the following individuals have been notified via phone and email you will begin implementing the Recovery Playbook. FOLLOWING THE INCIDENT: Report the Loss following the RMSCR SOP 300-01 Property Damage Claims Process Develop and assign Associates to determine the recovery plan of action for repairs and restoring operations. Establish the roles of each individual in the recovery process and the communication protocols. Hold weekly (or however often ifnecessary) meetings to discuss the recovery and claim process, flow of information, etc. Obtain the insurer’s written agreement on each step of the recovery plan. Determine the course of action to achieve recovery as soon as possible. This includes making temporary/permanent replacement of building and/or contents, performing planned maintenance, initiating capital projects (changes to building). Delays or costs associated with work outside of the insurance coverage will not be paid for by insurance. Document the Loss (providing pictures/video of damages). If practical, provide pre-loss photos of property, inventory,etc. Are other types of property damage accounted for and measured such as Equipment, Furniture, Fixtures and Personal Property of Others? Capture all expenses related to Business Interruption and Extra Expense. Document any anticipated future business losses such as cancelled group bookings. Are all documents being kept and tracked, including overtime hours & lost sales in a separate account?
